THE POSITION: The Police Records Clerk II must be able to work day, swing and midnight shifts including weekends and holidays as assigned. The Police Records Clerk II may be assigned to work either at Animal Services or at the Police Department. This position performs a variety of responsible clerical work involving the processing and maintenance of Police Department reports, records and files. This includes heavy data input from police reports, the use of word processing to produce statements, letters, petitions, civil and criminal complaints, processing and maintaining warrants, assisting the public on the telephone or at the counter by responding to requests for information and accepting fees for a variety of items. The successful candidate for this position must be a team player with excellent clerical and interpersonal skills.
Office methods and procedures, telephone and receptionist skills; English usage, spelling, punctuation and grammar, and practices of computer data entry.
Learn pertinent codes, public record regulations and penal code sections; learn the criteria that determine an emergency or non-emergency; learn to operate the computerized records systems; work under pressure, while exercising good judgment, and make sound decisions in emergency situations; effectively communicate including eliciting information from upset and irate citizens; type accurately at 35 net words per minute; understand and follow both oral and written instructions, and establish and maintain effective working relationships with those contacted in the course of work.
EXPERIENCE AND EDUCATION
Experience: Two (2) years general office experience performing duties similar to a Police Records Clerk I in the City of Hayward. Knowledge of computer use.
Education: Equivalent to completion of twelfth (12th) grade.
Certificates: A valid typing certificate verifying the ability to type 35 net wpm.

Typing certificates will also be accepted from a public school, business school, temporary agency or a similar agency and should attest a 5-minute timed test and specify net words per minute. Online Certificates will not be accepted.

Application packets will be screened by a qualifications panel and candidates considered best qualified based on the information provided, will move forward in the examination process. Candidate’s background and qualifications will be further evaluated by a competitive examination process that may include a writing exercise and/or oral interview, which will result in ranking on an eligible register for hiring consideration.
Actual hire depends on success in the departmental selection process which may include selection interview, background investigation, polygraph, psychological evaluation and medical exam.
