SALARY:$10.21-$12.41 Per Hour / 15-20 Hours Per Week

 


POSITION: 

 

Under general supervision, provides a variety of routine to difficult clerical support to Recreation Department. Duties include receptionist duties, typing, word processing, use of a computer, recordkeeping, filing, computerized data entry, organizing calendars, working efficiently and effectively with Recreation and other departments with minimum supervision and with excellent customer service.

 

AREA OF RESPONSIBILITY:

 

Types correspondence, reports, forms, and specialized documents related to the functions of the Recreation Department from drafts, notes, or brief instructions; use of a computer and/or typewriter; Proofreads and checks typed materials for accuracy, completeness, compliance with departmental policies and correct English usage including grammar, punctuation, and spelling; Enters and retrieves data using a computer; operates with accuracy department-specific software following established formats; Composes, communicates and responds to emails; Handles cash and access to financial records in accordance with established departmental and City policies and procedures; Prepares and updates a variety of reports, which may require the use of arithmetic calculations, charts and graphs; Maintains records and processes forms, such as time and leave records for departmental staff, personnel forms, purchase requisitions and orders, and others specific correspondence needed by the department; Establishes and maintains office files; Researches and compiles information from such files; Acts as receptionist and receives and screens visitors and non-emergency telephone calls; Provides factual information regarding City activities and functions; Operates standard office equipment; Opens and distributes interoffice and US mail, attaching back-up information; Processes outgoing mail; May access a centralized law enforcement database; Maintains and updates calendars of events and activities, provides customer service to citizens and City staff; Performs other related duties as required.

 


SELECTION PROCESS:

 

The final filing date is at noon, on March 12, 2013. All applications, cover letters and resumes will be reviewed. Those most closely matching the qualifications and requirements will be invited to participate in oral interviews and other elements of the selection process.  
Exam and interview is tentatively scheduled for March 26, 2013.


 

BACKGROUND REQUIREMENTS:

 

Finalists will be required to undergo a criminal/vehicle records check and fingerprint check. Past substance abuse and criminal activity may be grounds for disqualification but all candidates will be evaluated on a case-by-case basis.

MINIMUM QUALIFICATIONS

Knowledge of:
Basic office practices and procedures, including filing and the operation of standard office equipment, including computers, related software, phone systems, fax machines, email communications; Microsoft Office Suite including WORD, EXCEL and OUTLOOK; POWERPOINT and ACCESS are desirable; Registration and facility reservation software; Correct English usage written and verbal, including spelling, grammar, and punctuation; Business letter writing and the standard format for typed materials; Policies and procedures related to the department to which assigned; Basic business data processing principles;Effective time management principles; Customer service principles; cash and accounting principles.
 
Skill in:
Developing and maintaining office files; Composing routine correspondence from brief instructions; Using initiative and sound judgment within established guidelines; Prioritizing work and coordinating several activities; Multitasking; Communicating tactfully and effectively with the public, including interpreting and applying detailed rules and policies; Organizing and maintaining office files and calendars; Composing routine correspondence from brief instructions; working effectively and efficiently with minimum supervision: Retain and utilize training and instructions. Handling cash and accounting.
 
Ability to:
Rapidly learn, understand, retain and utilize directions, procedures, policies, processes and terminology of the Recreation Department; Provide excellent customer service to staff and citizens through email, office visits and telephone; Work harmoniously as a team or as an individual staff member; Communicate effectively and efficiently; Multitask; Perform successfully all the requirements of the position.
 
EXPERIENCE AND EDUCATION:
 
Any combination equivalent to experience and education that could likely provide the required knowledge and abilities would be qualifying. A typical way to obtain the knowledge and abilities would be:
 
Experience: Two years of demonstrated success in moderate to advanced general clerical or office assistance experience working with the public.
 
Desirable Experience: Experience which will have provided knowledge of the department to which assigned.
 
Education: Equivalent to graduation from high school. Post high school degrees or certificates are desirable.
