Position and Duties
WHY INTERN WITH US?
As a Student Intern, you will learn and gain practical experience in general administration while working in our City Facilities Architectural Services Division. The division is primarily responsible for the delivery of capital improvements on City properties. The division provides services for design and construction of public buildings, site and landscaping improvements, and capital maintenance projects on existing City facilities. This is an opportunity to learn project archiving, administrative processes, and transferable skills for future employment. You will work with various City departments in a large organization and contribute to the development of landscape sites and municipal facilities.
POSITION DESCRIPTION & DUTIES
* Project archiving to include responsibilities such as extracting and closing-out projects, reviewing and condensing files, and preparing for file retention and storage coordination.
* Provide assistance with division library restructuring, which will include responsibilities such as reorganizing library area, creating an index reference for staff to access code/reference inquiries, and replacing code and reference book pages with recent updates.
* Provide administrative support to include maintaining and running project reports using the City¿s Financial Management System (FMS), as well as the Capital Project Management System (CPMS) database, complete data entry, prepare back-up documents for bond disbursement requests, and review invoices.
* Copying and scanning of documents as support function to division's project delivery efforts.
TERM OF ASSIGNMENT: May 2013-January 2014 (summer and seasonal)
HOURS PER WEEK: approximately 20
Salary Range: $10 - $14.26/hr
Education: Any combination equivalent to completion of high school and current enrollment in an accredited college or university in an undergraduate or graduate program. Student Interns must continue to be enrolled in a college or university during their employment with the City of San José.

LICENSES AND CERTIFICATES
Possession of a valid driver's license authorizing operation of a motor vehicle in the state of California may be required in performing job duties.
