POSITION
To perform a wide variety of general clerical and administrative duties for a City department; and assist the public. The purpose of this recruitment is to fill a current vacancy in the Fire Department, as well as establish an eligibility list for future vacancies throughout the City.
IDEAL CANDIDATE
The Ideal Candidate for this position must be a “team player” with excellent customer service and problem solving skills. This candidate will have previous experience with accounts payable, account receivable, project tracking, scheduling, and data entry. The Ideal Candidate must be detail oriented, highly organized, professional, be able to manage their time efficiently, and work well with both internal and external customers. The Ideal Candidate hired into this journey-level classification will be a self-starter who can complete assigned tasks with only occasional instruction or assistance. Bilingual candidates are highly desirable.
The Administrative Clerk assigned to the Fire Department will spend about 50% of their time dedicated to the Community Risk Reduction Division, answering prevention related calls, assisting builders and developers, logging in projects, including plan reviews, business license applications, and inspection requests and assigning projects to Inspectors. This position will input all prevention related activities, along with all other types of revenue generating activities and expenses into various spreadsheets and/or programs, and forward the permit fees, checks and fire related services charges to Finance for billing and/or deposit. This position will also track and verify all development charges in the Enterprise computer system to ensure that proper fees are being charged, and maintain Prevention files, plans and documents.
This position will also serve support to the Fire Chief, Fire Marshal and the Management Analyst by processing correspondence, scheduling meetings, making copies, distributing and processing mail, assembling reports, ordering and tracking supplies, and taking messages. This position will process invoices for payment, reconcile Cal Card statements, process public education requests, and serve as our records manager by processing outside requests for incident reports and perform filing as needed. This position will also schedule outside use of the Training Facility, manage the Department’s DMV-Pull Notice program (commercial driving record program), training records for all employees, mandated employee vaccination records, schedule employee physicals, hearing tests, etc. required by OSHA for respirator use and schedule annual TB testing for Fire personnel, and other duties as assigned.
ESSENTIAL JOB FUNCTIONS
Provides excellent customer service; answer telephone and direct callers; receive visitors at a public counter and identify a variety of needs; provide information on department policies and procedures as appropriate; schedules appointments. Performs a wide variety of routine clerical work including filing, billing, checking and recording information on records, maintaining logs for assigned functions. Type, proofread and process a variety of complex and/or sensitive documents including general correspondence, memos, and charts from rough draft or verbal instruction. Enter and retrieve data from on-line or stand-alone computer systems; operate computer systems to generate reports and perform other automated processes. Work cooperatively with others. Regular and consistent attendance.
OTHER JOB FUNCTIONS
Gather information from individuals or reference sources to complete and process various forms, records and applications; compile routine information and data for statistical and financial reports as assigned. Receive, sort and distribute incoming and outgoing correspondence. Issue, receive, type and process various applications, permits and other forms. Accept payment of fees; maintain and process cash records, disburse petty cash funds, and perform related basic computations. Maintain records and process forms, such as time records, purchase requisitions and orders, and other specific to the organizational unit. Perform related duties as assigned.
QUALIFICATIONS
Education
Equivalent to the completion of the twelfth grade.
One (1) year of experience performing duties comparable to those of an Administrative Clerk I in the City of Woodland.
Licenses and Certifications
Required upon hire, possession of a valid California driver’s license

Salary (July 2022):
$3,269.20 - $4,172.42 per month
Retirement:
CalPERS Retirement System (2% @ 60 Formula for current CalPERS members and 2% @ 62 Formula for new CalPERS members). The City does not participate in social security

After successful completion of probation, new hires are eligible for a monthly 2% City contribution
