The City of Thousand Oaks seeks enthusiastic and service-oriented individuals to join our team! As an Administrative Aide (Part-time Hourly City Worker), you will interact with a broad range of customers and play an important role in delivering extraordinary customer service to City residents and customers. The Administrative Aide will serve as a primary contact for City departments and maintain positive and professional customer relationships by responding promptly to inquiries and finding solutions. The successful candidate will perform a range of administrative support functions including answering phones, and emails, maintaining records and files, marketing through social media, assisting in developing community outreach programs, greeting customers, members of the public and staff, and other general office support and administrative duties.

- Public Works (Transit Division, Records Management and Sustainability)
- City Manager’s Office
- Finance-Public Services Department
The candidate list established from this recruitment may be used for other vacancies in the City as they occur. The Administrative Aide (Hourly City Worker) is a part-time, hourly, at-will position that involves working approximately 15-25 hours per week, not to exceed 1000 hours per fiscal year (July 1st to June 30th). Short-term assignments will range from 3-6 months and may be extended based on department needs. City Hall is open Monday through Thursday and alternating Fridays.
Primary duties may include but are not limited to:
- Provide clerical and administrative support for assigned department
- Greet clients/customers; answer incoming phone calls (may include multi-line phone system), and handle incoming and outgoing mail and email
- Respond to customer inquiries
- Organize and maintain file systems
- Maintain databases and ensure attention to detail when entering data
- Perform basic data analysis and prepare routine reports
- Support the day-to-day activities of assigned department
Department/division-specific duties include:
Transit:
- Conducting research on best practices and services for the assigned areas, assisting in developing community outreach & marketing plans, and tracking expenses, reimbursements, and budgets. Some driving will be required.
Records Management:
- Implementing the department’s records management projects and objectives, coordinating the destruction of records that have met retention, digitizing hard-copy permanent records, and responding to public records requests.
Sustainability:
- Assisting with customer service (calls and emails) on waste service, recycling, water use and leaks, construction and demolition dumpsters and debris, climate action and other areas within the Sustainability Division
- Assisting contractors and homeowners at the counter with questions and plans for managing construction and demolition debris
- Monitoring and tracking leak letters/communications to water agency customers
- Conducting research, entering and analyzing data related to sustainability areas as assigned.
- Assisting with outreach and communications to support the City’s Climate Action and Environmental Action Plan.
