Under the direction of the Recreation Supervisor, the Recreation Coordinator I – Facilities is responsible for assisting with the smooth operation of activities, programs, rentals, and special events at multiple Recreation Facilities. This position requires a high level of customer service, attention to detail, marketing prowess, and event planning and management expertise.
Mill Valley Recreation is a 7-day a week operation.
Recreation Coordinator I - Facilities schedule may include weekday, weekend, early morning and evening shifts. Schedule is subject to change depending on facility and supervisor needs.
ESSENTIAL DUTIES:
- Act as the primary point of contact for rental inquiries, promptly responding to emails, phone calls, and in-person inquiries regarding facility rentals.
- Facilitate the rental booking process by liaising with internal staff and external parties to schedule rental dates, coordinate setup requirements, and confirm rental agreements.
- Oversee the rental application process by providing interested parties with necessary documentation, rental agreements, and pricing details.
- Collect and review rental applications, ensuring all required information is complete and accurate.
- Provide timely updates to both renters and internal stakeholders regarding rental status, payment deadlines, and any changes to rental arrangements.
- Maintain organized records of rental bookings, payments, and rental agreements, ensuring compliance with rental policies and procedures.
- Schedule and provide regular in-service training for facilities staff.
- Plan, develop and implement programs and events.
- Evaluate the progress and effectiveness of scheduling and programming utilizing measurable outcomes.
- Assist in the development of policies, procedures, contracts, and manuals for facility users and staff.
- Provide assistance and guidance to facility users, anticipate and resolve problems, provide quality customer service.
- Perform related duties and responsibilities as required.
