Description

THE POSITION

Under general supervision, provides a variety of routine to complex clerical support services within assigned police areas, including but not limited to: typing, word processing, transcription of detailed and confidential material, record keeping and filing. Performs related work as assigned.

 

       CLASS CHARACTERISTICS

The Police Office Assistant is a journey-level position, fully competent to independently perform a variety of office support duties. All positions are characterized by the presence of clear guidelines from which to make decisions and the availability of supervision in non- routine circumstances. Specific duties, including the amount of typing, word processing, and use of on-line or personal computers, will vary with the organization unit to which assigned.

 

       EXAMPLES OF DUTIES (illustrative only)
  • Types correspondence, reports, and specialized documents related to the functions of the police unit to which assigned from drafts, notes, dictated tapes, or brief instructions, using a typewriter or word processor.
  • Proofreads and edits as necessary typed and other materials for accuracy, completeness, compliance with departmental policies and correct English usage, including grammar, punctuation, and spelling.
  • Enters and retrieves data and prepares reports from an on-line or personal computer system, following established formats.
  • Prepares and updates a variety of reports which may require the use of arithmetic calculations.
  • Maintains records and processes forms such as payroll records, purchase requisitions and orders, and others specific to the organizational unit.
  • Establishes and maintains office files; researches and compiles information from such files.
  • Provides factual information regarding City or unit activities and functions.
  • Accesses confidential local, state and federal databases
  • Views and handles confidential backgrounds and personnel files of prospective and future employees
  • Reviews computer produced reports for accuracy and makes corrections as required.
  • Operates standard office equipment and performs such office support activities as opening and distributing mail; processing outgoing mail, erasing dictation tapes and ordering supplies
  • Issues and maintains identification files; seals juvenile and adult arrest records.
  • Receives subpoenas, notifies appropriate parties and maintains subpoena files.
  • Handles confidential information, including case files, criminal information bulletins, fingerprints and other related material.
  • Ability to process Department’s payroll and time sheets as a primary or support function.

Education and Experience: 

Any combination of experience and education that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be: 

High school diploma, GED, or equivalent and two (2) years of clerical or administrative experience. 

 

OTHER REQUIREMENTS

Typing Certificate:  Interested candidates must submit a certificate verifying typing speed of at least net 40 wpm. Certification must be recent (within 6 months) and be issued and signed by the administrator of a recognized source, i.e. employment service, business school or college, etc. Failure to comply will result in disqualification. No on-line certificates accepted. City of Union City employees currently in a position that requires a typing speed of 40 wpm or greater, will not be required to submit a typing certificate. 


Specified positions may require the use of a California Driver’s license and a satisfactory driving record.

Benefits

Retirement:  CalPERS enrollment in either 2% @ 60 (Classic Employees) or the new 2% @ 62 (New Employee) formula is dependent on the individual’s eligibility, as per AB 340. The City does not participate in Social Security therefore there are no Social Security tax deductions (except 1.45% Medicare).

Life Insurance: Premium is paid by the City.  Life insurance and AD&D is equal to $100,000 each.  Long-term and short-term disability insurance premium is paid by the City.  Additional voluntary supplemental life insurance is available.

Medical/Dental: The City provides up to $2,000/month to purchase medical, dental and vision benefits. Retiree medical benefit after 15 years of service (see MOU for details on benefits).

Leaves:  Employees shall accrue 3.69 hours of Sick Leave per pay period with no limit on accumulation and 80 Vacation Hours for the first three years

Holidays: 50 Banked Holiday hours and 66 Paid Holiday hours 

Uniform: $825/annual uniform allowance paid over 26 pay periods

Bilingual Pay: Bilingual Pay with passing score on City's bilingual exam

Overtime: Time and one half overtime with option of pay or future time off

Other:  4/10 work schedule; Deferred Compensation Plan available; All necessary equipment is provided.

The selection process may consist of one or more of the following components: a written exam, an oral interview, and medical exam. Only a limited number of persons whose application materials clearly demonstrate that they meet the needs of the City in terms of training, experience, education, and other job related characteristics will be invited to participate in the selection process. Meeting the minimum qualifications does not guarantee an invitation to participate in the process.

Oral Board: Friday, July 23, 2021 and/or Saturday, July 24, 2021
