The Parks and Recreation Department is seeking a qualified person for the position of Administrative Support (casual, part-time position). Below you will find a general description of the position, however we are in need of someone to assist us with the following essential duties/tasks:
- General office support (i.e., answering phones, computer input, customer service).
- Prepare Commission agenda, post/notice, and take and prepare meeting minutes monthly.
- Type and process lengthy reports.
- Process Cal Cards monthly, and invoicing/payments weekly.
- Prepare correspondence, reports, and other materials for the Department Head, Superintendent, and Department.
- Provide information about the Parks Division and Tree related information.
- Order supplies and materials.
- Resolve citizen concerns and complaints/refer to the appropriate party/department.
- Prepare Personal Action Forms.
This is an entry level position performing general office work including mail processing, filing and data entry; typing a variety of correspondence, reports and forms; providing information and assistance to Parks and Recreation staff. Must have excellent customer service skills and the ability to listen effectively and understand and follow instructions. Maintain accurate records, reports, files, etc. Attention to detail and the ability to work cooperatively with all those contacted in the course of employment is essential.
Ideal Candidate
Knowledge of: Modern office practices and procedures; basic mathematics; correspondence forms and correct punctuation, spelling, grammar and vocabulary; and basic records retention systems. Knowledge and ability to operate a variety of office equipment including personal computer, calculator, photocopier, scanner etc.
Ability to: Acquire a working knowledge of the functions, procedures and policies of the City and its operations; perform duties without immediate supervision; maintain accurate and complete records.
Skills: Knowledge of and experience working with various office equipment; computers and software, including Word, Excel & Outlook; calculator, photocopier, and scanner. Communicate clearly both orally and in writing with the public and office staff.
Benefits
Healthy Workplaces/Healthy Families Act: California Paid Sick Leave Benefit, as amended effective 1/1/2024. This benefit accrues at the rate of one hour for every 30 hours worked and is available after 90 days of employment. The maximum use of paid sick leave is 40 hours in a one-year period. There is no cash value associated with benefit.
Vacation Pay. This benefit is for part-time casual employees who work 30 or more days within a year from the beginning of employment with the City of Burlingame, and accrues at the rate of one hour for every 52 hours worked to a maximum benefit of 16 hours per year. No employee shall be allowed to have an accumulation of more than two years’ worth of vacation accrual to their credit at any one time.
No other benefits are offered. This position is at will and is not part of the City's Civil Service System. There is no guarantee of hours and employment may end at any time.

SELECTION PROCESS

- pass a fingerprint check submitted to the Department of Justice
