Staff includes thirty-eight (38) full-time positions consisting of the Police Chief, 2 Captains, 7 Sergeants, 6 Corporals, 17 Officers, a Records Supervisor, a Records Clerk, an Evidence Technician, a .5 Property Clerk, 2 .5 grant-funded Community Service Officers and an Administrative Assistant.

THE POSITION

The current opening is for a full-time position and is under the direction of the Police Records Supervisor. The Police Records Clerk will provide a wide variety of clerical, typing, and computer data entry tasks related to Police records; maintaining accurate Police statistics, records, and files; conducting business and transactions with the public, in person and by telephone; is available for occasional night and/or weekend duty as required, and performing other related work as required.

 

BASIC EXAMPLE OF DUTIES

Duties may include, but are not limited to the following:

• Responsible for all Police statistical record keeping.
• Perform a variety of data entry, typing, and clerical work related to all phases of the Police operation,  such as preparing forms, ordering department supplies, and making appointments.
• Prepare correspondence and compile information for reports.
• Direct requests to proper agencies and departments.
• Enter, update, and maintain data while ensuring accuracy and confidentiality of all information.
• Coordinate service of subpoenas.
• Compile data for Public Records Act requests.
• Approve and prepare reports for the District Attorney.
• Assist the public both in person and by telephone, requiring knowledge of rules and procedures.
• Perform related duties as assigned.

POSITION SUMMARY:

The mission of our city staff, council, commissions, committees, and volunteers is to foster and maintain the City of Los Altos as a great place to live and to raise a family. 

The Marketing Specialist will lead and establish marketing strategies and best practices for the Recreation & Community Services Department, including specific-programs, events, parks, and facilities. This position will employ traditional and digital marketing and communications techniques to develop content, manage social media platforms and webpages, curate collateral, and increase awareness of department offerings. This position will assist with marketing a new 24,500 square foot, Gold LEED equivalent Community Center that will open in spring 2021. This is a part-time position that averages 30-38 hours per week.

• Performs professional public/media relations, marketing, branding (Parks Make Life Better), community engagement, and sponsorship sales duties for the Recreation & Community Services Department.
• Coordinate and execute streamlined communication for the Recreation Department.
• Support brand awareness through social media and email marketing, event planning, and other digital and traditional marketing campaigns.
• Develop written and visual content utilized for social media, webpages, emails, brochures and newsletters.
• Develops, writes, and distributes promotional collateral materials, power point presentations, flyers, postcards, brochures, news releases and articles to enhance the image of the City of Los Altos and the Recreation & Community Services Department.
• Responsible for website content, email newsletter creation through Constant Contact and social media outreach including but not limited to Facebook, Instagram, Twitter, Nextdoor.
• Assists with tasks related to the quarterly publication of the City of Los Altos Recreation & Community Services Activity Guide including editing, cost management and meeting a strict schedule for completion of each edition.

MINIMUM POSITION REQUIREMENTS:

KNOWLEDGE OF: Principles, practices and technology used in marketing and effective outreach using social media techniques as appropriate for a municipality. This includes familiarity with marketing trends, and the technology used to assist in marketing recreation programs and services.

 

SKILL AND ABILITY TO: Respond effectively to citizen needs; establish and maintain cooperative working relationships with others; maintain accurate, organized and complete records; use basic computer applications including Microsoft Office; prepare press releases and other written information; effectively communicate with others and assimilate and understand information; work in a variety of conditions including indoor, outdoors, standing, sitting, alone, and in the proximities of others.

 

PHYSICAL REQUIREMENTS AND GENERAL WORKING CONDITIONS: Regularly required to sit or stand, reach, bend, and walk about the facilities or program sites while performing the duties. Repetitive hand and arm motion, and fine finger manipulation in the use of a computer. Moderate physical effort required, including lifting to 25 pounds. May be exposed to dust, odors, oil, fumes, and noise while carrying out regular duties.

 

EXPERIENCE AND EDUCATION:

• Completion of at least one year of college
• Pursuing a Bachelor’s degree in Marketing, Communications, or Public Relations from an accredited college/university
• 2+ years of work and/or internship experience with the public or in the marketing field
• Must possess excellent communication, organization, problem-solving, and time management skills 
• Effective written and verbal communications skills and strong problem-solving skills
• Ability to maintain a high level of professionalism always
• Basic/Intermediate photography skills
• Understanding of email marketing software i.e Constant Contact
• Experience with publication software, particularly Adobe InDesign and Canva, is preferred

OTHER INFORMATION

Temporary employees are non-benefited, at-will positions. Since the City does not participate in Social Security and is required to provide an alternative retirement plan, you are required to participate in the City's defined contribution retirement plan through Nationwide where 3.75% of your gross compensation per pay period is deducted and put into the plan. The City matches this 3.75% for a total contribution of 7.5% of your gross compensation per pay period.

 

COMPENSATION:

This is a part-time, temporary position. Approximately 30-38 hours per week.

$25.00 to $30.00 hourly DOE

THE POSITION: The City of San Rafael Public Works Department is recruiting for a full-time Administrative Assistant I/II position.  Under general supervision, this position provides responsible, varied, secretarial and office administrative assistance to the Public Works Department.   

 

Administrative Assistant I:  This is an entry level class in the Administrative Assistant series.  This level performs more routine tasks and duties assigned.  Employees at this level are not expected to perform with the same independence of direction and judgment on matters allocated to the journey level.  Since this class is typically used as a training class, employees may have only limited or no directly related work experience.  Employees work under immediate supervision while learning job tasks.

Administrative Assistant II:  This is the full journey level class within the Administrative Assistant series.  This class is distinguished from the Administrative Assistant I by the assignment of the full range of duties.  Employees at this level receive only occasional instruction or assistance as new or unusual situations arise and are fully aware of the operating procedures and policies within the work unit.  Positions in this class are flexibly staffed and are normally filled by advancement from the entry level.

This position performs the following essential job duties:

• Set up and maintain financial, statistical, and operational records, including reviewing departmental payroll submittals and various time sheets.
• Administer and maintain complex procedures, including issuing permits, submitting required information/forms for inter-governmental reimbursements and/or grant monies; and as related to assigned program areas.

• Equivalent.to completion of the twelfth grade AND
• Two years of responsible clerical experience

Administrative Assistant II:

DESCRIPTION/RESPONSIBILITIES:
The actual salary shall be determined by the final candidate’s qualifications and experience.  In addition to the starting salary, employees in the Senior Transportation Specialist classification shall also receive an approximate five percent (5%) ongoing non-pensionable compensation pay. 

The Department of Transportation (DOT) is seeking an Overstrength Senior Transportation Specialist to lead the Local Projects and Grants Section of the Transportation Planning and Project Delivery Division. This position is currently funded through June 30, 2022. Reporting to the Division Manager, this position is responsible for planning, management and delivery of programs and projects that align with the City's multimodal transportation policies. Direct and indirect staff includes Associate Civil Engineers and Associate Transportation Specialists. The position serves as the Division's representative with other departments in the City, consultants, developers, other jurisdictions and agencies, Planning commission, City Council representatives, and the community.

Key responsibilities include the following:
• Coordinating policy development and implementation related to the transportation goals of the General Plan Envision 2040.
• Provide leadership and management of development, capitol, and regional projects.
• Development of projects and programs intended to increase bicycle, pedestrian, and transit use.
• Coordinates the planning and implementation of multimodal goals, policies, and projects.
• Seek and write grant applications for regional, state, and federal grants for various transportation projects in the City.
• Administering and managing grant funded projects including working with regional, state, and federal agencies to meet all grant requirements.
• Manage and administer non-city transportation funding sources such as formula grants from Measure B, SB1 and others as applicable.

• Assisting Division Manager with the budget preparation, personnel, and training matters.
• Representing the Department of Transportation at meetings with internal and external stakeholders.

The District is seeking an Administrative Specialist (Assistant Clerk of the Board) to perform a variety of professional and administrative duties in support of the Administration department and assist the Clerk of the Board in the preparation of agendas, documents and related correspondence in support of the Board of Trustees. This is a journey-level class in the administration series. Under limited supervision, incumbents are expected to perform the full range of assigned duties. The class differs from the lower-level of Senior Office Assistant in the skill level required and the complexity of assigned projects based on knowledge of District’s policies, procedures and all related legal requirements. This classification may be temporarily upgraded to the position of Clerk of the Board as necessary. The classification is characterized by the responsibility for working independently and exercising independent judgement and decision-making.

SELECTION PROCESS:

The Vallejo Flood and Wastewater District application and supplemental questionnaire must be submitted online at www.calopps.org by the filing deadline of August 4, 2021. The most qualified candidate(s) will be invited to participate in the examination process.

The examination process (which includes a one-year probationary period upon hiring) may include, but is not limited to, a written examination, practical examination, application screening, oral board, hiring interview and/or panel selection interview. One or more of these steps may be used and in any order.

An in-person panel selection interview has been tentatively scheduled for the week of August 16, 2021.

Candidates successful in the examination process will be placed on an eligibility list. The list may be valid for up to two years.  Applicants meeting the minimum qualifications are not guaranteed advancement to the examination process. Placement on the eligibility list is not a guarantee of a final hiring interview.

Successful candidates not currently employed in regular status by the District must pass a pre-employment physical to be considered for an appointment.

The City of Sunnyvale is seeking a Public Safety Senior Records Specialist responsible for performing a wide variety of general administrative, technical, and clerical records support duties in the Records Division of the Department of Public Safety, including maintenance of records and files, providing support to sworn personnel, and providing information to the public, outside agencies and departmental staff; and providing lead supervision to division staff. Graduation from high school or tested equivalent; AND
Two years of experience as a Public Safety Records Specialist I/II with the City of Sunnyvale or three years of clerical or technical experience in a related law enforcement records capacity in a criminal justice agency that would provide the required knowledge, skills and abilities is required for this position.
