The Analyst I/II for the Fire Communications Division is responsible for analytical work in areas including, but not limited to, call processing times, overtime, recruitment, and budget.

This is a newly authorized position which offers an exciting opportunity for the selected candidate to play a pivotal role in establishing formal analytical processes within Fire Communications. As this position is the only analytical employee assigned to Fire Communications, the employee is expected to assume a leadership role for most analytical functions within the division.  A high level of independence and job expertise are vital.  The employee in this position should be able to identify problems, research solutions, and provide recommendations with minimal guidance or supervision.  Fire Communications staff rely on the Analyst I/II to be a resource person for analytical questions and requests.  

Key responsibilities of this position include:

     * Developing and maintaining a comprehensive Fire Communications analytic program. This will involve working with the Communications Manager and each of the Supervising PSDs to define the measurements of the data to be analyzed, learn how to access the data, create, and maintain reports.

     * Leading the Fire Communications recruitment program under the direction of a Supervising PSD or the Communications Manager. This will include researching and analyzing current and potential recruitment strategies, analyzing and tracking academy success rates, and analyzing and tracking the success and failure rates through various steps in the hiring process.

     * Tracking the Fire Communications budget. This includes billing, spending trends, and budget proposals.

     * Supervises clerical or technical personnel in administrative support functions as assigned.

     * Conferring with department management and attend high-level meetings.

     * Under the direction of a Supervising PSD or the Communications Manager, participate in hiring processes, including proctoring tests and compiling results.

     * Other duties as assigned.

Tasks assigned to the position necessitate an ability to maintain confidential information essential to the Communications Division.  Outstanding customer service skills, both on the phone and in person, are required as the duties include working with staff from Fire Communications and other Fire Department divisions, other City employees, as well as members of the public.  Strong skills in Microsoft Office programs, including Outlook, Word, Excel (including Pivot Tables), and using the internet for business communications and research are required.

The Environmental Services Department (ESD) is recruiting to fill two Principal Office Specialist positions located at San José City Hall (CH) located at 200 E. Santa Clara Street. 

Administrative Services Position:  This position is a key member of ESD’s Employee Recognition Committee, leads two office specialists, and supports the work and staff of the Administrative Services and Sustainability and Compliance Divisions. In addition, this position serves the important role of back-up for the ESD Council Liaison.

Typical duties include but are not limited to:

     * Provides administrative support for the Administrative Services and Sustainability and Compliance divisions

     * Leads and manages the day-to-day activities of the Administrative Services clerical staff, including leading, assigning, scheduling and checking work, providing performance feedback

     * Administers the Department’s Cell Phone program

     * Serves as back-up for the department’s Council Liaison

     * Serves as the department’s Employee Recognition Committee lead

Watershed Protection Position:  This position provides administrative support for a division of 100 staff.  This includes supporting the needs to staff for training, personal development program reimbursements, meeting coordination, purchasing card transactions, and invoicing.

Typical duties include but are not limited to:

     * Proving administrative support for Deputy Director which will entail scheduling, memo coordination, performance appraisals or any documents that requires Deputy Director’s approval

     * Providing support for Deputy Director and taking the lead in organizing and managing coordination for any meetings with program managers, supervisors or entire division using agile methodologies (i.e. Sprint planning), goal setting (i.e. Objective Key Results) quarterly meetings, bi-annual division check in meetings etc.

     * Manges any Professional Development Program, membership requests from staff within the Division

     * May need to provide front desk support.

Responsibilities for both positions include but are not limited to:

     * Completes Travel Requests and makes travel arrangements

     * Editing and formatting ensuring timelines are met, updating Excel tracking spreadsheet, and coordinating with staff within ESD and other City departments as well as maintaining internal website for processing

     * Schedules conference rooms and meeting preparation

     * Creates and/or edits PowerPoint presentations, Excel spreadsheets, Word Documents

     * Planning, coordinating, scheduling, and executing various activities.

     * Scheduling calendar requests

     * Supporting human resources functions and maintaining confidential information

     * Manages Purchasing card purchases for division needs

Peninsula Clean Energy is governed by a 23-member Board of Directors, which is comprised of a representative from the governing body of each member community.

THE POSITION

The Peninsula Clean Energy Authority seeks qualified candidates for the multi-function role of Board Clerk/Executive Assistant/Office Manager. This is an exciting opportunity to become involved with Peninsula Clean Energy (PCE). The efforts of the Board Clerk/Executive Assistant/Office Manager will help PCE increase renewable energy usage and reduce greenhouse gas emissions for this geographic area. This position will function as administrative support to the PCE Board of Directors, as executive support to the CEO, and as Office Manager for the two offices located at our headquarters in Redwood City

As Board Clerk, you would provide expert administrative support to the Board of Directors and PCE staff in the preparation and maintenance of public records and interaction with public officials. In addition, the Board Clerk will establish, set, maintain, present, and distribute agendas and Board meeting material and minutes, and respond to inquiries from Board members and the public. The Board Clerk will also coordinate Board-related meetings and maintain records of Board actions taken.
 
As Executive Assistant, you would help PCE’s CEO to coordinate and schedule multiple meetings, track requests for document review, and assist the CEO to prepare for various meetings.  In addition, the Executive Assistant will assist with the composition of resolutions, staff reports, Board summaries, and other official PCE documents.

As Office Manager, you would be responsible for managing various office needs including office supplies, mail, kitchen use and supplies, and office equipment maintenance and repair. In addition, the Office Manager coordinates office design and construction.
 
This position will often be the first point of public contact for PCE and will have frequent interaction with PCE officials, community members, and members of the public regarding official PCE Board of Directors issues, such as public meetings, agenda items, and general operations. The selected candidate must exercise initiative, discretion, and good judgment in the analysis and resolution of issues that require technical or specialized knowledge of the PCE organization along with its policies and procedures. 

Essential Duties and Responsibilities

• Prepare draft agendas from material submitted by staff; word process, organize and collate (if necessary) final agendas with supplemental material for distribution
• Review supporting documents for agenda items, screening for discrepancies, ensuring materials are relevant, accurate, and appropriately processed in accordance with legal requirements and PCE procedures
• Prepare and distribute meeting material for Regular Board meetings, Special Board meetings, and various Board Committee meetings, including posting to PCE website, distributing to PCE list-serve
• Record minutes at the Board of Directors meetings, including recording the essential content of discussion, motions and votes, transcribing notes and checking draft copies of minutes for grammatical usage, technical terminology, spelling, and sentence structure
• Answer public inquiries in person, by phone, and by email, and route inquiries as necessary to appropriate PCE staff
• Prepare resolutions and staff reports as necessary
• Interface with general counsel regarding meeting legal requirements including for public noticing and the Brown Act
• Post and update meeting materials and Board-approved documents on PCE's website as needed
• Take appropriate follow-up action on the Board's decisions, such as notifying interested parties on specific items
• Maintain records of Board actions, including but not limited to minutes and resolutions
• Provide PCE Board Directors, committees, and staff with logistical support for meetings, presentations, and events, including all logistical agency meeting and event coordination (such as location, room reservations, amenities, and materials)
• Ensure collection and filing of annual Form 700 submittals from PCE Board members as well as designated staff and consultants
• Provide planning and management support for PCE events
• Ensure maintenance of Board-related records according to PCE rules and policies, including Board meeting archive material and informational material
• Research, compile, and organize information and official records for use by Board members, PCE staff, and the public
• Provide direct support for CEO on administrative tasks and calendar scheduling
• Perform routine tasks including duplicating, photocopying, and assembling bulk mailing
• Maintain office supplies to meet the needs of PCE Board members and staff
• Coordinate office maintenance and upkeep including furniture, office equipment, janitorial coordination. Maintain kitchen supplies and office/building maintenance and construction, when needed

QUALIFICATIONS

The ideal candidate would have:

Experience/Education
Any combination of education and experience that would provide the knowledge and abilities listed. Typically, equivalent to possession of an Associate of Arts degree in business administration or related field, and at least 5 (five) years of responsible clerical experience, which has included considerable exercise of initiative, attention to detail, and independent judgment.  Experience and proficiency using Microsoft Office (word, excel, powerpoint) and Adobe Acrobat. 

Knowledge of:

• Modern technology, systems, and software designed to assist in the computerized management of information
• Principles for dealing successfully with individuals of various ages, and members of various ethnic and socio-economic groups
• Data processing applications and systems, and the principles of modern office management
• Standard office administrative and secretarial practices and procedures, including business correspondence, correct English usage, grammar, spelling, vocabulary, and punctuation
• Records management principles and practices, and research methods and techniques

Ability to:

• Develop a thorough knowledge of the role, organization, policies, and procedures of the Board of Directors and PCE

TEMPORARY: Given the current COVID-19 pandemic, work will be performed in a remote, work-from-home environment until further notice.

ENVIRONMENT: Work is performed in a typical office setting with exposure to computer screens with moderate noise and will require some evening and weekend work. The noise level in the work environment is usually typical of an office environment and public events.

Performs a wide variety of responsible and confidential administrative duties in support of the City Manager's Office.  Performs duties that require considerable confidentiality, initiative, strong interpersonal and organizational skills.  Coordinates meetings and activities for City Council as well as with other departments and outside agencies.  This position works directly with the Principal Management Analyst in the City Manager’s office to perform a vast array of projects including press releases.

Provide information and assistance to City staff and the public in researching information related to City regulations and department policies. Provide research assistance in a variety of municipal administrative areas. Investigate complaints and recommend corrective action as necessary.

BASIC EXAMPLE OF DUTIES

The Public Works Department is seeking qualified candidates for the position of Carpenter /Mill Cabinet Worker.

Under general supervision, Carpenters /Mill Cabinet Workers perform journey-level skilled rough and finished carpentry work, including construction and repair of wooden structures and components; maintain, repair, and replace building hardware; and perform related Carpentry or cabinet making duties as assigned.  

In the area of Construction Carpentry, duties include, but are not limited to, the following:

• Construct, remodel, maintain, and repair various types of buildings and structures

• Lay out and build concrete forms; place and finish concrete
• Hang doors and install sash and window glazing

• Build and install interior trim and finish carpentry work
• Fabricate and install complex finished hardwood cabinetry using non-dimensional hardwoods
• Operate power planers, lathes, saws, routers, and other power tools in working various hardwood shapes into dimensional sizes
• Fabricate and install laminated plastic counters
• Assist other trades as directed by supervisor
• Perform related duties as assigned

The ideal candidate will have the following: 

• Journey-level skills to perform routine repairs such as repairing doors, replacing glass in windows, patching roof leaks, and replacing ceramic and ceiling tiles in our County facilities
• Well-rounded carpentry experience
• Excellent customer service skills
• Ability to work independently without assistance

Possession of a California driver license is required
 
There is currently one vacancy within the Department of Public Works in the Facilities, Maintenance, and Operations section.
 
IMPORTANT: Carpenters are required to work at various locations throughout the County of San Mateo including County Facilities/Buildings, San Mateo Medical Center, Hall of Justice, Maguire Correctional Facility, Maple Street Correctional Facility, and Youth Services Center.  Candidates will be required to complete an extensive security clearance package and undergo a thorough background check conducted by the County of San Mateo Sheriff's office prior to hiring. The selected candidate must be cleared to work in a locked facility and around detainees.

QUALIFICATIONS

License: 

• Valid California driver license.

Security Clearance: 

• Ability to pass an extensive background check and maintain jail security clearance.

Education and Experience: Any combination of education and experience that would likely provide the required knowledge, skills and abilities is qualifying. A typical way to qualify is:

• A minimum of 5-years of experience working in trades, or
• Completion of certified apprenticeship program with Journey-level status as a Carpenter or a Mill-Cabinet Worker.

Knowledge of: 

• Standard practices, materials, tools, machines, and equipment used in the carpentry and/or the millworker trade
• Basic provisions of the Uniform Building Code as it relates to carpentry construction standards
• Preparation of dimensional sketches and the fabrication of specified products
• Methods of fire stop caulking

Skill/Ability to: 

• Use hand and power tools
• Read blueprints and work from sketches, plans, and specifications
• Perform layout work
• Estimate labor and material requirements for small jobs
• Follow written and oral instructions
• Keep records
• Work courteously and effectively with the public and with co-workers
• Bend, stand, and walk for extended periods of time
• Lift and carry equipment and supplies used in the course of the work, such as lumber, concrete, and fencing materials
• Obtain and maintain jail security clearance

The City of Half Moon Bay will host a fully remote internship position for a current or recently-graduated student with the Communications/ City Clerk Department.

About the City

The City of Half Moon Bay is a Bay Area coastal community of approximately 12,500 residents and is located 25 miles south of San Francisco. The City is governed by a five-member elected City Council and utilizes the council-manager form of government. The City Council appoints a City Manager who is responsible for the oversight of daily operations and provides leadership for the City’s programs. About the Department.

The Communications/ City Clerk Department is seeking an enthusiastic, highly motivated, and innovative individual interested in sharpening their communications skills in a municipal government setting. This internship provides an excellent opportunity for an individual interested in enhancing their knowledge and experience in city administration, local government, and community engagement. The successful candidate will have the opportunity to assist in outreach, digital media, and other communications initiatives. Through mentorship and under general supervision, the successful candidate will be responsible to complete specific projects and a variety of ongoing assignments to help develop their knowledge and skills. Some of the various projects and responsibilities may include, but are not limited to:

• Assist with Social Media content and monitoring.
• Assist in the development of community outreach programs and events.
• Assist with elections and district election community meetings (planning and outreach).
• Support the Communications Director/City Clerk and Communications Program Manager on numerous interdepartmental projects.

Minimum Qualifications

Applicants must be college students living in California, currently enrolled in and pursuing an undergraduate or graduate degree, or recently graduated, at an accredited college or university in a related field (e.g., Communications, Digital/Graphic Design, or Public Administration).
