THE POSITION:

The ideal candidate for the Senior Secretary position in the City Clerk's Office will be a highly organized and detail-oriented individual, capable of handling a wide range of administrative and clerical duties. They should possess excellent communication skills, both written and verbal, to efficiently interact with members of the public, City officials, and other departments. Strong proficiency in office software, including word processing and spreadsheets, is essential for this role. The candidate will also need to demonstrate a deep understanding of record-keeping and be able to maintain confidentiality with sensitive information. Familiarity with the City's legislative process, Municipal Code, and Public Records Act is a plus. Additionally, the ideal candidate should be a proactive problem solver, with the ability to prioritize tasks and manage multiple projects simultaneously. Experience in taking minutes for a public body and interacting with members of the public is highly desirable.

The Senior Secretary position is a City-wide classification utilized in many departments. The current vacancy is in the City Clerk's Office; however, this list will also be used as vacancies open in other City departments.
 

 

Essential Duties

What you will do: 
Duties may include but are not limited to the following:

• Relieve supervisor or other department staff of administrative support service functions; utilize independent judgement and initiative.
• Act as interdepartmental liaison relating to administrative or project support functions for the office and for compliance with city regulations and practices relating to those functions.
• Perform administrative clerical duties related to area of assignment such as rent review, automated inventory systems or plan review.
• Interpret, apply and explain polices and procedures related to area of assignment; determine eligibility of participation by individuals requesting services related to area of assignment.
• Prepare correspondence and supporting documentation relating to area of assignment; maintain accurate records and files of program activities.
• Plan, assign and review the work of assigned clerical  personnel including providing input on performance evaluations.
• Respond to public inquiries, both on the telephone and in person, and refer to appropriate staff member for more specific information as appropriate; exhibit familiarity with functions of the city.
• Assist in preparing procedures, operating manuals, written material, budgets, forms, charts and/or other documents for internal or external distribution.
• Act as information source to inquiries not requiring the supervisor's attention and otherwise assist in representing the department by telephone and in person.
• Type letters, reports, memoranda and other documents relating to the department or division which may include contracts, proposals, technical documents, statistical and/or special forms, budgets, and charts.
• Compose routine correspondence and memoranda; proofread for accuracy, correct form, content and proper English usage.          
• Collect information from a variety of documents pertinent to assigned department or functional area of responsibility; compile data for reports; prepare routine reports as required.
• Maintain and monitor records and files; follow up on due dates; perform other monitoring functions to ensure timely completion of work.
• May make appointments for staff and maintain daily  calendars; may arrange meetings and conferences for supervisor and/or other administrative staff; prepare material and handle transportation when necessary.
• Perform related duties as assigned.

The City of Berkeley invites you to apply for the position of Assistant to the City Attorney! In this role, you will provide highly responsible and specialized administrative and analytical and support within the City Attorney’s Office. You'll perform sensitive, complex, and difficult analytical work as a member of the City Attorney’s staff, including providing analytical support on issues that have significant city or community implications.

The General Maintenance Worker is essential to maintaining the cleanliness, safety, and overall appearance of our community spaces. This role involves a wide range of responsibilities, including:

The Department

The Community Services Department strives to improve the health, wellness and quality of life for Fremont residents by offering a wide variety of exceptional educational and recreational programs and services, historic and cultural resources, facilities, unique attractions, special events, park use and urban forestry.

The Position

The Deputy Director oversees the Recreation Division including the Park Rangers, and management of all recreation programs and activities; other department divisions or sections may be assigned.  The incumbent assists in departmental policy development, administrative and budgetary planning, and problem solving for the Community Services Department, and acts as Director in their absence; performs related duties as required.

DEFINITION:

Plans, organizes, and supervises the Property and Evidence Section within the Police Department; performs and supervises a wide variety of duties involving the intake, storage, maintenance and distribution of property, evidence and supplies held by the police department.

CLASS CHARACTERISTICS:

The Property and Evidence Supervisor is a single position within the Police Department responsible for facilitating the safe and secure storage of all property and evidence under the department’s control. The position functions with a degree of autonomy that distinguishes it from the Property and Evidence Specialist classification, which primarily functions as a support position.  

EXAMPLES OF DUTIES (illustrative only)

Duties may include, but are not limited to:

• Assign, schedule, train and supervise the operation of the Property and Evidence Section.

• Receive, record, seal, store, and maintain strict security control of all incoming evidence and property acquired by the Police Department.

• Attend training sessions on proper procedures for firearms safety, infectious disease control, hazardous materials awareness, occupational exposure to blood borne pathogens, evidence tracking and control systems, general forensic laboratory, and evidence collection, packaging, and sealing.

• Coordinate the 4th of July fireworks confiscation and destruction with Cal-Fire.

• Perform a variety of other duties as assigned.

TEEN CENTER/ KIDS NIGHT OUT PROGRAM STAFF

Salary Range: $17.37 to $28.95/hour depending on experience.

This is a part-time, temporary, non-benefitted position; 15-20 hours per week (not to exceed 950 hours per fiscal year); predominantly afternoon/early evening schedule with some weekends and concurrent with the school year.

SUPERVISION

General supervision received from the Program Coordinator. May exercise supervision of other staff depending on position.

GENERAL DUTIES

Responsible for general oversight of and ensuring the safety of the after-school youth programming. Specific responsibilities to include:

• Organize and execute a variety of daily and weekly activities for participants ranging in ages 5 –14   including art, crafts, and games
• Mentor and role model, strive to inspire and guide participants towards their full potential
• Maintain accurate attendance records on a daily and weekly basis
• Effectively facilitate and/or lead small and large groups of youth.

Middle School (Teen Centers) 

Our Teen Centers provide a secure and entertaining atmosphere for middle school students to spend their after-school hours. The centers are furnished with the latest game consoles, high-definition TVs, sports equipment, computers with internet access, board games, and other amusing activities. We operate on early release days and select non-school days, but we are closed during holidays.

Youth Services/Kids’ Night Out Program

Under the general supervision of the Youth Program Coordinator and direct supervision of the Youth Program Assistant, Youth Services staff is responsible for supervision and safety within the bi-monthly Kids’ Night Out Program, including implementing a variety of crafts, games and activities for youth ages 5 to 11.

PROGRAM LEADER (Theatre Technician)

Salary Range: $17.37 to $23.15/hour, DOE

• This is a part-time temporary, non-benefitted position.
• Flexible schedule of 15-20 hours per week, including some evenings and weekends; not-to-exceed 950 hours per calendar year.
• This position is located at Village Theatre and Art Gallery.

SUPERVISION EXERCISED AND RECEIVED

General supervision is received from Program Coordinator. This position does not exercise supervision over others.

ESSENTIAL JOB DUTIES

Essential duties are inclusive of, but not limited to the following:

• Assist renters and various user groups during events in Town facilities.
• Operate lighting and/or sound equipment.
• Box office management, reporting, and cash handling.
• Maintain and keep facility clean and in good working order during and after events.

QUALIFICATIONS

Applicants must have successfully completed 12th grade and be at least 18 years old with two years of experience in live performance theatre, with experience in operating theatrical lighting and sound or has taken relative coursework.  Set construction, production management and/or stage management is a plus.

Knowledge of:

• Operations, services and activities of technical operations of theatre programs.
• Theatre pre-performance, performance, and post-performance activities.
• Office procedures, methods, and equipment, including computers and applicable software applications.

Ability to:

• Work flexible hours, including weekends or holidays.
• Lift 50 pounds; carry 30 pounds.
