GENERAL PURPOSE:

Under general supervision, performs a wide variety of routine to moderately complex clerical and customer service-related duties requiring program knowledge, technical evaluation of information, and the use of clerical skills to support the operations of the assigned department.  This current part-time vacancy will reside in the City Manager’s Office focusing on Human Resources tasks.

ESSENTIAL FUNCTIONS:

• Receives visitors and telephone calls; answers questions, and provides departmental information, documents, or forms requiring specialized knowledge; routes or directs individuals as appropriate.
• Receives, date stamps, reviews, and distributes department mail.
• Performs varied clerical duties related to the department as assigned.
• Establishes and maintains routine databases and filing systems; files, scans, and archives documents.
• Researches readily available information; enters and compiles data in paper and electronic files; compiles and prepares basic reports regarding division activities in the area of assignment.
• Provides backup support for other administrative support staff as necessary.
• Assists with the following Human Resources duties: Workers’ Compensation claims; Onboarding new employees; Benefits enrollment; Recruitments; Preemployment; Employment verifications; Policy review and interpretation; Financial audits; EDD claims.
• Assists with reviewing, evaluating, and updating forms, policies, procedures, and manuals.
• Performs other related duties as assigned.

Physical Demands:

While performing the duties of this class, the employee is constantly required to sit, and frequently to stand and walk to counter areas.  The sensory demands include the ability to talk, and hear, both in person and by telephone; use hands to finger, handle, feel or operate computer hardware and standard office equipment; and reach with hands and arms.  The employee occasionally lifts and carries records and documents weighing less than 20 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.

Mental Demands:

While performing the duties of this class, the employee is regularly required to use oral and written communication skills; read and interpret data; and interact appropriately with staff, management, vendors, and the general public in the course of work.

WORK ENVIRONMENT:

The employee frequently works in office conditions where the noise level is usually moderate, at and below 85 decibels.

SALARY

This is a part-time, at-will, non-benefited position. Hours are limited to less than 1,000 hours per year.

BASIC EXAMPLE OF DUTIES

Duties may include, but are not limited to the following:

• Perform a variety of unskilled/semi-skilled maintenance or custodial duties involving manual labor of facilities, parks, storm drains, streets, etc.
• Clean and inspect facilities for vandalism or potential hazards.
• Sanitize surfaces, repair minor plumbing problems, diagnose basic sewer issues, replace components on fixtures.
• Maintain area(s) as assigned including parks and public buildings, performing basic repairs, inspections and landscaping.
• Load and unload supplies and materials.
• Assist with various areas of public works such as minor asphalt repairs, brush removal, facility repairs, stewardship of protected species, etc.
• Perform related duties as assigned.

Under the direction of the Recreation and Community Engagement Department, the position is responsible for Reception/Cashier duties at City Hall and assisting with City events.

This entry-level classification requires limited time on the job before an incumbent can function at the full journey level. When assigned to the front desk at City Hall, one will perform various clerical tasks, including receptionist duties, basic cashier, customer service, program registration, record keeping, data entry, filing, and support of special events or projects.

When assigned the task of Recreation Assistant, will perform a variety of functions to support the Recreation Department's programs, including working directly with youth participants, assisting with planning activities, and providing customer service. Responsibilities may include clerical duties like program registration, record keeping, data entry, filing, and support of Department special events.

This position is not responsible for the direct supervision of other Department staff but may provide direction and assist other staff/volunteers during a program and/or activity.

The San Mateo County Registration & Elections Division is seeking seasonal Election Worker - Candidate Service Office Assistant to assist in the upcoming November 5, 2024 Presidential General Election. This is an excellent nonpartisan opportunity to be involved in the election process!
 
We are currently seeking dedicated and hard-working individuals for temporary, full-time positions to be hired into our Candidate Services Unit. This position encompasses:
 
Clerical Support:

• Data Entry
• Preparing/Receiving Forms
• Filing Completed Forms
• Prepare, organize, and mail certification documents

 
Customer Service:

• Organize and schedule filing appointments with potential candidates
• Work in-person with candidates on filing papers
• General knowledge of deadlines/forms to assist candidates

The hourly wage for this position starts at $22.59. Overtime is expected. 
 
NOTE: This is an extra-help, at-will assignment, paid on an hourly basis. Extra-help hours are dependent on the business needs of the department and therefore work hours may vary from week to week. Qualifications

Ideal Candidate Service Office Assistants will have a minimum of one year of general clerical, office assistant, phone services, or computer experience. At least one election cycles worth of experience in Candidate Filing is preferred as well.
 
Critical Skills include the ability to prioritize work, coordinate several activities organize, and maintain accurate files and records, and understand and carry out oral and written directions. As an Office Assistant it is also integral to have a positive attitude and demonstrate good leadership to assist other members of the team and help ensure day to day operations run smoothly.
 
Office hours are 8:00 am to 5:00 pm, Monday through Friday. These positions may require weekend and evening work assignments. The selected individuals must be available for the entire employment period until the completion of their assignment.

The Office of the Assessor-County Clerk-Recorder and Chief Elections Officer is seeking enthusiastic and committed applicants for the position of Elections Specialist II.
 
The current position is a full-time, temporary (extra-help) position. Extra-help positions are at-will assignments, paid on an hourly basis. Some extra-help positions are eligible for benefits under the Affordable Care Act. Extra help employees are not guaranteed permanent status at the end of the assignment.
 
The ideal candidate has working knowledge of the election process, experience working in an elections office, and the ability to interact professionally with elected officials, high-profile candidates, and members of the public.

 

Examples Of Duties

The Elections Specialist II, under general supervision, provides a broad range of office, technical, and specialized support to the election process. This is a great opportunity for an interpersonally effective, innovative, and hard-working individual to contribute to the elections process by:

• Compiling sample ballots, specialized election documents, and similar materials with accuracy, completeness, and correct English usage.
• Schedule and manage teams of personnel for function testing, operating voting equipment, ballot retrieval, couriers.
• Coordinate the deployment and recovery of Vote Centers between Elections units and vendors.
• Train warehouse and field technicians on warehouse safety, secure equipment setup and usage, etc.
• Researching and assembling various election related information.
• Maintaining files, updating databases, and generating reports.
• Leading temporary workers in performing elections related work.
• Providing clear and accurate information regarding elections, voter registration, and related policies to the public.
• Contributing in the education of voters and training of temporary elections workers through various outreach activities, events, and classes.
• Processing a variety of forms and documents, such as registration affidavits and absentee ballots in a high-speed electronic setting.
• Proofreading sample ballots, specialized election documents, and similar materials for accuracy, completeness, and correct English usage.

Qualifications

Education and Experience:  Any combination of education and experience that would likely provide the required knowledge, skills, and abilities is qualifying. A typical way to qualify is equivalent to two years of general clerical or office support experience.
 
Knowledge of:

• Basic California election laws, regulations, and procedures.
• Basic inventory control methods and techniques.
• Office administrative practices and procedures, including filing and the operation of current office equipment.
• Basic business data processing principles and the use of office or online computer applications.
• Business arithmetic, including percentages and decimals.
• Recordkeeping principles and procedures.

• Perform technical, specialized, and complex election support work.
• Read, interpret, and apply rules, polices, and procedures.
• Organize, research, and coordinate election files and databases.
• Use initiative and sound independent judgment within established guidelines.
• Operate standard office equipment, including typing with enough speed and accuracy to produce correspondence and enter information into a computer system.
• Establish and maintain effective working relationships with those contracted in the course of the work, which include high-profile candidates, elected officials, temporary workers, and other agency personnel.
• Overseeing testing functions of electronic voting equipment.
• Inventorying and moving voting equipment and Vote Center supplies.
• Overseeing delivery, connection and testing of voting equipment at Vote Centers.
