ABOUT THE POSITION

The Executive Assistant/Deputy District Clerk independently performs a wide range of highly responsible, confidential, and complex administrative duties to a small team of Executives. Additionally, this classification supports the District Clerk in preparing and delivering the District Board agenda packets, meeting notices, resolutions, and related materials;  assisting with the District election processes; provides administrative support maintaining the District’s records management system; attends Board and Committee meetings and facilitates streaming technology; and functions as the District Clerk in their absence. WORK ENVIRONMENT

The Executive Assistant/Deputy District Clerk will be required to attend evening Board/Committee meetings. Meetings may be held in Los Altos or offsite.  This position is part of the General Manager’s office at Midpen’s office in Los Altos, California. Midpen offers a hybrid office/telecommute work environment for this position.

EDUCATION AND EXPERIENCE

Any combination of training and experience that would provide the required knowledge, skills, and abilities is qualifying. A typical way to obtain the required qualifications would be: 

• Equivalent to the completion of the twelfth (12th) grade supplemented by two (2) years of college-level coursework in business or secretarial science and
• Three (3) years of responsible secretarial experience involving assisting executive management or a high-level officials with administrative duties.
• Experience in a City or Special District Clerk’s Office is highly desirable.

LICENSES & CERTIFICATIONS REQUIRED

Possession of a valid California Driver’s License.

Certified Municipal Clerk designation is desirable.

DESCRIPTION 

The City is seeking a strategic and collaborative IT Manager to join the newly established IT Department! In this key leadership role, you will oversee the City’s infrastructure and operations division, including cybersecurity, information systems, data center, network infrastructure, and help desk, while guiding technology strategy that supports operations across all departments.  

The position is responsible for managing IT staff, system implementations and upgrades, partnering in the development of long-term technology plans, and ensuring reliable, secure, and efficient IT services. ABOUT THE OPPORTUNITY:
The Business Operations Coordinator (BOC) is responsible for developing, implementing and monitoring efficient systems to manage the District’s business office, properties, entrepreneurial enterprises, service and vendor contracts, media management, and IT support services. This includes ensuring compliance with regulatory mandates, facility requirements, and workplace safety.

The BOC is a full-time exempt position that reports directly to the CEO.

DUTIES AND RESPONSIBILITIES:

1. 1. Provides comprehensive administrative and operational support to ensure effective implementation and community impact.
   1. Coordinates District-sponsored and community outreach events—in both virtual and in-person formats—in collaboration with District leadership.
   2. Provides oversight of the District office operations to identify opportunities to improve efficiencies, inventory and supplies management, document, and key security, tracking annual policy review and report filing requirements, and utilization of classroom facilities.
   3. Maintains a clean, well-organized office environment for team and visitors.
   4. Assists the Strategic Initiatives Director in managing the Community Health Investment portfolio, including utilizing and maintaining the District’s grant management software to track and support the community grants program.
   5. Oversees and manages district office operations and leasing budgets.
   6. Maintains IT services, triaging issues, tracking performance of various pieces of equipment, and helping identify IT issues that may benefit from more user training.
   7. Assists with accounting tasks as directed by CEO, including processing bank deposits and printing checks with Staff Accountant.
   8. Maintains a system for managing and regularly auditing vendor contracts to ensure compliance with performance obligations and identify opportunities for cost and service improvements.
   9. Contributes to the overall success of the District by providing support to programs and initiatives as assigned by the CEO.
2. Serving as primary PHCD contact for tenants, property manager, and vendors serving the eight District-owned properties This includes such activities as:
   1. Tracks lease terms and rent increases and taking timely, appropriate actions via Doorloop.
   2. Maintains effective tenant relationships with professionals and their staff.
   3. Establishes and carrying out a preventative maintenance program for all buildings in collaboration with the CFO and property manager.
   4. Primary liaison for facilities consultants
   5. Makes periodic rounds to ensure tenants are compliant with their property maintenance obligations.
   6. Works with leasing agent when a vacancy occurs.
3. Overseeing and strengthening all District communication channels, ensuring consistency, compliance, and effective public engagement.
   1. Manages all District websites are compliant with regulatory and special district transparency requirements, content is current, and sites are “user-friendly”
   2. Serves as primary liaison with the District’s communications and website professionals
   3. Serves as primary point person for coordinating, producing, and tracking analytics of external communications for websites, e-newsletter, social media, and related materials, in collaboration with the CEO, Directors, and District communications and marketing professionals.
4. In the absence of the Executive Assistant:
   1. Provides administrative support to Board Members, Board Committees, including scheduling meetings, preparing and distributing noticed meeting materials, and coordinating meeting logistics.
   2. Supports the CEO and Board with daily calendar management, communications, event and conference bookings, annual board policy review, staff meetings, and District transparency recertifications.
5. And all other duties as assigned.

REQUIRED SKILLS AND EXPERIENCE

• Experience supporting administrative staff
• Working for or with government/public agencies in California (preferred, not required)
• Experience with a range of standard office equipment
• Experience with technology modalities, including setting up of devices and light technology troubleshooting
• Excellent experience with PC/ including Microsoft Office Suite, Outlook, Google
• Suite, Adobe Pro, WordPress, BoardDocs, Mailchimp, and virtual teleconferencing platforms (Zoom, Teams, Google)

This is a full-time position. Compensation range based on experience: $55,000 - $85,000.

PROJECT DESCRIPTION

Housed within the Office of the President, this position will operate at a cross-divisional level, partnering with academic affairs, student services, workforce development, and administrative leadership to drive strategic initiatives from concept through implementation. Core areas of responsibility include advancing enrollment growth strategies, strengthening retention and completion pathways, aligning academic programs with regional workforce needs, expanding equity-centered student supports, and cultivating high-impact community and industry partnerships. This role will contribute to data-informed decision-making, continuous improvement efforts, and the overall enhancement of institutional effectiveness.

The pay cycle is bi-weekly.  No other benefits compensations are provided except for worker's compensation coverage and sick leave.  Employees must contribute 1.45% of their salary to Medicare and 7.5% to a retirement plan under Federal Law.

Typical work hours are from 8:00 a.m. to 6:00 p.m., Monday through Thursday; and 8:00 a.m. to 12:00 p.m. Friday, up to 40 hours per week.

PROJECT DESCRIPTION
The Community College Education Policy and Programs Coordinator will support the implementation of Woodland Community College’s new Strategic Plan, with a focus on capacity building, student success, and socioeconomic mobility.

Housed within the Student Services Department, the Coordinator will advance strategic initiatives designed to strengthen student support systems, improve program coordination, and enhance outcomes for disproportionately impacted student populations.

The Fellow will work on a portfolio of projects and related events that may include:

• Analyzing student services data (retention, persistence, completion, utilization of support programs) to identify equity gaps and opportunities for improvement

• Research best practices related to student support programs (e.g., advising, basic needs, financial aid outreach, career services, transfer services)

• Supporting cross-departmental coordination efforts to align student services with strategic plan priorities

• Assisting in the design and implementation of new or redesigned initiatives that promote student success and socioeconomic mobility

• Supporting strategic plan events, stakeholder engagement efforts, and community partnerships

• Develop reports, presentations, training materials, and guides to support students

• Documenting processes and building tools to strengthen institutional capacity within Student Services

A key focus of the role will be translating strategic goals into actionable program improvements that enhance student access, persistence, completion, and post-college outcomes.

THE POSITION OBJECTIVES/GOALS

Build practical skills in analyzing higher education policies and evaluating program effectiveness within a community college context. Contribute to assessment efforts by reviewing data, identifying performance gaps, and supporting evidence-based recommendations to strengthen student outcomes.

2. Gain Hands-On Experience in Strategic Plan Implementation within Student Services
Support the operationalization of institutional priorities by assisting with initiative tracking, performance measurement, and cross-department coordination. Develop a working understanding of how strategic goals are translated into measurable actions within Student Services.

3. Strengthen Institutional Capacity-Building Competencies
Enhance skills in cross-functional collaboration, systems thinking, and process improvement. Participate in efforts to streamline workflows, improve service delivery, and reinforce structures that support long-term institutional effectiveness.

4. Advance Equity-Focused Student Success Strategies
Contribute to the design, implementation, and evaluation of initiatives aimed at closing achievement gaps and improving access, retention, and completion for disproportionately impacted student populations. Develop an applied understanding of equity-centered program development in a public-serving institution.

5. Build Experience in Stakeholder Engagement and Institutional Communication
Support engagement efforts involving students, faculty, staff, administrators, and community partners. Gain experience in event coordination, briefing development, and institutional reporting to strengthen communication, transparency, and collaborative problem-solving.

QUALIFICATIONS

• 4+ years of high school
• Local Woodland knowledge preferred
• Strong interpersonal and communication (oral and written) skills
• Excellent organizational skills and attention to detail 
• Strong computer skills
• Ability to build and maintain trust-based relationships with multiple internal and external stakeholders 
• Eligible to work in the United States
• Valid California driver license (if driving is an essential duty)

SALARY RANGE
$20.00 - $25.00 / hour dependent on experience.

The Los Gatos Monte Sereno Police Department depends on reliable technology for public safety, investigations, communications, and record-keeping. As the Information Technology Systems Administrator, your work will directly contribute to the safety of our residents and the efficiency of our public services by making sure all systems are stable, secure, and aligned with industry best practices, state and federal data security requirements, and Town policies. Compensation

The annual salary range for this position is $108,751 to $133,451. Remote work is not available for this position. The City is proud to offer a competitive total compensation package with the following highlights:
