POSITION
 

The Office Assistant I will work in the front office of Daly City’s Department of Library and Recreation Services assisting members of the public with class registration and facilities reservations. Great customer service skills are of paramount importance, along with a demonstrated ability to learn and master new software applications. The successful candidate will work Tuesday through Friday, from 10:00 a.m. to 2:00 p.m.

DEFINITION

Under direct supervision, the Office Assistant I performs a variety of technical office work and other related work as required.

Office Assistant I is the entry-level class. Incumbents in the Office Assistant I class will progressively perform most of the duties required in the series, but are not expected to function at the same skill level and will usually exercise less independent direction and judgment on matters related to work procedures and methods. Work is usually supervised while in progress and fits an established pattern that has been explained before the work is started. Generally, changes in procedures or exceptions are explained in detail as they arise.

EXAMPLE OF DUTIES

Assembles, prepares and proofs final copies of reports, letters, case records, lists, receipts, legal documents, agendas, requisitions, permits, licenses, charts, and estimates using PC word processing or typewriter, as appropriate. May transcribe documents from dictating machines or other recording devices. Prepares invoices, bills, payroll/time sheets, and work orders. Makes and checks simple arithmetical computations; checks and tabulates statistical data. Sets up and maintains indexes and files. Operates a variety of current office machines, including but not limited to computers, printers, typewriters, copiers, adding and facsimile machines. Answers and routes telephone calls for one or more divisions, effectively and efficiently responding to public and intra-office inquiries. Greets and assists members of the public and business visitors. Receives, distributes, and dispatches intra-office and US mail. May perform a variety of other tasks including but not limited to maintaining mailing lists, clipping newspapers; receiving and transmitting radio messages from field personnel, keeping vacation schedules, and ordering, inventorying and receiving supplies. Performs related duties as assigned.

MINIMUM QUALIFICATIONS

Knowledge of: 

Office Assistant I level: Appropriate business English including correct spelling, accepted grammar and punctuation and basic arithmetic.

Ability to:  

Office Assistant I level: Keyboard/type at a speed of 40 words per minute from clear copy; accurately perform basic clerical work; follow oral and written instructions; interact positively and cooperate with co-workers, respond politely to customers, work as a team member, function under demanding time pressure, respond in a positive manner to supervision, and attend work and perform duties on a regular and consistent basis.

Experience:

Office Assistant I: no experience required.

Education:  Graduation from high school or equivalent.

PROGRAM LEADER (Theatre Technician)

Salary Range: $12.00 to 14.06/hour, DOE

• This is a part-time temporary, non-benefitted position.
• Flexible schedule of 15-20 hours per week, including some evenings and weekends; not-to-exceed 950 hours per calendar year.
• This position is located at Village Theatre and Art Gallery.

SUPERVISION EXERCISED AND RECEIVED

General supervision is received from Program Coordinator. This position does not exercise supervision over others.

ESSENTIAL JOB DUTIES

Essential duties are inclusive of, but not limited to the following:

• Oversee and assist renters and various user groups during events in Town facilities.
• Operate lighting and/or sound equipment.
• Box office management, reporting, and cash handling.
• Maintain and keep facility clean and in good working order during and after events.
• Take pictures and video of Town programs, rentals and co-sponsor groups for Town publications and marketing platforms.

QUALIFICATIONS

Applicants must have successfully completed twelfth grade and be at least 18 years old with two years of experience in live performance theatre, with experience in operating theatrical lighting and sound or has taken relative coursework.  Set construction, production management and/or stage management is a plus.

Knowledge of:

• Operations, services and activities of technical operations of theatre programs.

Happy Hollow Park & Zoo (HHPZ) is a 16 acre amusement park and Association of Zoo's & Aquariums (AZA) accredited zoo.  The mission of Happy Hollow is connecting people to nature through play. Happy Hollow features a unique combination of family rides and amusements, a Puppet Castle Theater, nature themed play areas, special events for all seasons, and an animal education and wildlife conservation program with classes and camps for all ages.

The PRNS Department is seeking one (1) full-time, benefitted Entertainment Coordinator for HHPZ. Under general direction of the Amusement Park Supervisor. The Entertainment Coordinator supervises, plans, prepares and presents theater productions, program services, and one-day internal entertainment services for Happy Hollow Park & Zoo (such as special Puppetry events).  

This position regularly works weekends, evenings, and holidays, during all climatic conditions as assigned.

 
 Duties may include the following:

• • Production of HHPZ’s Entertainment Department, including the Puppet Theater shows, special events, workshops, camps, and the park’s costume character program.
  • Produces, manages, and direct costume character/park performers’ entertainment atmosphere and collaborates with other departments to provide entertainment and artistic enhancement of attractions, in-park and off-site.
  • Interviews, auditions, hires, schedules and supervises a skill balanced entertainment staff; contributes to performance evaluations, handles training, coaching and mentoring.
  • Manages staff in the creation of show productions, puppets, scenery, costumes, props, and scripts.
  • Manages entertainment budget and grant monies ensuring HHPZ’s Entertainment Department services are properly funded; makes recommendations for budget increases and allocation of funds for entertainment services.
  • In collaboration with other HHPZ departments, prepares and distributes entertainment events outlines include: establishing staffing levels; developing timelines, estimating costs for labor and equipment; and configuring events.
  • Develops and designs new entertainment programs and updates existing programs to stay current with entertainment trends.
  • Responsible for maintaining safe and clean work environment, performs routine safety checks at facilities and watches for safety of performers and guests.
  • May coordinate and manage HHPZ entertainment activities off-site for various events.
  • Provides supervision and oversight of recruiting and coordinating the activities of volunteers in entertainment programs.
  • Performs other duties of a similar nature or level.

POSITION SUMMARY:

The Office Assistant I provides administrative support to the Recreation & Community Services Department, which includes program registration, facility reservations, recordkeeping, customer interaction and point of sale. Duties include responding to phone, mail, email and in-person inquiries, as well as requests from citizens, employees and other City departments. The Office Assistant I performs receptionist duties, including: typing, word processing, use of computer programs and applications, recordkeeping, organizing and compiling data, filing, computerized data entry, organizing calendars, working efficiently and effectively within Recreation & Community Services Department and other departments with minimal supervision and with outstanding customer service. This is a part time position that averages 25 hours per week.

EXPERIENCE AND EDUCATION:

• Education: Equivalent to graduation from high school. Completed college-level coursework is desirable.
• Experience: A minimum of one year of responsible secretarial or administrative experience. Prior experience with activity registration and facility rentals is highly desired.
• Valid California driver’s license is desirable
• Previous experience working with the public is desirable

OTHER INFORMATION

Temporary employees are non-benefited, at-will positions. Since the City does not participate in Social Security and is required to provide an alternative retirement plan, you are required to participate in the City's defined contribution retirement plan through Nationwide where 3.75% of your gross compensation per pay period is deducted and put into the plan. The City matches this 3.75% for a total contribution of 7.5% of your gross compensation per pay period.

COMPENSATION:
This is a part-time, temporary position. Approximately 25-29 hours per week.
$16.75. to $20.75 hourly DOE

JOB SUMMARY

ABOUT THE POSITION

City of Gilroy is recruiting for one (1) Recreation Specialist for the Gilroy Youth Center. The goal of the Recreation Department is to effectively and efficiently manage the development goals of the city while creating an environment that encourages business expansion and development consistent with the city’s guiding documents.

GENERAL DESCRIPTION:

Under general supervision of a Recreation Supervisor or Recreation Coordinator, plan, organize, and direct the physical, recreational, and social activities of assigned recreation programs.  Program areas include, but are not limited to:  Aquatics, Adaptive (special needs), Adult and/or Youth Sports such as organized leagues or classes, After School Program, Cultural Arts, Facility Attendant, Senior Center, Special Events, Summer Camps, Theater, and Youth Center/Youth Services.  This position may be a full-time position, year round part-time position, or a seasonal position. This classification is distinguished from the Recreation Coordinator classification based upon the required education and experience and range/scope of work assigned.  Further, this is an entry-level, paraprofessional position supporting the Recreation Department.

PROGRAM ASSISTANT (VOLUNTEER COORDINATOR)

Salary Range: $14.06 to $23.88/hour, DOE

This is a part-time, temporary, non-benefitted position; 15-20 hours per week (not to exceed 950 hours per fiscal year); flexible schedule, includes some evenings and weekends.

DEFINITION

This position requires an independent, experienced, innovative and creative individual to coordinate the Town’s growing community engagement efforts. 

SUPERVISION RECEIVED AND EXERCISED

Program Assistant receives direct supervision from the Program Supervisor. Functional or technical supervision may also be received from other staff.

ESSENTIAL JOB DUTIES

Essential duties may include, but are not limited to, the following:

• Maintain an awareness of fluctuating volunteer needs from all Town Departments.
• Recruit, train, supervise volunteers to ensure Town needs are met.
• Scheduling and presenting volunteer orientations.

Definition:

Under the supervision of the Recreation Manager, the Recreation Facilities Coordinator plans, organizes and coordinates usage for all Recreation & Community Services Department facilities.  This position is also responsible for the training and supervision of the part-time staff that is responsible for facility preparation and oversight.

The principles, practices and technology used in the coordination of community facility usage.  This includes extensive customer service experience, familiarity with facility components and equipment used for meetings and programs, ability to create and manage spreadsheets and experience with facility reservation software.

PHYSICAL DEMANDS: Regularly required to sit or stand, reach, bend, and walk about the facilities or program sites while performing the duties.  Repetitive hand and arm motion, and fine finger manipulation in the use of a computer. Moderate physical effort required, including lifting up to 25 pounds.  May be exposed to dust, odors, oil, fumes and noise while carrying out regular duties.
