The Position:

The Recreation and Community Services Director reports to the City Manager and is focused on providing superb customer service through the delivery of high quality and cost effective services.  The Recreation Department is viewed as responsive, with the ability to deliver a broad array of programs and services.  In driving key business partnerships with public and private organizations, the Director must continue to serve as a team-oriented leader who offers innovative solutions and facilitates    ongoing communications with all stakeholders.

The ideal candidate will have an extensive background in recreation with exposure to a variety of program types. Someone who is familiar and sensitive to working with the unique challenges that are inherent to this position.  Someone who deals well with families, preschoolers and their parents, seniors, teen recreation staff, fitness instructors, museum board and foundation members and theatre management. An individual with strong budget  experience with an understanding of cost recovery and the ability to explore unique funding opportunities and community partnerships. An individual with experience in supervising a year-round aquatics program, summer day camps, preschool programs, and experience in supervising special events, working with non-profits and fundraising is being sought.  The City seeks an individual who will build on the team environment that exists among the staff and who has very good interpersonal skills.  The desired candidate will be a self-starter, results-oriented individual with good communication and strong interpersonal skills who has integrity, is ethical, energetic and innovative.

Education and Experience:

This position will require an experience base of a minimum of five years of management experience in recreation/leisure   services (Master's Degree in recreation/leisure services may be substituted for one year of the required experience).  Education equivalent to graduation from a college or university with major work in recreation/leisure services, or closely  related field.

POSITION SUMMARY:
The Clerical Assistant I provides administrative support to the Recreation & Community Services Department, which includes program registration, facility reservations, record keeping, customer interaction and point of sale. Duties include responding to phone, mail, email and in-person inquiries, as well as requests from citizens, employees and other City departments. The Clerical Assistant I performs receptionist duties, including: typing, word processing, use of computer programs and applications, record keeping, organizing and compiling data, filing, computerized data entry, organizing calendars, working efficiently and effectively within Recreation & Community Services Department and other departments with minimal supervision and with outstanding customer service. This is a part time position that averages 25 hours per week.

Internship Opportunity:

The City of Los Altos Recreation and Community Services Department has ongoing internship opportunities for current college students who have completed their coursework and are looking to fulfill their undergraduate program internship requirements to obtain a B.S. or B.A degree in Recreation, similar field or meet other personal career enhancement goals. Interns will work closely with one or more members of the Recreation Management Team and will have an opportunity to develop skills and practical on-the-job experience in a dynamic and diverse public service environment while promoting an understanding of local municipal government. The Recreation staff will work with each student to develop a successful and rewarding experience.

Description of Duties:

Under general supervision and guidance, the intern will plan, develop, and implement selected programs, services or projects. Examples of projects include assisting in the planning and coordination of community events, recreation programming, park and facility projects, policy updates and implementation, marketing, public engagement, research and analysis. This includes working with City staff, department Commissions, the public and community partners.

The intern will also aide in the production and distribution of program fliers, brochures and promotional materials as well as assist with recruiting and training efforts. The intern will gain experience in the agency’s methods for the development of policies, procedures, marketing, customer service, registration, community engagement, collaborations, planning, assessing, and budgeting, analysis, feasibility studies and program evaluations. Example programming areas include special interest classes, tiny tots, teens, seniors, youth and adult sports, camps, aquatics, facility rentals and special events. Example park projects include the development of a new Community Center, dog park, and a variety of other facility improvements. The intern will participate in department, community, commission and staff meetings.

Special Project:

Per guidelines provided by a specific academic curriculum, the intern will complete a minimum of one special project during the internship experience. The supervisor and intern will jointly determine the project and scope. The project should be mutually beneficial to the student as well as the City of Los Altos Recreation and Community Services Department.

Optional Camp Experience (Winter/Spring and Summer only):

• Winter/Spring Interns may assist in the planning of camp programs including summer programming, paperwork, administrative tasks, budget preparation, and other related items.
• Summer Interns may be directly involved with the camp program by: assisting with planning for the summer, participate in administrative team meetings, leading activities, and assisting with day to day operations. They will also assist the Camp Coordinator with administrative aspects of camp; which may include assessing, planning, implementing and evaluating camp programs. For summer interns, camp duties may be in addition to the other duties listed above.

Qualifications of Recreation Intern:

• Current college student, recent college graduate, or graduate student.
• Majoring in the field of Recreation, Therapeutic Recreation, Public Administration, Kinesiology, or related field.
• Ability to follow written and verbal directions.
• Ability to instruct and lead individuals or groups in a variety of recreation programs and settings.
• Have knowledge of how to use basic computer programs and use of office machines, such as fax, copier, plotter, etc.
• Basic core knowledge of different techniques for a variety of recreation activities and programs.
• Ability to assist in the operation and control of recreation activities.
• Ability to use assessments to develop individual plans and document progress of participants.
• Ability to establish and maintain effective working relationships with other employees, participants and the public.
• Ability to take initiative in asking questions, performing tasks in leadership and supervision of participants.
