The Department

The City of Pacifica's Public Works Department is recruiting for a Administrative Assistant. This is a full-time position with benefits and a compensation schedule range of $5246- $6519 per month. This position is included in a bargaining unit under Teamsters MISC Local No. 856.

DEFINITION

Under immediate and general supervision, classes in this three-level series provide a wide variety of responsible and complex administrative, secretarial and clerical duties for an assigned department and department head, to coordinate and participate in office functions in support of the department's goals and objectives; to provide information and assistance to employees and the public regarding departmental policies and procedures.

DISTINGUISHING CHARACTERISTICS

The emphasis of the Administrative Assistant series is on the accomplishment of general clerical and administrative support duties.

Administrative Assistant I

This is the entry level in the series. Employees perform routine duties under immediate supervision.

Administrative Assistant II

The is the journey level in the series. Employees perform both routine and more complex duties under general supervision.

SUPERVISION RECEIVED AND EXERCISED

Immediate supervision is provided to the Administrative Assistant I. General supervision provided to the Administrative II and III is provided by the department head of designee. The Administrative Assistant III may lead or supervise assigned staff.

ESSENTIAL FUNCTIONS - INCLUDE BUT ARE NOT LIMITED TO THE

FOLLOWING:

• Maintains a system of files and records.
• Composes correspondence and prepares reports independently or from oral instructions.
• Makes appointments and meets callers.
• Operates various office machines and equipment as required.
• Performs other duties as assigned.
• Invoice Entry.

In addition, the Administrative Assistant II performs the following duties:

• Plans, schedules and performs a wide variety of clerical and typing work related to the function to which assigned;
• Supplies information involving facts and interpretations.
• Compiles information for reports and transactions and assists in the consolidation and presentation of data.
• Prepares documents based on data obtained from records and other sources and processes them in accordance with prescribed procedures.
• Establishes and maintains systems to insure accountability and controls
• Facilitates special event and community meeting planning and facilitation
• Creates social media content and executive presentations utilizing design software

• Processes payroll and financial documents. 

• Prepares detailed and complex reports.
• Conducts transactions with the public in matters requiring a detailed knowledge of rules, procedures, policies, precedents and activities.

San Mateo Medical Center is currently seeking a professional, goal-oriented full-time, regular (benefited) Clinical Services Manager I who will plan, organize, direct, and supervise the operations of our Medical-Surgical (ADC of 35), Intensive Care Unit (ADC 4), and Infusion Center. As Clinical Services Manager I, you will have the opportunity to manage patient care while ensuring appropriate quality of care and compliance with regulations. The ideal candidate will:

• Possess a Baccalaureate degree in Nursing with certification in a specialty

• Bring strong clinical and operational leadership experience in acute care settings, with the ability to manage across multiple service lines, including Medical-Surgical, ICU, and infusion services

Qualifications

Licensure/Certification: Possession of a valid California license as a Registered Nurse (R.N.).  Must possess a Basic Life Support (BLS) and Advanced Cardiac Life Support (ACLS) certificates approved by the American Red Cross or American Heart Association. 

Education and Experience: Any combination of education and experience that would likely provide the required knowledge, skills and abilities is qualifying. A typical way to qualify is;

• Three years of professional nursing experience in an accredited hospital or clinic, of which at least one year included responsible supervisory experience, unless otherwise specified below in the additional qualifications.
• Two years of the required experience must have been in acute care and surgical nursing and includes experience in infusion, including chemotherapy, telemetry, antibiotics, blood transfusions and pediatrics.

• Principles and practices of community health care including current trends in research, treatment, prevention, education and related services.

Selection Process
Applications will be reviewed for relevant education, experience, training and other job related qualifications. Based upon a review of employment applications received, a limited number of the qualified applicants will be invited to participate in the examination process.

The process will consist of an Oral Panel Interview (weighted 80%) and a written exercise (weighted 20%). An eligibility list will be established from those who pass the examination process with a score of 70% or higher. Current and future vacancies may be filled from this list. The list will remain in effect for at least one year unless exhausted sooner. 

The department will invite the most qualified candidates from the eligibility list to a final department interview. The Communications/City Clerk department will make the hiring decision.

• Directing the work of incarcerated individuals who are assigned to clean and prepare food or assist in related routine tasks defined by supervisors at specific facilities assisting Cooks in the preparation of meals.
• Driving a large or small truck to deliver food and supplies and maintaining basic records related to vehicle use such as mileage and service reports.
• Preparing food for cooking by peeling, cutting, or slicing.
• Preparing salads, sandwiches, beverages, and simple desserts.
• Setting up tray lines and/or individual trays.
• Maintaining safety and security of equipment and addressing issues that arise.
• Overseeing the activities of the dish room, including ensuring chemicals are ordered, monitoring the PH and temperatures of the equipment, and preparing daily items such as dishes, pots, pans, containers, carts, and equipment.
• Cleaning facilities including sweeping, mopping, and sanitizing work areas such as floors, storage spaces, trucks and emptying garbage cans.
• Assisting with deliverables including signing for, bringing in, and/or storing items.

• Following Food Service Unit policy and procedures including arriving to work on time, submitting personal timecard and assisting in following up on requests in a timely matter.

Food Service Worker I ($30.86 - $34.47 / hourly) is the entry/trainee level position. Initially under close supervision, incumbents learn a full range of Food Service Worker duties. As experience is gained there is greater independence of action within established guidelines. This classification is flexibly staffed with Food Service Worker II and incumbents may advance to the next level after gaining experience and demonstrating proficiencies which meet the higher-level qualifications.
  
Food Service Worker II ($32.50 - $36.35 / hourly) is the journey level position. Under general supervision, incumbents independently perform a variety of responsible food service duties. Incumbents work under specified guidelines and supervisors are available in non-routine circumstances. Specific duties may vary from position to position.
 
Knowledge of:

• Basic kitchen cleaning and sanitation methods.
• Operation and care of kitchen equipment.
• Proper lifting techniques.

Skill/Ability to:

• Prepare simple foods and beverages.

DEFINITION
Under general supervision to perform general duty firefighting and fire prevention activities; to respond to  emergency calls; to operate and maintain firefighting apparatus and equipment; to assist and participate in fire training programs and fire station maintenance: and to do related work as required.

DISTINGUISHING CHARACTERISTICS
This classification includes a variety of assignments in preventing, controlling and extinguishing fires, performing emergency medical care and rescue operations, public education activities, and maintenance operations.
