We are currently recruiting for three positions: Recreation Coordinator - Special Events, Senior Services, and Meals on Wheels. These positions are full-time, fully benefitted positions with the Parks, Beaches, & Recreation Department. Details follow below!

DEFINITION

Under general supervision, plans, organizes, publicizes, coordinates, and administers community and recreation services for various age groups; organizes and conducts special events.

Recreation Coordinator positions will be assigned to one or more of the following areas: administration; aquatics; contract classes, community rentals and facilities; senior services; Meals On Wheels, city-wide special events; youth and teen services, and community outreach.

DISTINGUISHING CHARACTERISTICS

This classification provides support to the City’s diverse range of recreation and community service programs.  This classification is distinguished from the Recreation Supervisor in that the latter is a full supervisory classification that has broader responsibility for a wider range of programs.

SUPERVISION RECEIVED/EXERCISED

Receives general supervision from higher-level supervisory staff and oversees assigned staff, contractors, and volunteers.

ESSENTIAL FUNCTION REQUIREMENTS

• Plans, coordinates, evaluates, organizes, and implements diversified recreation services and special events of assigned area(s).
• Ensures compliance of standards and regulations for assigned programs, as required by Agency, Contracts, County, State, etc.
• Recommends alternatives for improving services as needed, considering factors such as cost/benefit and marketing analysis, availability of resources, safety of personnel and effects on operations and level of service; recommends or implements improvements as directed.
• Keeps accurate records, maintains program budgets, completes city paperwork and other administrative tasks.
• Communicates with a variety of agencies, vendors, community groups, clients, governmental and members of the public in a courteous and professional manner.
• Responds and resolves inquiries and concerns from the public and escalates inquiries as needed.
• Schedules and assigns work,
• Trains, and instructs assigned volunteers.
• Recruits, orients, evaluates, and recognizes contractors, and volunteers.
• Initiates and collaborates to develop a range of marketing materials for various purposes, including programs, events, informational content, and educational initiatives.
• Conducts program outreach.
• Coordinates and monitors social media.
• Serves as a Disaster Service Worker, as required.
• Coordinate the payroll process with any and all part time staff that are signed to them, including comparing schedules to timecards, entering timecard information into a citywide timecard and invoice system, monitoring staff hours, and auditing timecards for mistakes Senior Services Programs:
• Oversees the organization of all senior programs, encompassing drop-in activities, contracted classes, and social gatherings. Provides support in overseeing the Seniors In Action Council, including the organization of events, programs, and meetings.
• Perform related duties as needed.

QUALIFICATIONS:

Knowledge of:

• Basic concepts and techniques for organizing, developing, implementing and evaluating recreational programs, services, and events.
• Advanced English usage, spelling, grammar, and punctuation.
• Business correspondence writing and report preparation.
• Basic budget and fiscal control procedures and techniques and basic cost recovery principles.
• Functions and organization of municipal government.
• Principles and procedures of record keeping.
• General office practices
• Youth, Teen, Seniors, and/or Adult Contract Class programming.
• Special Events, including coordination, logistics, safety, event budgeting, event staffing, and advertising.
• Coordinating volunteers including vetting applicants, onboarding and training volunteers, and volunteer schedule coordination.

Skills/Ability to:

• Understand community needs in a variety of recreation areas and successfully implement activities according to those needs.
• Understand, interpret and apply pertinent policies, regulations and rules and procedures.
• Independently perform a variety of highly responsible duties in support of assigned area(s).
• Understand the organization and operation of the City and of outside agencies necessary to assume responsibilities.
• Maintain facilities and equipment of assigned area(s).
• Utilize office software including Microsoft Excel Spreadsheets and Microsoft Word
• Recognize and appropriately handle materials in a sensitive and confidential manner.
• Organize work, set priorities, meet critical deadlines, and follow up on assignments.
• Analyze situations carefully and adopt an effective course of action.
• Compile and maintain various records and prepare reports.
• Communicate clearly and concisely, both orally and in writing.
• Establish and maintain cooperative working relationships with those contacted in the course of work.
• Work in a safe manner following industry best practices and the City’s safety practices and procedures in a variety of environments.
• Learn and operate recreation registration software, including the creation of classes, posting online, managing waiting lists, booking facilities, assigning staff, and teaching part time staff basic registration skills.
• Create and update program or special event budgets, including tracking costs, predicting revenues and expenditures, creating a post program/event final budget.
• Create and maintain part time staff and/ or volunteer schedules, including the use of applications or software.
• Work in both an office environment and outdoors, including working in inclement weather.
• Establish rapport with older adults.
• Speak at public functions and meetings to promote services.

EXPERIENCE AND TRAINING GUIDELINES:

Any combination of training and experience that would provide the required knowledge, skills and abilities is qualifying. A typical way to obtain the required qualifications would be:

Experience:

One year of experience in recreation and community services.

Experience coordinating and facilitating programs and special events is desirable.

Training:

Equivalent to a bachelor’s degree from an accredited college or university in recreation, human services or a closely related field.

Licenses and Certifications:

Must possess and maintain a valid California Class C driver’s license and have a satisfactory driving record.

Must possess American Red Cross First Aid certificate and CPR Adult, Child, and Infant CPR within six months of appointment.

When assigned to Aquatics, must possess American Red Cross Lifeguard Certification including First Aid and CPR at time of appointment. Title 22 Certification required within one year of appointment.

ESSENTIAL DUTIES

Typical duties may include, but are not limited to the following:

• Field Monitors assist in the supervision and enforcement of rules, ordinances, and policies of City athletic fields, parks, and open spaces.
• Interacts in a positive and friendly manner with City staff, community members, organizations, and businesses daily.
• Reports back to Recreation staff about the interactions and conditions of the City facilities.
• Inspects public areas for safety hazards and sanitary conditions and reports possible hazards to the Recreation Staff.
• Performs other duties as assigned.

KNOWLEDGE/ABILITIES/SKILLS

Knowledge of:  Burlingame Parks and Recreation Department regulations and City policies; geography of the City and sites of City parks and facilities; and background in organizing, supervising, scheduling or participating in youth and adult sports.

Ability to: Work independently without direct supervision; interpret and enforce the Burlingame field use policy and park rules and ordinances; follow verbal and written instructions; become an effective liaison with all youth and adult users of athletics fields; establish and maintain a positive customer service approach in dealing with the public and work cooperatively and effectively with co-workers to provide general assistance to the public; and work weekends and holidays as required.

Skills:  Ability to build a positive working relationship through effect communication of rules and regulations with all users of athletic fields, parks, playgrounds and open spaces.

MINIMUM QUALIFICATIONS

Education and/or Experience: Sufficient education and experience to perform the above duties, which is typically obtained through a high school diploma or equivalent.

License/Certificate: Class C driver’s license issued by the California Department of Motor Vehicles.

PHYSICAL, MENTAL, AND ENVIRONMENT WORKING CONDITIONS

Position requires sitting, standing, walking on level and unlevel or uneven and slippery surfaces, reaching, twisting, turning, kneeling, bending, stooping, squatting, crouching, grasping, and making repetitive hand movement in the performance of daily duties.   The position also requires both near and far vision; the need to lift, carry and push tools, equipment, and supplies weighing 55 pounds or more is also required.  Additionally, the incumbent in this outdoor position works in all weather conditions, including wet, hot, and cold.

The incumbent may be required to respond to after-hours emergency call-outs and perform routine standby duties.

 City of Pacifica is accepting enthusiastic applications for the position of Building Attendant

The City  of  Pacifica’s  Parks,  Beaches  &  Recreation  Department  is  currently  recruiting  for  the  position  of  Building Attendant to assist with the Pacifica Community Center.

DEFINITION: Provides physical set-up arrangements for classes, meetings, activities, public and private functions in community buildings, assures security of buildings, provides public information about recreation activities. This is a part-time, non-benefited position

IMPORTANT AND ESSENTIAL DUTIES: Retrieves, moves, sets up, cleans, removes and returns to storage all chairs, tables and equipment within a variety of locations. Locks buildings and internal storage facilities; provides department coverage during evening and weekend hours; provides phone assistance and public information. Removes and disposes of trash from facilities, updates public announcement board, provides occasional maintenance of fields and parks and recreation facilities.

SPECIAL REQUIREMENTS: Ability to lift and move chairs, tables and equipment up to 40 lbs.; work under minimal direct supervision; work flexible hours; remain calm and use good judgment in difficult and emergency situations; provide courteous public service; drive a car/van to other city facilities.

IDEAL CANIDIDATE: Will embrace the City’s emphasis on excellent customer service; will be an enthusiastic self-starter who anticipates the needs of staff and patrons; will be detail-oriented and able to manage multiple tasks and programs; will be a team player who likes working with a variety of City staff and the public and will have a sense of humor.

SALARY AND HOURS:

Building Attendant:  $16.50 - $23.50 per hour, depending on experience.

Hours will range from 4 to 20 hours per week with availability during weekdays and varying hours on weekends.

BENEFITS: This is a part-time position with paid sick leave. There are no other benefits available with this position.

About the role:                   

The Parks, Recreation & Community Services Manager – Arts & Events is responsible for overseeing the City’s signature community events, cultural programming, and public art initiatives that celebrate Redwood City’s diverse community and vibrant downtown. This position manages the planning, coordination, and production of a wide range of public events including festivals, concerts, cultural celebrations, and arts programming that bring people together and foster community pride.

In addition to event management, this role provides critical support to the Director of Parks, Recreation, and Community Services on all public art initiatives. The Arts and Events Manager serve as the staff liaison to the Arts Commission, manages website content related to the Commission and public art, and leads the implementation and updating of the City’s Public Art Master Plan. The position also ensures compliance with the Percent for Art Ordinance, including public art permit application management, maintaining detailed records of all art in public places (45.070 Section C), and overseeing the recognition and promotion of public art throughout the city.

The Arts and Events Manager collaborate closely with the Economic Development Manager and works with developers as new commercial projects over 50,000 square feet come on board, ensuring compliance with public art requirements.

More broadly, this role involves negotiating, preparing, and managing contracts and agreements with vendors, performers, artists, and community partners, while ensuring compliance with City policies and maintaining strong inter-agency collaboration.
