PROGRAM ASSISTANT
Salary Range: $16.80 to 27.83/hour, DOE
- This is a part-time temporary, non-benefitted position.
- Flexible schedule of 15-20 hours per week, including some evenings and weekends; not-to-exceed 950 hours per calendar year.
- Depending on assigned area, this position will be located at:
- Village Theatre and Art Gallery (Cultural Arts and Sport & Fitness/Facilities)
- Senior Center (Volunteer Services)
- Danville Community Center (Youth/Teen Services)
DEFINITION
Plans, implements, and evaluates a minimum of one program, event, or service in a specific area of parks, recreation, cultural arts, and/or facilities. Recommends and coordinates the purchase of supplies and equipment. Provides highly organized and responsible assistance and support.
SUPERVISION EXERCISED AND RECEIVED
General supervision is received from Program Coordinator and Program Supervisor. May provide direct supervision to part-time personnel and volunteers as assigned.
ESSENTIAL JOB DUTIES
Essential duties are inclusive of, but not limited to the following:
- Develop, implement and evaluate innovative programs effectively.
- Supervise and motivate participants, part-time personnel and volunteers.
- Must have strong customer service skills and be capable of handling multiple tasks while determining priorities.
- Attention to detail and strong proofing and writing skills.
- Perform duties within OSHA standards.
- Other duties as assigned.
Specific to Cultural Arts:
Program Assistant (Cultural Arts) position may include, but is not limited to:
- Overseeing and assisting Town staff in the implementation of marketing efforts for Cultural Arts and other Town events.
- Providing direct support to Town staff in setting up, coordinating, and implementing of various Town events.
- Theatre box office management, reporting and cash handling, and installing visual art exhibits.
Specific to Sports & Facilities:
Program Assistant (Sports & Fitness/Facilities) position may include, but is not limited to:
- Overseeing and assisting Town staff in the implementation of adult sports leagues and programs.
- Help with answering facility calls and emails, booking rentals, and doing tours of facilities.
- Filling in for part time staff as needed.
Specific to Volunteer Services:
Program Assistant (Volunteer Services) position may include, but is not limited to:
- Assist with the planning, implementation, and coordination of monthly special events.
- Create, develop and schedule marketing to promote ongoing volunteer opportunities.
- Act as support/back-up to Administrative Secretary of Senior/Adult Services.
- Answer incoming calls and provide accurate program information.
- Register participants through CERVIS volunteer registration system.
- Develop relationships with volunteer groups who help support recreational programs.
- One year of working with older adults in an education, recreation, volunteer-based or social service program highly desired.
Specific to Youth and Teen Services:
Program Assistant (Youth/Teens) position may include, but is not limited to:
- Planning and executing duties related to special interest classes, school-year and seasonal programs, and special events for youth and teens.
- Serving as a role model and advocate for youth and teens.
- Effectively facilitating and/or leading small and large groups of youth and teens.
- Communicating effectively with youth and teens and their parents.
- Register participants through ACTIVE registration system.
- Willing and available to work flexible hours as needed.
- Experience and interest in educational curriculum areas and standards are highly desirable.
QUALIFICATIONS
Applicant must be at least 18 years old, able to successfully pass a Live Scan background investigation (fingerprinting), and provide written proof of a negative TB test prior to employment.
Knowledge of:
- Recreational programs, developmentally appropriate group activities, arts and crafts, games and sports.
- Applicable health and safety regulations.
- Record keeping practices and procedures.
- Modern office practices, procedures and equipment.
- Basic mathematical computations.
Ability to:
- Understand and follow oral and written directions.
- Compose correspondence, brochures, flyers, and other informational documents.
- Provide information to the public in person, by telephone, or through written correspondence where judgment, knowledge and interpretive skills may be required.
- Communicate effectively orally and in writing.
- Establish and maintain effective working relationships with co-workers and members of the public.
EXPERIENCE AND EDUCATION
Any combination of experience and education that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be:
Education:
Graduation from high school or equivalent is desirable with college-level coursework completed in Recreation, Human Development, Education, or related field preferred.
Experience:
Background in municipal parks and recreation is desirable. Supervision of part-time and/or volunteer personnel is highly desirable.
LICENSE(S) AND CERTIFICATION(S)
Possession of a valid California State Driver’s License, or license in another state with the ability to obtain a California license within 30 days of hire. Prior to the start of employment, must provide proof of authorization to work in the United States, current (negative) TB test results, and successfully pass a background check (Live Scan).
