DESCRIPTION
The City of Thousand Oaks is hiring an enthusiastic and motivated part-time Human Resources Assistant (Hourly City Worker) to join our team! This is a great opportunity for someone who is interested in pursuing a career in the public sector. The Human Resources Assistant will perform a variety of clerical, office, and administrative support functions to support the Human Resources Department.
The part-time Human Resources Assistant will be the first point of contact for the department and will interact with a diverse group of internal and external customers. This position requires excellent customer service, problem-solving, attention to detail, and organization skills. In this position, you will be introduced to different facets of the employee lifecycle from recruitment and onboarding to separation.
Part-time work schedules are approximately 20-25 hour per week and may not exceed 1,000 hours in a fiscal year (July 1 – June 30). We offer some flexibility in scheduling to balance other commitments, dependent on department needs.
PRIMARY RESPONSIBILITIES
Employee Inquiries and Correspondence - Respond to inquiries in-person, over the phone, via email, Microsoft Teams, and HR help tickets
Administration - Prepare routine periodic reports and administer general office administrative tasks
Employee Benefits - Assist with benefits administration and enrollment
Data Entry - Assist with data entry for employee record maintenance, such as compliance reporting and safety trainings
Document Management - Assist with records management, filing, and maintenance of all Human Resources files, including confidential, personnel, medical, and I-9 files
Verification Requests - Respond to verifications of employment (VOE) and unemployment claims
Recruitment - Assist with the recruitment and onboarding process by posting jobs, preliminary screening, scheduling interviews, creating interview packets, processing background checks, and candidate correspondence
Talent Development and Training - Assist with setting up training initiatives, assignments, courses, and rosters
Digital Transformation - Maintain and update the internal Human Resources department site via SharePoint and assist with the conversion of physical records to an electronic format
Perform other duties as assigned
Ideal Candidate
A positive attitude and high level of commitment to job duties
Intermediate to advanced computer skills in Microsoft Office, Canva, SharePoint and other related software tools, with a strong acumen for systems and technology
Experience with Adobe Pro and DocuSign a plus
Experience with administration systems and reporting; Cornerstone, SABA learning, or performance management experience a plus
Strong communication and interpersonal skills (written and verbal)
Outstanding attention to detail, organization, and time management skills
Ability to handle multiple tasks within specific time frames
Ability to maintain confidentiality and manage sensitive information
EDUCATION AND EXPERIENCE
Equivalent of the completion of the twelfth grade
Possess, or pursuing a Bachelor's Degree in Business Administration, Communication Studies, Human Resources, or a related field a plus
