Description
The City of Thousand Oaks has an excellent opportunity in the Facilities Division! We are seeking an organized and detail-oriented Assistant Analyst to assist with the overall planning, administration, and organizational needs of the Facilities Division services. The Facilities Division is responsible for the Civic Arts Plaza (City Hall & theaters), two libraries, and various other city locations.
The Assistant Analyst (Facilities) must possess excellent customer service and communication skills, be self-motivated, exercise discretion and independent judgment, and handle responsibilities with competence and professionalism.
Primary responsibilities:
- Serve as the main administrative point of contact for the division
- Assist with researching and obtaining quotes/proposals for vendors and suppliers
- Monitor and review service contracts and agreements, ensuring appropriate contracts are in place
- Assist with budget preparation, including collecting, tracking, and reconciling data
- Manage contract and vendor relationships
- Conduct research and prepare correspondence (such as staff reports) in support of facilities initiatives

- Demonstrates strong organization skills with exceptional attention to detail and accuracy
- Exhibits a proven ability to work effectively and professionally with vendors and suppliers
- Is a highly organized self-starter who works independently, follows projects through to completion, and consistently meets deadlines. Demonstrates flexibility in shifting and reprioritizing tasks as necessary.
- Works collaboratively as part of a cohesive team in a shared work environment
- Holds a Bachelor’s degree with major coursework in public administration, business administration, or a related field
- Possesses 2+ years of experience in contract and vendor management, including the bid solicitation process
- Has at least 1+ years of experience performing research, administrative support, or analytical work, preferably in a public administration setting
- Holds a valid Class C California driver's license
