CIVIC FELLOW PROGRAM DESCRIPTION
The City of Woodland has established a paid summer fellow program for individuals early in their career seeking public service experience. This program invests in our local workforce and fosters a passion for careers in the public sector. During the eight (8)-week program, fellows will work with a City department and participate in program-wide activities.

This fellow posting is for the Fleet Data & Asset Management Analyst Fellow in the Public Works Department.  

 

PROJECT DESCRIPTION
The City of Woodland Public Works Department is seeking a motivated Civic Fellow to support and enhance fleet data management operations. This role offers a hands-on opportunity to gain experience in municipal asset management and public sector budgeting.

The Civic Fellow will assist in updating and maintaining the City’s fleet management system, ensuring accurate records for vehicle assets, reserve fund balances, and fixed and variable rate information. Working closely with Public Works and Finance staff, the Fellow will help develop streamlined data management processes within the RTA fleet management software, improving operational efficiency and reporting accuracy.

This fellowship provides practical exposure to fleet asset tracking, financial record-keeping, and interdepartmental collaboration, equipping participants with valuable skills in data management, system implementation, and public sector operations setting the foundation for an exciting career in municipal government.

 

SUPERVISION RECEIVED AND EXERCISED
Receives general directions from the designated City employee.

 

IDEAL CANDIDATE
The Ideal Candidate is a detail-oriented, organized, and motivated student or recent graduate with a strong interest in data management, fleet operations, and asset management. They are eager to gain hands-on experience using fleet management software to maintain accurate vehicle asset records, reserve fund balances, and fixed and variable rate information.

This individual is proficient with computer software systems, including spreadsheets and data tracking tools, and demonstrates the ability to efficiently organize, analyze, and maintain electronic records. Experience with databases or enterprise systems, as well as the ability to quickly learn and adapt to new software applications, is highly desirable.

The ideal candidate communicates clearly and professionally, both verbally and in writing, and thrives in a collaborative environment, working closely with Finance and Public Works staff. They are proactive, willing to ask questions, and committed to learning complex processes while contributing to improving data quality, record-keeping, and documentation practices.

 

THE POSITION OBJECTIVES/GOALS
The goals of this position are to:

1. Accurately update fleet asset data in the City’s fleet management system (RTA), including vehicle asset records, reserve fund balances, and fixed and variable rate.

2. Accurately review existing records, identifying discrepancies or missing information, and coordinating with Public Works and Finance staff to verify and correct data.

3. Standardize and document data entry practices for fleet financial and asset information, including clear procedures for rate updates, reserve balance tracking, and vehicle record maintenance.

4. Improve data quality and reporting readiness by developing procedures to ensure fleet and financial records are complete, current, and aligned with internal reporting and budget preparation needs.

5. Provide technical support to other staff related to system use, data requests, and basic reporting from the fleet management system.

6. Develop a working understanding of municipal fleet operations and funding structures, including equipment replacement planning and reserve funding practices.

7. Contribute to continuous process improvement by identifying opportunities to improve data workflows, documentation, and coordination between Public Works and Finance.

 

QUALIFICATIONS

  • 4+ years of high school
  • Local Woodland knowledge preferred
  • Strong interpersonal and communication (oral and written) skills
  • Excellent organizational skills and attention to detail 
  • Strong computer skills
  • Ability to build and maintain trust-based relationships with multiple internal and external stakeholders 
  • Eligible to work in the United States
  • Valid California driver license (if driving is an essential duty)

 

SALARY RANGE
$20.00 - $25.00 / hour dependent on experience.

 

The pay cycle is bi-weekly. No other benefits compensations are provided except for worker's compensation coverage and sick leave. Employees must contribute 1.45% of their salary to Medicare and 7.5% to a retirement plan under Federal Law.
