Program Assistant - Receptionist
Salary Range: $18.52 - $30.68/hour, depending on experience.
DEFINITION
Perform a wide variety of general clerical and/ or operational support duties at the Danville Community Center and/ or Senior Center. Incumbent serves as the facility receptionist, assisting with customer service-related questions and issues, and directing callers and visitors according to established procedures.
- This is a part-time temporary, non-benefitted position.
- 0-20 hours per week; not-to-exceed 950 hours per calendar year.
SUPERVISION
Direct supervision is received from the Administrative Assistant with indirect supervision from the Recreation Superintendent. May exercise supervision of part-time personnel and volunteers as assigned.
ESSENTIAL JOB DUTIES
Essential duties are inclusive of, but not limited to the following:
- Serve as first point of contact with the public; responds to information requests regarding services, classes, and events offered by the Town by email, in person or over the phone.
- Perform a wide variety of routine office duties to support department operations including filing, preparing basic reports, and program registration.
- Register participants, and support facility reservations using Active Net software.
- Performs cash handling duties, process payments, and issue receipts.
- Assist in proofreading the Activity Guide and other marketing materials.
- Communicate with a variety of department staff to resolve customer inquiries.
- Provide support on special projects, and perform other duties as assigned.
QUALIFICATIONS
Must be able to handle multiple tasks, have strong computer skills and excellent customer service skills. Must be able to work a flexible schedule throughout the year.
Knowledge of:
- Correct English usage, spelling, grammar and punctuation.
- Modern office methods, procedures and equipment, including office automation hardware and software.
- File management.
- Word processing (Microsoft Word) and data processing systems, including Microsoft Outlook.
Ability to:
- Respond to and effectively prioritize multiple phone calls and requests for service.
- Understand and follow oral and written instructions.
- Use English effectively to communicate in person, over the telephone, or in writing.
- Have attention to detail and accuracy.
- Maintain a welcoming environment in a busy office.
- Complete tasks in a timely fashion.
- Establish and maintain positive and effective working relationships with those contacted in the course of work.
EXPERIENCE AND EDUCATION
Any combination of experience and education that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be:
Experience:
One (1) year of experience performing standard clerical and secretarial duties. Prior experience as a receptionist in a related field preferred.
Education:
The equivalent of the successful completion of the twelfth grade; some college experience preferred.
