ABOUT THE OPPORTUNITY:
The Business Operations Coordinator (BOC) is responsible for developing, implementing and monitoring efficient systems to manage the District’s business office, properties, entrepreneurial enterprises, service and vendor contracts, media management, and IT support services. This includes ensuring compliance with regulatory mandates, facility requirements, and workplace safety.

The BOC is a full-time exempt position that reports directly to the CEO.

DUTIES AND RESPONSIBILITIES:

1. 1. Provides comprehensive administrative and operational support to ensure effective implementation and community impact.
   1. Coordinates District-sponsored and community outreach events—in both virtual and in-person formats—in collaboration with District leadership.
   2. Provides oversight of the District office operations to identify opportunities to improve efficiencies, inventory and supplies management, document, and key security, tracking annual policy review and report filing requirements, and utilization of classroom facilities.
   3. Maintains a clean, well-organized office environment for team and visitors.
   4. Assists the Strategic Initiatives Director in managing the Community Health Investment portfolio, including utilizing and maintaining the District’s grant management software to track and support the community grants program.
   5. Oversees and manages district office operations and leasing budgets.
   6. Maintains IT services, triaging issues, tracking performance of various pieces of equipment, and helping identify IT issues that may benefit from more user training.
   7. Assists with accounting tasks as directed by CEO, including processing bank deposits and printing checks with Staff Accountant.
   8. Maintains a system for managing and regularly auditing vendor contracts to ensure compliance with performance obligations and identify opportunities for cost and service improvements.
   9. Contributes to the overall success of the District by providing support to programs and initiatives as assigned by the CEO.
2. Serving as primary PHCD contact for tenants, property manager, and vendors serving the eight District-owned properties This includes such activities as:
   1. Tracks lease terms and rent increases and taking timely, appropriate actions via Doorloop.
   2. Maintains effective tenant relationships with professionals and their staff.
   3. Establishes and carrying out a preventative maintenance program for all buildings in collaboration with the CFO and property manager.
   4. Primary liaison for facilities consultants
   5. Makes periodic rounds to ensure tenants are compliant with their property maintenance obligations.
   6. Works with leasing agent when a vacancy occurs.
3. Overseeing and strengthening all District communication channels, ensuring consistency, compliance, and effective public engagement.
   1. Manages all District websites are compliant with regulatory and special district transparency requirements, content is current, and sites are “user-friendly”
   2. Serves as primary liaison with the District’s communications and website professionals
   3. Serves as primary point person for coordinating, producing, and tracking analytics of external communications for websites, e-newsletter, social media, and related materials, in collaboration with the CEO, Directors, and District communications and marketing professionals.
4. In the absence of the Executive Assistant:
   1. Provides administrative support to Board Members, Board Committees, including scheduling meetings, preparing and distributing noticed meeting materials, and coordinating meeting logistics.
   2. Supports the CEO and Board with daily calendar management, communications, event and conference bookings, annual board policy review, staff meetings, and District transparency recertifications.
5. And all other duties as assigned.

REQUIRED SKILLS AND EXPERIENCE

• Experience supporting administrative staff
• Working for or with government/public agencies in California (preferred, not required)
• Experience with a range of standard office equipment
• Experience with technology modalities, including setting up of devices and light technology troubleshooting
• Excellent experience with PC/ including Microsoft Office Suite, Outlook, Google

This is a full-time position. Compensation range based on experience: $55,000 - $85,000.

Knowledge of:

The San Mateo County Public Works Department is seeking an experienced Road Maintenance Manager with increasingly responsible experience in supervising the work of road maintenance or road construction crews. The Road Maintenance Division of County of San Mateo's Department of Public Works is responsible for routine and emergency repairs to over 315 miles of road surfaces, culverts, shoulders, drainage facilities, and roadside vegetation on roads within the public right-of-way of San Mateo County's unincorporated districts. There are multiple vacancies to be filled throughout the department. 

The position is located at the Grant Corporation Yard, 752 Chestnut Street in Redwood City and will oversee either the Bayside maintenance crews or the Coastside maintenance crews.

 

Examples Of Duties

 

Duties may include, but are not limited to, the following:

• Plan, organize, direct and supervise road maintenance and construction activities for an assigned area of responsibility.
• Review work orders and schedule personnel and equipment in accordance with job requirements.
• Investigate complaints of road and drainage conditions and direct repairs as necessary.
• Inspect and review work in progress and upon completion to ensure compliance with specifications and safety codes.
• Train maintenance personnel in proper methods of road, bridge, and drainage repair and construction and installation of traffic control devices.
• Train workers in and ensure compliance with safety practices and procedures.
• Recommend or initiate personnel actions, including promotions, transfers, discharges and disciplinary measures.
• Supervise the preparation of requisitions for all materials, parts, supplies and equipment.
• Maintain routine reports and records on time and scheduling, expenditures, costs, inventory and related matters.
• Assist in the development of maintenance programs.
• Assist in budget preparation and administration.
• Coach and mentor staff.
• Perform related duties as assigned.

 

Qualifications

 

Licensure/Certification: Possession and maintenance of a valid California Class A Commercial Driver License with tank vehicle endorsement.

Education and Experience:
Any combination of education and experience that would likely provide the required knowledge, skills and abilities is qualifying. A typical way to qualify is:

Experience: Four years of increasingly responsible experience which includes supervising the work of crews engaged in road maintenance or road construction work.

Knowledge of:

• Methods and materials used in the maintenance, repair, construction and installation of roads, culverts, bridges, storm drains and traffic control devices.
• Operation, maintenance, capacities and limitations of road construction maintenance equipment.
• Use of standard hand and power tools.
• Standard carpentry and construction techniques.
• Methods of patching, surfacing, and resurfacing roads with bituminous materials.
• Principles and techniques of personnel management, supervision, training, and performance evaluation.
• Principles and practices of safety management.
• Record keeping and reporting procedures.
• Pertinent local, state and federal laws, ordinances, rules and regulations.

Skill/Ability to:

• Plan, direct, train and evaluate the work of maintenance and construction workers.
• Determine personnel, material, and equipment requirements for specified construction or maintenance projects.
• Organize work and plan schedules to effectively utilize time, equipment, personnel and materials.
• Interpret and explain pertinent County and departmental policies and procedures.
• Read and interpret plans, specifications, and maps relating to maintenance programs.
• Prepare cost estimates and reports; work with basic arithmetic operations.
• Operate a variety of motorized, hydraulic and hand tools and equipment.
• Operate light and heavy trucks.
• Follow oral and written instructions in an independent manner.
• Establish and maintain effective working relationships with those contacted in course of performing assigned duties.

Current County of San Mateo and County of San Mateo Superior Court of California employees with at least six months (1040 hours) of continuous service in a classified regular, probationary, extra-help/limited term positions prior to the final filing date will receive five points added to their final passing score. 

The examination process will consist of an application screening (weight: pass/fail) based on the candidates' application and responses to the supplemental questions. Candidates who pass the application screening will be invited to a panel interview (weight: 100%) which may include a performance exam. Depending on the number of applicants, an application appraisal of education and experience may be used in place of other examinations or further evaluation of work experience may be conducted to group applicants by level of qualification. Part-Time position: variable hours; evenings and weekends

Pay Rate: starting at $18.13 an hour

Summary:
Under general supervision, performs a variety of custodial tasks and provides oversight of rental groups, in accordance with District policies and procedures.

Essential Duties and Responsibilities:

• Assist patrons and prospective participants on the phone and in-person
• Assist permit groups with set-up and breakdown of tables, chairs, and other equipment
• Promptly open and unlock facilities or close and secure facilities as scheduled
• Complete facility condition forms following permit group use and incident reports as needed
• Notify management concerning need for major repairs or additions
• Turn athletic field lights off and on for sports groups
• Sell and scan admission tickets special events and/or theater performances

Other Duties and Responsibilities:

• Sweep floors, vacuum carpets, and dust or polish furniture, fixtures, and equipment
• Wash windows, clean restrooms, replenish supplies, and sanitize high touch areas often
• Empty waste receptacles and remove any trash or debris found throughout facility

Minimum Qualifications:

THE POSITION

Under supervision, performs skilled and technical fire suppression and prevention activities. Must be prepared to act up to the next rank as needed and performs other related duties as required.

Drives fire apparatus to fire incidents and emergency calls; prepares for pumping operations and pumps water to fire at proper pressure; Inspects pumping and other equipment to ensure that apparatus is in good working condition and notifies Fire Captain of any defects; inspects, cleans, and maintains equipment; assists in keeping fire station in a clean and orderly condition; maintains an accurate running log of out-of-service streets and hydrants in the City of Chowchilla; performs fire suppression tasks/responsibilities required during fire suppression, salvage, and overhaul; conducts fire prevention inspections of assigned occupancies and tests fire protection equipment; detects hazardous conditions or violations of fire and building ordinances and laws; issues citations and warnings for violations; may conduct training of civilian and Fire personnel in applicable fire code regulations, fire inspection methods and procedures, and fire safety; investigates cause and origin of fires, seeking evidence of arson or of fire code violations; prepares follow-up correction notices and letters pertaining to initial inspections; Performs related duties as required.

 

PREREQUISITES

Education and/or Experience:

• High School/GED and
• Currently serving a permanent appointment as a Firefighter with the CFD.

Lateral: 

• Currently employed as a Fire Engineer (or equivalent rank) with a fire suppression government agency for a minimum of one (1) year and have completed probation within that rank.
• Must possess a current Basic Life Support (BLS) certification and First Aid Certificate or higher certification by appointment.
• A current Cal-JAC CPAT card at time of application. (Desired)

Volunteer Lateral: 

• Three years of Volunteer Firefighting for the Chowchilla Volunteer Fire Department with a minimum of one year as a Fire Engineer and have completed probation within that rank.
• Must possess a current Basic Life Support (BLS) certification and First Aid Certificate.
• A current Cal-JAC CPAT card or equivalent. (Desired)

Certificates: 

• Incident Command System 100, 200, 700; California State Fire Marshal Driver Operator IA or equivalent.
