THE POSITION

Under general supervision, will perform technical and administrative account support duties in the preparation, maintenance, and processing of accounts payable records and transactions, in addition to balancing and maintaining manual and computerized accounting and financial records; and related duties, as assigned. 

Typical job functions may include, but are not limited to:

• Prepares documentation for payment; confers with vendors as necessary; enters and verifies data into the automated accounts payable system to produce payment; prepares manual checks; prepares payments for mailing and files copies with backup.
• Audits, verifies, codes, and batches accounts payable transactions; matches purchase orders, packing slips, and invoices; researches discrepancies and unauthorized purchases; checks allocations against department budget appropriations; prepares payment requests; and balances and maintains retention accounts.
• Obtains necessary information and paperwork from vendors; prepares vendor invoice tracking; inputs vendor invoices and prints checks; totals and balances accounts.
• Prepares biweekly accounts payable report for submission in the City Council agenda package.
• Reviews source documents for accuracy, receipt of necessary information, and compliance with rules, regulations, and procedures; determines proper handling for compliance.
• Receives vendor inquiries via telephone, fax, or mail; resolves any issues, problems, or requests using established procedures.
• Maintains signature authorization listing used to verify payment authorization signatures.
• Maintains vendor W-9 information for 1099 processing.
• Researches expenditure information as requested by Finance staff, other departments, auditors, or public records requests, and prepares analysis of findings as needed.
• Prepares and remits quarterly and year-end tax reporting forms to State/Federal agencies.
• Maintains credit card accounts; processes receipts and reconciles to credit card statements.

The normal work schedule will not exceed 29 hours per week (0.725 FTE), with the specific schedule determined based on Department needs.

The City of Sunnyvale is seeking applicants for the Facilities Technician II vacancy. Facilities Technician is an experienced journey-level classification in the Facilities Technician series in which incumbents work under general supervision, performing a full range of assigned duties, including the operation and maintenance of a wide variety of commonly used equipment and tools necessary for building-related repairs and maintenance. POSITION SUMMARY:

Under the supervision of the Finance Manager, the Part-time Accounting Technician will perform a variety of paraprofessional accounting duties including general accounting, accounts receivable, revenue collections, accounts payable and purchase order processing, treasury assistance, business licensing, annual audit/budget support, account analysis, and related duties as assigned.

GENERAL ACCOUNTABILITIES: The following statements are intended as general illustrations of the work in this job class and are not all inclusive for specific positions.

1. Provides budget support such as: assistance with annual budget preparation and monthly financial reporting, capital project tracking and status reporting.
2. Accounting and recordkeeping, preparing monthly and year-end General Ledger adjusting journal entries, prepare account reconciliations.

5. Maintaining compliance with Local, State and Federal laws and regulations, PERS rules and regulations, and Memorandum of Understandings (MOUs)
6. Prepares a variety of financial reports for departmental use.

8. Processing of accounts receivable billings; monitoring daily receipts and bank activity; tracking and reconciling customer and trust deposits.
9. AP processing of City-wide vendor payments, maintaining vendor files and regulatory reporting, monitoring and processing of purchase orders.
10. Prepare of annual assessment filings, serving as a business license collection and record control point.
11. Processes the renewal of all licenses on an annual basis, including generating renewal notices, receiving payments and following up by letters to obtain payment.
12. Maintenance of electronic and hard-copy archival models.
13. Prepares and issues purchase orders.
14. Operates computer, printer and other general office equipment.
15. Will be cross trained in a variety of accounting duties to ensure proper department coverage.
16. Will assist with supporting front counter operations.
17. Department filing.
18. Performs other duties as required.

KNOWLEDGE OF:

Basic governmental accounting practices, principles and procedures, general office work flow administration, sound business organization skills; finance terminology, payroll processing and reporting requirements, commonly used office and governmental accounting software products, government budgetary and financial audit structure and process, and methods and practices of financial record keeping and report preparation.

ABILITY TO:

PHYSICAL DEMANDS: Sit at a desk for long periods of time; repetitively use fingers and/or wrists or hands while twisting or applying pressure; maintain mental capacity which allows the capability of making sound decisions and demonstrating intellectual capabilities; have rapid mental/muscular coordination; maintain effective audio/visual discrimination and perception to the degree necessary for the successful completion of assigned duties; and lift up to 25 lbs., and carry up to 10 lbs; maintain a professional and neat appearance.

EXPERIENCE AND EDUCATION:

Any combination of the listed experience and education requirements may lead to a qualifying application. A typical way to obtain the knowledge and abilities would be:

• Possession of a high school diploma or G.E.D. equivalent is required
• Possession of a post-secondary degree in accounting or finance, or possession of a certificate in accounting proficiency, is desirable
• Requires one year of progressively responsible accounting experience, including bookkeeping, complex numerical calculations and/or processing of financial data.
• Possession of, or ability to obtain, a valid Class C California driver's license.

OTHER INFORMATION

Temporary employees are non-benefited, at-will positions. Since the City does not participate in Social Security and is required to provide an alternative retirement plan, you are required to participate in the City's defined contribution retirement plan through Nationwide where 3.75% of your gross compensation per pay period is deducted and put into the plan. The City matches this 3.75% for a total contribution of 7.5% of your gross compensation per pay period.

COMPENSATION:
This is a part-time, temporary position. Approximately 30-38 hours per week.
$31.00 - $39.00 hourly DOE

The City of Dixon is excited to announce its recruitment for the position Water Operations Supervisor that include all required documents at the time application is submitted. 

Incumbents of this class are fully qualified plant and distribution system operators, certified by the California State Water Resources Control Board, under the Drinking Water Operator Certification Program, with responsibility for the overall efficient operation and maintenance of the water systems and equipment.  Duties are performed without immediate supervision. The majority of operational and maintenance decisions are made at this level, however, unusual operating conditions or emergencies are discussed with supervisor.  The training, supervision and evaluation of subordinate water operations personnel are regular duties of this class.

Exam Process: A limited number of candidates whose applications indicate that they, among those competing, are better qualified in terms of related education, training, and experience will be invited to participate in an interview process tentatively scheduled for Monday, November 9, 2020.  The most qualified candidates from this process will be placed on an employment eligibility list. The Purchasing Division of the Finance Department offers unique career development and advancement opportunities in public sector procurement and contracting. The Division is responsible for the centralized procurement of equipment, supplies, materials, IT, and non-consulting services pursuant to the City of San José Municipal Code Title 4, Chapter 4.12. The Department of Finance is hiring a Senior Analyst in the Purchasing Division. The Senior Analyst is a management position that reports to the IT & Strategic Procurement Manager and is responsible for strategic procurement activities, projects, and agreements on behalf of various City departments.

Responsibilities for the position may include, but are not limited to:

- Working with various City departments to prepare, issue, and oversee complex Requests for Proposals (RFPs), Requests for Information (RFls), and other solicitation methods for City funded projects, as well as federal and state funded projects

- Managing strategic and complex procurement activities, including developing specifications and facilitating the evaluation process

- Developing, negotiating, writing, and executing strategic and complex contracts

- Administering contracts, including negotiating amendments, change orders and exercising options

The actual salary shall be determined by the final candidate’s qualifications and experience. In addition to the starting salary, employees in the Senior Analyst classification shall also receive an approximate five percent (5%) ongoing non-pensionable compensation pay.
