San Mateo County Libraries is seeking two highly motivated candidates for the positions of Facilities / Fleet and Projects Coordinator I/II

This position will support our Facilities, Fleet, and Projects Division.

Working under the direction of the Facilities, Fleet, and Projects Division Manager, this role supports the administrative coordination and systems that help our libraries and vehicles operate smoothly across 13 community library locations and administrative sites. The Program Coordinator helps coordinate facilities, fleet, and project-related workflows, maintains tracking systems and documentation, supports vendor and County partner coordination, and prepares summaries and reports that inform planning and decision-making.

 

Depending on assignment level, responsibilities may include coordinating service requests and projects, maintaining records and dashboards, supporting facilities, fleet, and furniture assessment processes, managing inventory and fleet-related documentation, and helping refine administrative workflows that improve efficiency and consistency across the system.

 

These two positions play an important role in supporting staff and the public by ensuring our library spaces and vehicles are safe and well supported—advancing our mission to strengthen communities by creating spaces and supporting outreach efforts for learning, growth, and connection.

 

NOTE: Appointments made at the Program Coordinator I or Program Coordinator II level will depend on qualifications and experience.

Duties may include, but are not limited to, the following:

• Coordinate and track facilities, fleet, inventory, and project-related requests from intake through completion.

• Maintain accurate logs, records, dashboards, and tracking tools that support the Division’s daily operations and long-term planning.

• Coordinate communication, scheduling, and documentation with library staff, County Facilities, Fleet Management, Purchasing, Risk Management, vendors, and consultants.

• Support facilities, fleet, and furniture assessment workflows by coordinating timelines, gathering documentation, and preparing summaries for review.

• Maintain project files, service records, contracts, amendments, delivery documentation, and closeout materials.

• Support procurement-related administrative processes by coordinating quotes, tracking orders and deliveries, and maintaining records.

• Maintain inventory and asset tracking systems; coordinate surplus documentation and reconciliation with Finance and Purchasing.

• Support fleet administration by coordinating service scheduling, tracking usage, and maintaining fleet-related records.

• Prepare narrative and statistical reports, summaries, and dashboards related to operational activity and trends.

• Document and help improve administrative workflows, templates, and procedures to increase consistency and efficiency.

• Coordinate meetings, walkthroughs, and follow-up actions; disseminate information to appropriate stakeholders.

• Perform related duties as assigned.

San Mateo County Libraries is seeking individuals interested in making a difference in the lives of children and families. We will be hiring multiple vacancies for the position of Big Lift Inspiring Summers Learning Facilitator.
   

The Position: Learning Facilitators will be responsible for leading high-quality and connected learning experiences with children and collaborating with the other staff in a classroom environment for the Big Lift Summer Program. Learning Facilitators will establish and maintain an environment that embraces the growth mindset, actively facilitate open-ended, child-directed projects, and look for every opportunity to embrace and incorporate youth creativity.
 
Inspiring Summers Camps: The camps serve children reading below grade level in areas where the majority of youth qualify for free or reduced lunch. Staff working intensively with enrolled youth will have the opportunity to make our community a stronger, healthier, and more equitable place. These summer learning experiences are a critical part of San Mateo County's strategy to dramatically reduce the number of youth who cannot read on grade level, a problem that disproportionately affects youth of color and socioeconomically disadvantaged youth. Help us support youth in a summer program aimed to build confident youth who will have the benefit of high-quality, cutting-edge learning experiences with caring and passionate adults.
 
Location: Big Lift Inspiring Summer Learning Facilitators will be assigned to work at one of eight camps with children who will be entering kindergarten, first, second, or third grade in the Fall. The camps are located in Daly City, Half Moon Bay, Millbrae, Pacifica, Pescadero, San Bruno, and South San Francisco.
 
Schedule: This 6 to 7-week internship will begin with 8 days of required training and will then continue with a 4 to 5-week assignment in one of our learning camps. The camp assignment will either be part-time (20-28 hours per week, 4-5 hours per day Monday-Thursday and all day on Friday) or full-time (35-40 hours per week, 7-8 hours per day Monday-Friday).
 
MANDATORY IN-PERSON TRAINING WILL BEGIN TUESDAY, MAY 26, OR MONDAY, JUNE 1, 2025, depending on site placement.

Salary: $23.24 - $31.95 Hourly

Qualifications

These positions are designed to support college-aged students, recent graduates, and paraprofessionals working in youth education.
 
Education or Experience: Experience working with youth or a demonstrated interest in working with youth. Examples include experience coaching, tutoring, providing childcare, and taking child development coursework. Experience in theater, arts, music, youth development, early childhood, social justice, and science is also preferred.
 
Age Recruitment: must be 16 years or older. 
 
Language: Bilingual in Spanish preferred but not required.

ABOUT THE POSITION

The Library Activity Leader supports the Youth Services and Neighborhood Libraries Divisions working year-round at the family friendly Redwood Shores Branch Library and Schaberg Branch Library. They work with library staff to create and deliver storytimes, events and programs, follow library policy and procedures, and provide excellent customer service to families, children and teens at the branch libraries.

FLSA Status: Non-Exempt

Hours: 32 hours per week

Rate: $23.85 - $31.95, depending on experience

Under direct supervision of the Controller, provides accounting and fiscal support, including accounts payable, cash and accounts receivable receipts, invoices, and processes, records, reviews, and reconciles a variety of financial transactions and records for Peninsula Library System and its multiple contracted agencies.

This class is the first in the Accounting Assistant series. The Accounting Assistant I works under close supervision and performs daily and routine accounting duties in accordance with established accounting procedures. It is distinguished from the Accounting Assistant Il by the amount of accounting and/or financial experience required. An Accounting Assistant I works under general supervision and, within a framework of established procedures, is expected to perform a variety of complex accounting duties with only occasional assistance and may provide lead directions to other accounting support staff on a project or day-to-day basis.

THE POSITION

Library Aides provide customer service to library visitors. Duties include checking items in and out at the Checkout Desk, opening new library accounts, collecting fines and fees, shelving materials, and assisting library visitors in finding materials and using the computers. Other tasks may include processing materials, providing storytimes for children, and assisting with other public programs for children, teens and adults. This is an ideal job for someone who is friendly, computer savvy, enjoys working with the public, putting things in order, and is detail-oriented. Bilingual skills are desirable.

DEFINITION

Under supervision, to do library clerical, technical and customer service work, and related assignments as required.

EXAMPLES OF DUTIES

Check materials in and out, sort materials, open new library accounts, explain library policies and resolve disputes, collect fines and fees, assist library patrons with self-checkout and public-use computers, printers, photocopiers, and scanners, answer routine information questions, complete opening and closing procedures, and perform related duties as assigned.

MINIMUM QUALIFICATIONS

Knowledge of:  Modern office and record-keeping procedures; use of office equipment and technology; numerical and alphabetical filing; basic mathematical principles.

Ability to: 

Provide excellent customer service; apply and explain library policies; communicate clearly, both orally and in writing; perform basic troubleshooting and assist patrons with computer use; adapt to changing technology and working conditions; learn the Dewey Decimal Classification System and library procedures; interact positively and cooperate with co-workers; function under demanding time pressure; respond in a positive manner to supervision; and attend work and perform duties on a regular and consistent basis. 

Bilingual ability (Spanish, Mandarin, Cantonese, or Tagalog) is highly desirable.

Must be physically able to stand for extended periods, walk, bend, kneel, push wheeled carts, lift, reach overhead, go up and down stairs, and use a step stool.

Availability for evening and Saturday shifts is required.
