The City of Thousand Oaks has an excellent opportunity!  We are seeking an organized and detail-oriented Administrative Specialist to perform a wide range of office and administrative support functions. The ideal candidate will be a team player, a self-starter, and take a proactive and solution-oriented approach in support of day-to-day department operations. 

We have an immediate opening for an Administrative Specialist position in the Public Works Department.  This position, which requires strong customer service and multi-tasking skills, will work a 9/80 schedule.

Primary responsibilities:

• Performs a wide variety of complex, sensitive, highly responsible, and confidential office administrative, secretarial, advanced clerical, and support functions
• Creates, formats, proofreads, and edits a variety of departmental documents and correspondence, such as reports, memoranda, letters, technical materials, agreements/contracts, change orders, task orders, and amendments
• Organizes and maintains accurate and up-to-date records and files in accordance with the City’s records management program
• Maintains calendars and meeting schedules, coordinates travel logistics, and processes and reconciles credit card transactions and expense reports
• Serves as liaison between the department and the public, City staff, other City agencies, and outside groups
• Maintains content on department webpage
• Participates in the collection, compilation, and analysis of information from various sources on a variety of topics, e.g., vendor quotes, certificates of insurance, etc.
• Provides general administrative and office support for the department, including processing invoices for payment, preparing pay requests, assisting with employee time-keeping submissions and records, handling petty cash, ordering office supplies, preparing meeting materials, room reservations, and set up as needed

The Police Officer Trainee position is the entry-level role for those who have not yet attended the Peace Officer Standards and Training (POST) certified academy.

The academy lasts six months and is the first step in your law enforcement career. Upon successful completion, officers perform a variety of law enforcement duties to protect life and property in accordance with applicable laws.

Starting salary for trainees is $30.68 per hour while attending the academy, plus excellent benefits.

We are seeking a hands-on, mechanics and electronics savvy Instrumentation Technician to join our Public Works Sanitation division. This position maintains, repairs, inspects, plans, modifies, designs, installs and calibrates instrumentation, electrical, and SCADA control systems for wastewater treatment facilities; maintains a spare parts inventory; and trains operations staff in the understanding of instrumentation and control systems related to the process operation.

This is a full-time, 40 hours per week position working 8:00 AM to 5:00 PM on Mondays, Tuesdays, Thursdays; 8:00 AM to 7:30 PM on Wednesdays; and 8:00 AM to 1:30 PM on Fridays; with occasional evening and weekend hours.

THE DEPARTMENT

The Information Systems and Technology Division is responsible for the City's network infrastructure, cybersecurity, Help Desk support, and daily IT operations. The division supports a full-service city that includes City Administration, Police, Fire, Planning, Public Works, Parks, Beaches, and Recreation departments.

DEFINITION

Under general supervision, perform a variety of routine and complex duties in support of City-wide information systems, security, and technology operations. Perform systems administration, troubleshoot problems, and ensure data integrity; trains and assists end users in using new applications and systems.

DISTINGUISHING CHARACTERISTICS

This is a professional level position that requires significant administrative, analytical, and technical skills. This position serves as a technical leader, providing complex analytical support.

SUPERVISION RECEIVED/ EXERCISED

Receive general supervision from higher-level management. May provide direction to support staff and oversee part-time staff and/or volunteers.

ESSENTIAL FUNCTIONS – INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING:

• Install, configure, maintain, troubleshoot, and monitor physical and virtual network and server infrastructure including hardware, software, real-time monitoring tools, peripherals, and devices ensuring effective performance and proper integration of components and systems with existing architecture; assist in infrastructure changes and upgrades to limit interrupted services.
• Administer automated deployment of software and updates over the network.
• Monitor and maintain security control of City network and server infrastructure; configure and monitor security features and firewall rules; verify and ensure proper user accessibility; identify and address vulnerabilities; research, recommend, and apply security updates as needed.
• Monitor disaster recovery and backup processes and schedules; verify that backups are successful and data can be recovered.

• Work on systems and infrastructure conversion, installation, and maintenance projects, including planning, organizing, and defining project requirements, methods, and end objectives in consultation with end users; coordinate project activities with IT Manager and IT staff, end users, and vendors.
• Maintain information on scheduled systems maintenance, including upgrades and outages.
• Respond to and resolve users’ inquiries and complaints and escalate problems or issues to
•  vendor representatives as needed.
• Stay abreast of new trends and innovations in technology related to systems, network, server, and telecommunications; research, recommend, and evaluate vendor solutions and technologies; implement improvements upon approval.
• Perform related duties and responsibilities as required and other duties as assigned.
• Serve as a Disaster Service Worker, as required.
