Fire Prevention/Administration Office Assistant

• Provide excellent customer service for the Fire Prevention and Fire Administration divisions by greeting visitors, answering inquiries, and directing individuals to the appropriate staff or resources
• Manage calendars for multiple inspectors, schedule inspections, and charge appropriate fees
• Process special event permit applications, prepare invoices for permit fees, collect fees, and issue permits
• Assist with accounts payables and receivables, including invoicing, payment collection, and reconciliation for Fire Prevention activities
• Provide information and assistance regarding public education to the general public
• Assist with website updates related to Fire Prevention services
• Update and maintain a variety of Fire Prevention forms and documents

• Provide front-desk customer service by greeting visitors, answering inquiries and directing individuals to the appropriate staff or resources
• Perform a variety of general clerical duties, including filing, photocopying, processing mail, ordering supplies, scanning, and answering a multi-line telephone system
• Enter invoices for payment and data/information for reports, including setting up new vendors, reviewing statements
• Assist with accounts receivables related to shop billing and vendor transactions
• Update and maintain shop-related forms and documentation, assist with maintaining inventories of station supplies, and parts for apparatus repairs
• Receive supplies, check for condition and discrepancies, arrange for efficient and safe storage of stock, materials, and equipment
• Serve as administrative support for the Fleet & Facilities Manager and coordinate with other divisions as needed

The Department

The City Clerk’s Office administers the democratic process such as elections, access to records, and all legislative actions, ensuring transparency to the public. The City Clerk’s Office is responsible for acting as a compliance officer for federal, state, and local statues including the Political Reform Act, the Brown Act, and the Public Records Act.

The City Clerk serves as a steward of the democratic process and is a liaison between the City Council and members of the public. The City Clerk is a partner in democracy, providing information and ensuring transparency. The City Clerk is an elected representative of the people and serves a four-year term. The City Clerk has legal responsibilities described in California Government Code Sections 40800, et seq., the Elections Code, and City ordinance.

The Position

Under general direction, the Deputy City Clerk is responsible for providing support to the City Clerk and Assistant City Clerk. This includes but is not limited to records management, public records requests, attendance at Council and/or Standing Committee meetings, preparing and editing minutes, and assisting with special projects. With responsibility for legal noticing, advertising, and calendaring public hearings.

Under direction, the Deputy City Clerk provides complex administrative and organizational support for all functions and activities of the City Clerk’s Office, including the duties necessary to ensure the custody and maintenance of official City documents, public and archival records and files, and public information. The Deputy City Clerk services to City employees and the public; as the Acting City Clerk in the absence of the City Clerk.  The Deputy City Clerk – Administrative Aide administers projects as assigned, fields and answers inquiries from the public, City departments, officials, and outside entities; participates in fostering cooperative working relationships among City departments and with State and local intergovernmental and regulatory agencies and various public and private groups; provides highly responsible and complex administrative support to the City Clerk, City Manager, City Council, and other City Administrative Managers, and performs related work as required.

This position is full-time at 36 hours per week.

• Educates residents on service availability, benefits and other application procedures, tenant rights, tools for healthy living and lease compliance.

• Leads a wide range of activities designed to build community and provide residents with opportunities for socialization, wellness, education and volunteering.
