DEFINITION

Perform a wide range of administrative and office support activities for the facilities program area within the Recreation, Arts, and Community Services Department.  The incumbent should be organized, detail-oriented, accurate, and adept with various computer software.  Perform routine correspondence, field public inquiries, maintain departmental files consistent with the Town’s records retention policy, schedule appointments and tours, and assist with data entry.

SUPERVISION RECEIVED AND EXERCISED

Receives direction from assigned management personnel. May exercise technical supervision over other part-time/temporary positions.

ESSENTIAL JOB DUTIES

Essential duties may include, but are not limited to the following:

• Perform general clerical duties related to the facilities program area
• Assist with simple analysis as needed such as entering data and creating charts in Excel spreadsheets or entering data in the enterprise-wide financial software
• Order and maintain facility supply inventories and ensure office equipment in working order
• Determine and manage priorities for multiple tasks to meet assigned deadlines
• Manage multiple facilities schedules and schedule the staff for programs and events
• Input facility applications and collect payment for outstanding balances
• Open, sort, and distribute incoming correspondence or mail
• Schedule and coordinate facility tours as required
• Work cooperatively with other departments, outside agencies, and the public
• Understand the organization and operations of assigned department and Town as necessary to carry out responsibilities
• Understand and apply operating rules and procedures of department and Town
• Performs duties within OSHA standards
• Other duties as assigned

QUALIFICATIONS

Knowledge of:           

• Intermediate knowledge of Adobe Acrobat and MS Office including Outlook, Word, Excel, PowerPoint, and Access
• Bookkeeping principles and procedures; business mathematics
• Strong command of English language; spelling, grammar, and punctuation
• Type accurately at 45 words per minute

Ability to:      

• Communicate clearly and effectively in both oral and written form
• Understand and follow a variety of oral and written instructions with minimal supervision
• Apply operating rules and procedures of assigned department
• Establish and maintain effective work relationships with colleagues
• Maintain financial records and general filing systems
• Understand and perform routine accounting procedures

EXPERIENCE AND EDUCATION

Experience:

Two years (2) of experience performing facility-related duties preferred.

Education:     

The equivalent of the successful completion of twelfth grade; college degree preferred.

DEFINITION

Under general supervision, plans, organizes, publicizes, coordinates, and administers community and recreation services for various age groups; organizes and conducts special events.

Recreation Coordinator positions will be assigned to one or more of the following areas: administration; aquatics; contract classes, community rentals and facilities; senior services; Meals On Wheels, city-wide special events; youth and teen services, and community outreach.

DISTINGUISHING CHARACTERISTICS

This classification provides support to the City’s diverse range of recreation and community service programs.  This classification is distinguished from the Recreation Supervisor in that the latter is a full supervisory classification that has broader responsibility for a wider range of programs.

SUPERVISION RECEIVED/EXERCISED

Receives general supervision from higher-level supervisory staff and oversees assigned staff, contractors, and volunteers.

ESSENTIAL FUNCTION REQUIREMENTS

• Plans, coordinates, evaluates, organizes, and implements diversified recreation services and special events of assigned area(s).
• Ensures compliance of standards and regulations for assigned programs, as required by Agency, Contracts, County, State, etc.
• Recommends alternatives for improving services as needed, considering factors such as cost/benefit and marketing analysis, availability of resources, safety of personnel and effects on operations and level of service; recommends or implements improvements as directed.
• Keeps accurate records, maintains program budgets, completes city paperwork and other administrative tasks.
• Communicates with a variety of agencies, vendors, community groups, clients, governmental and members of the public in a courteous and professional manner.
• Responds and resolves inquiries and concerns from the public and escalates inquiries as needed.
• Schedules and assigns work,
• Trains, and instructs assigned volunteers.
• Recruits, orients, evaluates, and recognizes contractors, and volunteers.
• Initiates and collaborates to develop a range of marketing materials for various purposes, including programs, events, informational content, and educational initiatives.
• Conducts program outreach.
• Coordinates and monitors social media.
• Serves as a Disaster Service Worker, as required.
• Coordinate the payroll process with any and all part time staff that are signed to them, including comparing schedules to timecards, entering timecard information into a citywide timecard and invoice system, monitoring staff hours, and auditing timecards for mistakes Senior Services Programs:
• Oversees the organization of all senior programs, encompassing drop-in activities, contracted classes, and social gatherings. Provides support in overseeing the Seniors In Action Council, including the organization of events, programs, and meetings.
• Perform related duties as needed.

QUALIFICATIONS:

Knowledge of:

• Basic concepts and techniques for organizing, developing, implementing and evaluating recreational programs, services, and events.
• Advanced English usage, spelling, grammar, and punctuation.
• Business correspondence writing and report preparation.
• Basic budget and fiscal control procedures and techniques and basic cost recovery principles.
• Functions and organization of municipal government.
• Principles and procedures of record keeping.
• General office practices
• Youth, Teen, Seniors, and/or Adult Contract Class programming.
• Special Events, including coordination, logistics, safety, event budgeting, event staffing, and advertising.

• Speak at public functions and meetings to promote services.

EXPERIENCE AND TRAINING GUIDELINES:

Any combination of training and experience that would provide the required knowledge, skills and abilities is qualifying. A typical way to obtain the required qualifications would be:

Experience:

One year of experience in recreation and community services.

Experience coordinating and facilitating programs and special events is desirable.

Training:

Equivalent to a bachelor’s degree from an accredited college or university in recreation, human services or a closely related field.

Licenses and Certifications:

Must possess and maintain a valid California Class C driver’s license and have a satisfactory driving record.

Must possess American Red Cross First Aid certificate and CPR Adult, Child, and Infant CPR within six months of appointment.

When assigned to Aquatics, must possess American Red Cross Lifeguard Certification including First Aid and CPR at time of appointment. Title 22 Certification required within one year of appointment.

The City of Patterson is seeking to fill one (1) part-time vacancy for a Facility Attendant in the Recreation Department and to establish an eligibility list.

Duties include, but are not limited to: under direct supervision, performs a variety of facility related tasks to ensure effective operations at the Recreation and Community Services Complex and related facilities and parks. Prepares facilities for use; works with users during events; provides set-up and arrangements for classes, meetings, and public and private events; registers participants for recreational programs; assists with cleaning and maintaining of Community Services' facilities including removing and disposing of trash, sweeping, and mopping of floors.  Provides staff support for recreation events and programs. 

This is a part-time position with hours up to 19 hours per week.  Must be available to work nights and weekends with varying shifts and schedules.

Old Meadows Community Center - Therapeutic Recreation Unit- Serving youth, teens and young adults with physical and intellectual disabilities

Part-Time position: up to 35 hours/week (may include evening/weekend hours)

Hourly Rate: $20.30-$24.67

Summary:
Under general supervision, coordinates, conducts and participates in the delivery of recreational program activities and executes day-to-day operations in assigned units according to established programs, schedules and standards; and performs other duties as assigned.

Essential Duties and Responsibilities:

• Researches class ideas and structure and forecasts participation; organizes and implements various athletic, craft, social, cultural, instructional and community service programs.

• Oversees and supervises the use and care of equipment, supplies, materials and facilities; assists in initiating equipment procurement and maintenance; manages forms related to facilities and equipment use.
• Supervises special events, field trips and other group activities; ensures safety of environment and equipment for participants.
• May be assigned to camp programs.

• May be required to drive a District or personal vehicle.
• Applies behavior modification and appropriate social modeling techniques.
• May attend community events to promote recreational programs and events.
• May assist with transportation in specialized programs.

Qualifications:
To perform this job successfully, an individual must be able to perform each essential duty satisfac­torily. Any combination of experience and training that would likely provide the required knowledge, skill and/or ability listed below is qualifying.

Education/Experience: 
A typical way to obtain the knowledge and abilities would be: graduation from high school or GED program, and at least 1,500 hours of relevant work experience, with at least 30 units completed in recreation or a related field preferred; or an equivalent combination of education and experience. Candidates must be at least 18 years old.

Language Ability:
Ability to communicate effectively in English in both written and oral form. Ability to write routine correspondence using correct spelling and grammar.

Math Ability:
Ability to add, subtract, multiply and divide whole numbers, fractions and decimals.

Reasoning Ability:
Ability to use common sense and exercise good judgement in solving problems. Ability to establish effective relationships with fellow employees, volunteers, participants and parents/guardians.

Certificates and Licenses: 

• First Aid & CPR/AED within 90 days of employment with ability to maintain certifications thereafter as a condition of employment.
• Valid California driver’s license with a good driving record and current automobile insurance. For Therapeutics unit: ability to obtain a commercial driver license within one year of employment (for a 15-passenger van).
• Department of Justice fingerprint clearance.
• Proof of a negative TB skin test.

Supervisory Responsibilities:
This position has no supervisory responsibilities. This position may direct the activities of contract workers and volunteer staff.

The Fleet Services Specialist will often meet with Midpen staff in the district field offices.  Employees may work in the field and occasionally be exposed to loud noise levels, cold and hot temperatures, inclement weather conditions, or road hazards. Must possess the ability to lift, carry, push, and pull materials and objects weighing up to 25 pounds.

About the role:                   

The Parks, Recreation & Community Services Manager – Arts & Events is responsible for overseeing the City’s signature community events, cultural programming, and public art initiatives that celebrate Redwood City’s diverse community and vibrant downtown. This position manages the planning, coordination, and production of a wide range of public events including festivals, concerts, cultural celebrations, and arts programming that bring people together and foster community pride.

In addition to event management, this role provides critical support to the Director of Parks, Recreation, and Community Services on all public art initiatives. The Arts and Events Manager serve as the staff liaison to the Arts Commission, manages website content related to the Commission and public art, and leads the implementation and updating of the City’s Public Art Master Plan. The position also ensures compliance with the Percent for Art Ordinance, including public art permit application management, maintaining detailed records of all art in public places (45.070 Section C), and overseeing the recognition and promotion of public art throughout the city.

The Arts and Events Manager collaborate closely with the Economic Development Manager and works with developers as new commercial projects over 50,000 square feet come on board, ensuring compliance with public art requirements.

More broadly, this role involves negotiating, preparing, and managing contracts and agreements with vendors, performers, artists, and community partners, while ensuring compliance with City policies and maintaining strong inter-agency collaboration.
