Description

This position plays a key role in supporting daily operations by providing a wide range of clerical and administrative services. The Administrative Specialist I handles a variety of tasks that are both routine and moderately complex, contributing to efficient office functions and excellent customer service. With training and experience, the role offers opportunities to take on more diverse assignments and exercise increasing independent judgment.

 

The duties for this position include, but are not limited to:

  • Providing clerical and administrative support, including preparing correspondence, reports, and records.
  • Delivering courteous and professional customer service to residents, staff, and outside agencies.
  • Assisting with program coordination, special projects, contracts, and community outreach.
  • Monitoring project deadlines, expenditures, and vendor agreements to ensure compliance.
  • Supporting department events, meetings, and day-to-day office operations.

THE IDEAL CANDIDATE

 

The ideal candidate will exemplify the following knowledge, skills, experience, and characteristics:

  • Strong organizational skills with the ability to prioritize tasks and manage multiple projects.
  • Excellent written and verbal communication, with attention to detail and accuracy.
  • Proficiency in modern office software, including word processing, spreadsheets, database, PowerPoint, Canva, and other related software.
  • A collaborative, customer-service oriented approach with professionalism and tact.
  • Flexibility, initiative, and sound judgment in adapting to changing priorities.
  • Meet the City’s keyboarding standard of 35 net words per minute.

 

QUALIFICATIONS

 

Experience

Equivalent to two years of progressively responsible clerical support experience involving extensive customer service, multi-tasking, computer usage, and detail-oriented work. One year of responsible clerical support experience working in a related department may substitute for the required two years. Experience in a public agency is desirable.

 

Education

Equivalent to graduation from high school. College level courses in business administration, office management, public administration, or other closely related field are highly desirable.

 

License

May require a valid California Driver's license with a satisfactory driving record as determined by the City.

 

Other Requirements

Willingness and ability to work scheduled and emergency overtime; and attend meetings, workshops, and seminars during work and non-work hours.

 

Special Requirements

Essential duties require the mental and/or physical ability to read fine print; converse in person and on the telephone and be clearly understood; operate a computer keyboard; stoop, bend, reach, and stretch; and strength to safely lift and maneuver books, bins, and office equipment weighing up to 30 pounds.

 

 

GENERAL INFORMATION

 

Appointment to City employment is contingent upon passing a fingerprint criminal background check. At time of hire, proof of United States citizenship or authorization to work in the United States must be presented. Work periods and workdays are subject to change dependent upon the operational requirements of the City.

Testing & Selecting Process

Applications and supplemental questionnaires will be screened to determine the best qualified candidates to be invited to the testing process. The testing will include a keyboarding certification of 35 net words per minute and a Qualifications Appraisal Board interview. Meeting the minimum requirements of the position does not guarantee an invitation to the testing process. The results of the examination will be used to establish the employment eligible list which will be effective for one year unless exhausted or extended. This eligible list may be used to fill current and future Administrative Specialist I vacancies.
