Executive Assistant to the Town Manager & Council
Hourly Rate: $47.87 - $61.67 per hour

Plus, excellent health and retirement benefits, and 3% COLA increase in 2026.
Placement on the salary schedule will be based on qualifications and direct work experience.

 

The Town of Los Gatos is seeking an exceptional, highly skilled Executive Assistant to provide advanced administrative, project, and analytical support to the Town Manager and Town Council. This is a key position within the Town Manager’s Office, serving as a professional ambassador of the organization and ensuring smooth daily operations at the highest levels of Town leadership. This position will report to the Town Manager or their designee.

Work Schedule: The normal work week for this position is Monday through Friday, in-person, with occasional extended or irregular hours. A flexible work schedule option may be available.

Duties and Responsibilities:

Essential responsibilities and duties may include, but are not limited to, the following: 
 

  • Performs general as well as complex administrative support functions on behalf of the Town Manager and Town Council. These entail the use of independent judgment and a thorough knowledge of the Town’s policies, procedures, and organization.
  • Coordinates and tracks Town Council agendas, action items, and follow up assignments to ensure timely implementation of Council direction.
  • Supports executive level policy development and implementation by coordinating schedules, materials, deadlines, and interdepartmental communications related to Town Manager and Town Council priorities.
  • Serves as a liaison between the Town Manager’s Office, Town Council, Town departments, the Town Attorney, and external agencies to facilitate effective governance and decision making.
  • Initiates and responds to correspondence to and from the Town Manager’s Office and Council.
  • Produces a variety of documents and visual aids, including letters, memos, presentations, reports, charts, and computer-aided illustrations.
  • Screens telephone calls, visitors, and mail for the Town Manager, administrative staff, and Town Council, directing them to the appropriate official or department.
  • Disseminates diverse, often sensitive, information to interested parties and may research appropriate inquiries.
  • Arranges and maintains appointment schedules, meetings, conferences, and trips for the Town Manager, administrative staff, and Council members.
  • Establishes and maintains necessary record systems, tracking long-term/tickler files, and may develop reports based on data provided by such systems.
  • Attends meetings and prepares summaries, minutes, and notes. Directs the work of other clerical employees.
  • Operates a variety of office and computer equipment and software. 
  • May provide training and technical guidance to other staff.
  • May be assigned as a Disaster Service Worker, as required.
  • Performs related duties and responsibilities as required.

 

Minimum Qualifications:

Any combination of experience and training that would likely provide the required knowledge, skills and abilities is qualifying. 

Education: Completion of the twelfth grade or equivalent.
Experience:

  • Six ( 6) years of increasingly responsible experience in clerical and secretarial work with at least two years of office management or supervisory experience, AND,
  • At least two (2) years of experience providing full range administrative support to high level public officials, executive leadership, or elected officials.

 

Acceptable Substitution

  • College-level coursework or a college degree may be substituted for up to two years of work experience on a year-to-year basis at the Town's discretion.
