Description
Under general supervision, the Part-Time Office Assistant provides a variety of general clerical and administrative support services for the Recreation and Community Services Department. This is a part-time position and may include a flexible or reduced weekly schedule as determined by the department.
This position performs a range of office support duties such as preparing documents, maintaining records, assisting the public, and supporting departmental projects. The Office Assistant may also be assigned to take photographs at City special events as part of regular job duties. Work is generally guided by established procedures, with supervision available for non-routine tasks.
- Prepare a wide variety of documents, correspondence, reports, and forms using word processing and spreadsheet software.
- Review and proofread documents for accuracy, completeness, and proper formatting.
- Create basic graphics or presentation materials as needed.
- Enter, update, and retrieve information from computer systems; maintain files, records, and logs.
- Assist with processing forms such as purchase requests, timesheets, and other departmental paperwork.
- Greet and assist visitors, answer phone calls, take messages, and provide general information about department services.
- Perform general office tasks such as copying, scanning, filing, distributing mail, and ordering office supplies.
- Assist with City events or departmental projects.
- Take photographs at City special events and departmental activities to document projects, support communication needs, and provide images for reports or public information materials.
- Provide backup support to other clerical staff as needed.
QUALIFICATIONS
Knowledge of:
- General office practices and procedures.
- Basic computer skills, including word processing, spreadsheets, email, and simple graphic design tools.
- Standard office equipment such as phones, copiers, scanners, and computers.
- Proper English usage, spelling, grammar, and formatting.
- Basic filing, record-keeping, and data entry methods.
- Basic arithmetic.
- Basic photography principles, such as framing, lighting, and capturing clear images.
Ability to:
- Organize and prioritize work to meet deadlines.
- Prepare clear, accurate, and complete documents.
- Communicate effectively with staff and the public.
- Follow written and verbal instructions.
- Take clear, well-framed photographs of City events, activities, and projects using City-provided equipment.

Benefits
This is a non-benefited, temporary position. Temporary employees will only work up to 1,000 hours per year.
PART-TIME BENEFITS:
- Sick Leave: Five (5) days (40 hours) sick leave per fiscal year. Sick hours do not roll over to the next year and therefore must be utilized or forfeited annually.
- Silliman Activity center use: Temporary employees will have access for themselves to utilize the center to work out in the fitness area, the basketball gymnasium, and the swimming facility during regular program times while they are not scheduled to work. A facility employee application will be filled out upon hire.
RETIREMENT:
- Temporary employees will be required to contribute to a Nationwide Deferred Compensation Plan.
PART-TIME EMPLOYEE STATUS:
- This is a part time position and is therefore considered an “at-will” employee status position. Employment may be terminated with or without cause or notice, at any time, at the will of the City of Newark, in its sole discretion.
- The City of Newark does not participate in Social Security, therefore, the Part-time, Temporary employee will be required to contribute to a Nationwide Deferred Compensation Plan.
