PARKS & RECREATION

The Burlingame Parks and Recreation Department is seeking an enthusiastic and dedicated individual to join our dynamic, fast-paced team as the welcoming face of the Burlingame Community Center.   This highly visible role involves daily front-facing public interactions, as well as administrative tasks, including (but not limited to) phone answering and assisting with program registration.  This position also includes creating internal room reservations with community partners, directing a plethora of inquiries to the correct city departments, and picnic rentals.  This role is critical as it is the bridge between the community and the Parks and Recreation Department.                               

 

PUBLIC WORKS

The City of Burlingame is looking for a motivated and detail-oriented candidate to join our Public Works department as an Office Assistant I/II. The incumbent must work independently and exercise a great deal of judgment in the completion of various administrative duties in support of Corporation Yard staff and community members; including, but not limited to answering the main phone line, responding to email inquiries, submitting service requests, responding to radio calls, and processing invoices for payment. 

 

DEFINITION 

This position performs intermediate-level clerical tasks involving typing, filing, and providing information and assistance to interested parties. Work is performed under general supervision.

ESSENTIAL DUTIES 

Provides a variety of information and assistance to interested parties including explanation of department’s and city’s programs and policies. Serves as receptionist including receiving incoming calls, providing general information by telephone and in person, and referring callers or visitors to proper party or agency, or handling their needs. Screens calls and takes messages. Types a variety of correspondence, forms and reports, from clear copy, draft or instructions. Reviews reports, records, worksheets, applications and other data for accuracy, completeness and compliance with established standards. Support a team approach to resolving daily issues. May provide technical assistance or instruction to other employees.  

Performs general office work including mail processing, filing and ordering of office supplies; operates a variety of office equipment including personal computer, calculator, and photocopier.

ESSENTIAL REQUIREMENTS 

Knowledge of: Office practices and procedures; basic mathematics; correspondence forms and correct punctuation, spelling, grammar and vocabulary and basic records retention systems.  

Ability to: Acquire a working knowledge of the functions, procedures and policies of the city and its operations; perform duties without immediate supervision; maintain accurate and complete records.  

Skills: Operate a variety of office equipment including personal computer, calculator, and photocopier. Utilize a variety of office software applications, particularly MS Word, Excel and Outlook. Acute attention to details. 

Education and Experience: Sufficient experience and education to perform the above duties. A typical qualifying background would be graduation from high school and one year’s experience in typing and general clerical work.   

SPECIAL REQUIREMENTS  

Ability to work cooperatively with all those contacted in the course of employment; to deal calmly and tactfully with irate citizens; hear well enough to hear citizens and staff in person or on the telephone; good enough vision to see computer screen and to read instruction and materials to be typed.  

Ability to perform simple adjustments to and clear jams from machines, which requires kneeling, bending down and reaching into mechanical parts of machinery.

Special Instructions

SALARY & HOURS

Office Assistant I/II:  $31.19 - $41.18 per hour, depending on experience.  40 hours per week Monday- Friday.

PRIOR TO APPOINTMENT

Prior to appointment, candidates will be required to:  

  • pass a fingerprint check submitted to the Department of Justice
  • pass a background investigation
  • comply with The Immigration Reform and Control Act of 1986 and provide proof of identity and authorization to work in the United States at date of hire

This position has a 12 month probationary period from the date of hire.  Whereby, the selected candidate must receive a rating of no less than 'satisfactory' at the end of the probationary period to continue forward with employment.  During the 12 month probationary period, the selected candidate can be terminated with, or without cause.
