Executive Assistant to the Town Manager & Council
Hourly Rate: $47.87 - $61.67 per hour

The Town of Los Gatos is seeking an exceptional, highly skilled Executive Assistant to provide advanced administrative, project, and analytical support to the Town Manager and Town Council. This is a key position within the Town Manager’s Office, serving as a professional ambassador of the organization and ensuring smooth daily operations at the highest levels of Town leadership. This position will report to the Town Manager or their designee.

THE POSITION

The Accounting Technician supports the City’s finance team by performing complex accounting tasks, preparing and reconciling financial data, assisting with the payroll and budget processes, and delivering responsive customer service.

IDEAL CANDIDATE

The ideal candidate for the Accounting Technician has a solid background in the municipal accounting process and regulatory compliance, can prepare clear and accurate financial reports, has some experience with payroll software, Excel, and payroll processing, and communicates effectively while working collaboratively and maintaining confidentiality when handling sensitive information.

The successful candidate will have experience supporting month-end, quarterly, and year-end accounting and reporting activities, and may assist with payroll-related filings, labor cost analysis, and audit support. This role requires knowledge of accounting principles, internal controls, financial reporting and office systems, applicable laws, and customer service practices, along with the ability to perform technical accounting tasks. The successful candidate will be able to analyze and interpret financial data, use specialized software, explain policies, provide responsive service, work effectively with diverse groups, and carry out duties safely and efficiently.

ESSENTIAL DUTIES AND RESPONSIBILITIES (including but not limited to)

• Perform a variety of highly technical accounting duties in support of an assigned area of accounting operations and other assigned duties.

• Prepare, compile, tabulate and maintain data, complex documents and highly technical financial, statistical and operational reports, statements and records; enter data calculate, reconcile; create or update records.

• Prepare summary sheets for use of supervisor or auditors in preparing comprehensive financial statements; prepare trial balances; prepare budget documents and perform related research; and, assist in budget administration and mid-cycle adjustments.

• Assist other accounting personnel with a variety of technical accounting duties in the preparation, maintenance and processing of accounting records and financial transactions including accounts payable, accounts receivable, purchasing or other related functions.
• Receive and screen telephone calls from other departments or the public; handle complaints; and, answer questions and provide information to the public using judgment as to those requiring priority attention.
• Perform special projects or studies; participate in committees or teams as assigned.
• Assist in calculating and processing payroll; determine tax deposits, benefit and other deductions and related adjustments; track accruals; and, process direct deposit.
• Ensure that work is handled on a priority basis, organized, and completed in a timely manner; check documents and records for accuracy, completeness and conformance to applicable policies, rules and regulations.
• Build and maintain positive working relationships with co-workers, other City employees and the public using principles of good customer service.

EDUCATION/EXPERIENCE

Any combination of experience and training that would provide the required knowledge and abilities is qualifying.  A typical way to obtain the required knowledge and abilities would be:

• Experience: Two years of increasingly responsible technical level experience in accounting or finance to demonstrate possession of the required knowledge and abilities. Experience performing fiscal record keeping or accounting work in a government finance environment is desirable. 
• Training: Equivalent to an Associate’s degree from an accredited college in business, accounting, finance or a related field.

The Position: 

This is a lead role for the City’s Key Customers and the key customer engagement team. This role is pivotal in maintaining and enhancing our business relationships with key customers, ensuring their needs are met with exceptional service and support.

 In this role, you will build and maintain strong relationships with senior leaders of major customer accounts while providing administrative and technical support. This position will require strong problem-solving and customer service skills to find and implement solutions. You will work with other departments to improve customer experiences and support, and you will create and share reports and presentations with senior management, highlighting important customer insights. This position will lead direction for assigned professional, technical, and clerical staff and perform work on the more difficult customer accounts as assigned.

Acceptable Substitution: 

• Ten (10) years of progressively responsible experience may be accepted in-lieu of a bachelor’s degree.  

• A Master's Degree in Business Administration, Marketing, or other related field may be substituted for one year of the required experience. 

License/Certifications: 

Possession of an appropriate, valid California driver's license is required.

Desirable Qualifications: 

Experience supervising assigned professional and other staff is desirable.

Other Requirements:  

May be required to work unusual hours in emergency situations.  Must be able to perform all the essential functions of the job.

The Legal Division provides a wide array of legal services to support the entire Air District, including handling enforcement cases; advising on the California Environmental Quality Act, AB617 Community Emission Reduction Plans, contracts, grants, and finance matters; developing regulatory language; supporting the permitting program; reviewing records under the Public Records Act; and staying abreast of current legal developments in air quality throughout California and nationwide. The Division utilizes a variety of tools to resolve enforcement actions, such as abatement orders, civil enforcement, and coordinating with other enforcement agencies, like local district attorneys or the state Attorney General. About the Position: The Maintenance, Construction, and Resource Supervisor supervises the staff responsible for carrying out capital improvement projects, managing natural resources, and performing general preserve maintenance. The ideal candidate will plan, prioritize, and oversee construction and maintenance work; communicate effectively and collaborate with other departments to complete project requirements; coordinate with consultant teams; work with local and regulatory jurisdictional agencies to meet permitting requirements; evaluate employee performance; and ensure all safety procedures are followed. Assigned Location: Midpen has one vacancy for the position of Maintenance Supervisor. This is the Capital Projects Maintenance Supervisor and reports to the Capital Projects Field Manager. The start date for this position is early March 2026.  The reporting location is the Foothills Field Office - Cupertino (Address: 501 Rancho San Antonio Drive, Cupertino, CA 95014).  Current work schedule is on site Monday through Friday, 7:00 a.m. to 4:30 p.m., recurring 9/80 Monday day off.

Join the City of San Bruno Community Services Department, Parks Division as a Parks Maintenance Technician I/II (Tree Maintenance Technician I/II)

The Community Services Department is committed to providing quality programs, services, and spaces to benefit the health and well-being of the community. Within Community Services, the Parks Maintenance Division is responsible for the maintenance of all City’s outdoor recreation sites, including 20 parks covering 68 acres, 6 baseball fields, 128 acres of open space, all City owned facilities, over 7 miles of medians, and one dog park.   

Under the supervision of the Parks Field Supervisor, the Parks Maintenance Technician
performs semi-skilled, skilled and administrative work within Parks Division in areas such as general carpentry, electrical or plumbing repair, irrigation system installation, tree trimming, tree removal, root removal, the planting and care of new trees, and the care and maintenance of all related equipment. 

CORE DUTIES 

Examples of duties may include, but are not limited to: 

• Plans, carries out and evaluates preventive maintenance schedules for all designated mechanical equipment, either personally, or through outside vendors.  

• Inspects, diagnoses, and performs major and minor repair work on motors, hydraulic equipment, compressors, controls, valves and related equipment.  

• Operates a variety of diagnostic instruments and a variety of hand, electric, and air- driven tools. Tests, troubleshoots, services and repairs mechanical equipment.  

• Inspects, adjusts and replaces necessary units and related parts in the performance of repair and maintenance work.  

• Fabricates and modifies parts and equipment as necessary. 

• Evaluates status of mechanical equipment, and performs or schedules needed repairs. Provides emergency field assistance to disabled equipment as needed and appropriate.  

• Assists in the preparation of bid specifications for equipment.  

• Maintains records, prepares reports and other specialized maintenance records of equipment. 

• Operates aerial lift truck, brush chippers, stump grinders and chainsaws and related hydraulic pruning equipment.  

• Identifies tree pests, disease and structural weakness, removes diseased, dead or excess limbs, branches or trees.  

• As required, trims trees from the ground and with the use of aerial lift devices, picks up trimmings or wood and loads into truck, debris box or brush chipper for disposal.  

• Climbs and trims trees using ropes and saddle or other equipment.  

• Sets up rigging, slings and lines for lowering cut limbs and branches. Plants, stakes and installs new trees. 

• Performs lamp replacement on sports field lighting fixtures. 

• Performs other duties as assigned.  

MINIMUM QUALIFICATIONS 

Any combination of experience and training that would provide the required knowledge and abilities is qualifying. A typical way to obtain the required knowledge and abilities would be: Parks Maintenance Technician I Graduation from high school or GED equivalent with possession of technical training in a specialized field of maintenance. Two (2) years of increasingly responsible repair and maintenance experience. Parks Maintenance Technician II Graduation from high school or GED equivalent with possession of technical training in a specialized field of maintenance. Four (4) years of increasingly responsible repair and maintenance experience. 

SPECIAL REQUIREMENTS  

Possession of a valid Class "B" Commercial Driver's License, or ability to successfully obtain prior to completion of probationary period; and Specialized certifications for functional work areas required:  

When assigned as a Tree Maintenance Technician I/II:  

Utility Line Clearance Certification, or ability to successfully obtain prior to completion of probationary period.  

Tree Worker Certification from the International Society of Arboriculture, or ability to successfully obtain prior to completion of probationary period (Tree Technician II only).  

TOOLS AND EQUIPMENT USED  

Motorized vehicles such as pick-up, utility van, aerial and/or dump trucks; traffic control devices; mobile or portable radio; telephone; personal computer; hand tools; power tools; ropes, pulleys, winches; safety apparatus.  

PHYSICAL DEMANDS

The employee frequently works near moving mechanical parts and is frequently exposed to wet and/or humid conditions and vibration. The employee may be required to work night, early morning, or weekend hours, depending on workload factors, in addition to normally scheduled work hours.  

Employee is subject to call back after hours, weekend assignment and to respond to emergency situations on a 24-hour basis, seven days per week in addition to normally scheduled work hours.  

The noise level in the work environment can range from moderately quiet to loud.

The Eligibility Specialist classifications determine the eligibility of applicants and recipients for public assistance programs through interactive interviewing and fact gathering; maintain current knowledge of program regulations and procedures necessary for multi-program caseload administration; initiate and process casework through automated systems; identify needs and make appropriate referrals for health, social, and/or employment services; and perform related work as required.

 

Eligibility Specialist I:
The Eligibility Specialist I is the entry-level classification in the Eligibility Specialist series.  Incumbents may have prior experience determining eligibility for loans, financial assistance, unemployment or veterans benefits, or publicly or privately funded health, counseling or social services programs; have completed initial classroom training provided as part of the Eligibility Specialist Trainee training program; or may have the required level of education. Incumbents will be placed in a work team and initially may receive classroom instruction prior to being assigned casework and/or tasks. Incumbents will work under close supervision while learning to independently determine public assistance eligibility, and apply knowledge and skills learned from their training in completing eligibility tasks and applying complex regulations. As incumbents gain experience and work toward the journey level in the series, they are expected to work with more independence and have the ability to complete more complex tasks and/or handle larger client caseloads. Incumbents are expected to progress to the journey-level Eligibility Specialist II upon completion of one year of satisfactory performance in the entry-level Eligibility Specialist I classification.

SUPERVISION EXERCISED AND RECEIVED

Incumbents in the Eligibility Specialist I and II classifications typically receive supervision from an Eligibility Supervisor and may receive lead direction from an Eligibility Specialist III.

• Performs interactive interviews to elicit eligibility information, obtain and/or verify financial, employment, tax and personal demographic information and determine eligibility for public assistance programs and services
• Analyzes financial and eligibility information to determine initial or continuing eligibility for multiple aid programs
• Explains regulations, rules and policies to clients and apprises them of their rights, responsibilities and eligibility for participation in various public assistance programs and services
• Ensures accuracy and completion of application and declaration forms
• Resolves discrepancies by securing documentation, medical records and confirmation from other agencies
• Enters and retrieves numerical and narrative data and issues benefits from an automated computer system
• Determines the level of benefits to which the client is entitled by making complex computations and/or computer entries and then analyzing the results
• Reviews and interprets information provided on a variety of forms both by the client and third parties to assist with eligibility determination
• Evaluates clients for and answers questions on Advanced Payment Tax Credits (APTC) related to health care reform
• Explains a variety of plan options, costs and individual plan features through Covered California
• Monitors on-going eligibility by obtaining periodic updated information of eligibility factors and takes appropriate actions on changes
• Determines need for additional services and makes referrals as needed for employment and other services to outside agencies to assist clients toward self-sufficiency and directs clients accordingly
• Organizes and prioritizes caseload so that necessary case records and documents are processed and updated within specific time limits established by regulation and local policy
• Enters and maintains case records, including written narratives, forms and computer documents in a clear and readable format
• Troubleshoots task and/or case issues to determine appropriate resolution of problems, involving Help Desk as needed
• Communicates both orally and in writing with clients and others related to the initial and ongoing eligibility determination while maintaining confidentiality
• Responds to questions and complaints of clients in person, by telephone, mail and/or email communication 
• Provides pertinent forms and pamphlets to clients as required
• Identifies suspected fraud and makes referrals for investigation
• Makes referrals to social service workers as needed
• Participates in special projects, studies, work assignments and committees
• Prepares correspondence and reports
• Performs related duties as assigned

 The Accounting and General Services Specialist III position is in the Public Works Department. This position performs a variety of highly complex technical para-professional administrative duties in support of fiscal and accounting procedures, including budget preparation and auditing a variety of financial records under limited supervision. This position will require thorough knowledge of accounting terminology and procedures. The position is full-time, and scheduled for forty (40) hours per week. 

WHAT YOU’LL DO

• Coordinates services and repairs with maintenance staff and/or vendors; conducts inspections, investigations, or interviews as needed to identify problems.
• Enters data into computer systems and maintains information systems database; enter data, processes transactions, assess and validates data, compiles documentation, examines, reconciles and adjusts financial records and reports.
• Tracks progress of projects, payments, expenditures, and reimbursements.
• Creates, maintains, and monitors facility related agreements and contracts with outside vendors and contractors; monitors vendor/contractor/landlord performance, ensuring discrepancies or problems are resolved and work is done in accordance with contractual requirements.

The City of Sunnyvale is currently recruiting for a bilingual Senior Office Assistant in the Recreation Services Division of the Library and Recreation Services Department. This position is based at the Columbia Neighborhood Center; remote work is not available.
