Community Development Department

The Community Development Department is comprised of three divisions: Planning, Building, and Housing and Community Services. In general, the Department guides the ongoing physical development of the community, to ensure that construction conforms to the standards of the City and State. Within the Department, the Planning Division in the Community Development Department is responsible for reviewing proposed development projects in the City as well as Code Enforcement activities to enhance the community’s safety, welfare, quality of life, and economic opportunities. Specific activities within the Division include implementation of the City’s Short-Term Rental program, administration of the 6th Cycle Housing Element, El Camino Real Specific Plan revisions, and Santa Clara Station Area Specific Plan. The Office Specialist III will be essential to the administration and fiscal functions of the Division. This position is responsible for payment processing in compliance with Generally Accepted Accounting Principles (GAAP), compilation and preparation of data with preliminary analysis to support budget and State reporting requirements, and permitting process improvements. The position will also support personnel and administrative tasks such as website updates and activities related to retention of records.

The Position: 

This advanced secretarial class is distinguished from other City office support classes in that incumbents normally report to division head or higher City position with responsibilities involving the frequent use of tact, discretion, initiative, and independent judgment.  Responsibilities include regular contact with government officials, City Council or board or commission members, representatives of business or community organizations, the public, and all levels of City personnel to exchange information and explain administrative policies and procedures.

The Office Specialist III works under general supervision and is expected to work within established procedures and policies of the work unit. An employee in this class performs a variety of administrative assignments related to the execution of administrative detail and assisting in departmental administrative service areas. An Office Specialist III may act as a lead to lower-level clerical classifications, but is primarily an individual contributor with a high level of expertise in generalized office administration. This classification performs advanced administrative assignments involving budget preparation and maintenance, research and data analysis, use of permitting software, payroll, and other clerical support as required.

Minimum Qualifications:

EDUCATION AND EXPERIENCE

Minimum Education Requirements: 
 Graduation from high school or possession of a GED

Minimum Experience Requirements: 
 Four (4) years of progressively responsible secretarial or office administrative experience; and
 Computer proficiency in Microsoft Word and Excel.

License/Certifications: 
Possession of a valid California Class C driver’s license is required at time of appointment and for duration of employment.

Desirable Qualifications: 
Completion of college level courses in the areas of management and/or supervision; 
Business or secretarial training and experience in dealing with governmental, community, and business representatives; and
Computer proficiency in Microsoft Access and Power Point.

Must be able to perform all of the essential functions of the job assignment.

About the Position

Positions in this classification perform work in the organization and implementation of a wide variety of recreation activities. 

The work schedule will be Monday-Thursday 4:00pm-9:00pm but may vary based on the needs of the City.

The Program Coordinator classification is the top-level position in the Recreation Leader Series.  Advancement from Recreation Leader Level II to Program Coordinator requires 500 hours of work experience at Recreation Leader Level II, or equivalent experience.

May provide functional supervision to a Recreation Leader I or II as assigned.  Receives general supervision from a full-time Recreation Department staff member.

Essential Duties

• Provide evening customer support, which includes front desk coverage at the Adult Community Center, processing registrations and payments, processing refunds and transfers, answering phone, contacting customers through emails and calls.

• Room set ups and break downs.

• Assist with program marketing including social media and flyers.

Program Assistant: Adults and Seniors

Salary Range: $18.52 - $30.68/hour, depending on experience.

DEFINITION

Assists in the planning, coordination, implementation, and evaluation of programs, events, and services in a designated area of Recreation Arts and Community Services. Provides highly organized and responsible administrative and programmatic support to the Program Coordinator, including assistance with internal programs, volunteer coordination, and preparation of the quarterly activity guide, etc. Recommends and coordinates the purchase of program supplies and equipment. Helps foster and maintain positive relationships within the community to enhance program offerings and engagement.

• This is a part-time, temporary, at-will, non-benefited position.
• Flexible schedule of 15-20 hours per week, including some evenings and weekends; not-to-exceed 950 hours per calendar year.
• This position is Primarily located at the Danville Senior Center with some responsibilities at various location around Town depending on program needs.

SUPERVISION RECEIVED AND EXERCISED

General supervision is received from the Program Coordinator and the Program Supervisor.  May exercise supervision of part-time personnel and volunteers as assigned.

ESSENTIAL JOB DUTIES

Essential duties are inclusive of, but not limited to, the following:

• Assist in the planning, coordination, implementation, and evaluation of innovative programs, events, and services for older adults.
• Provide administrative and programmatic support to the Program Coordinator and Supervisor, including internal events, volunteer programs, and special initiatives such as Buzz Sessions.
• Deliver excellent customer service by responding to inquiries, processing registrations, and assisting with facility reservations and general front desk operations at the Danville Senior Center.

QUALIFICATIONS

Applicant must be at least 18 years old.  Receive satisfactory results from a background investigation and fingerprinting. Provide written proof of a negative TB test before the appointment.

Knowledge of:

• Recreational programs, developmentally appropriate group activities, and applicable health and safety regulations.
• Record keeping practices and procedures; office practices, procedures, and equipment.

Ability to:

• Pay attention to detail and accuracy within events and programming.
• Understand and follow oral and written directions; communicate effectively, both orally and in writing, to establish and maintain effective working relationships with coworkers and members of the public.
• Build relationships and compose correspondence with outside vendors for internal programming and volunteering.
• Provide information to the public in person, by telephone, or through written correspondence where judgment, knowledge, and interpretive skills may be required.
• Effectively utilize Microsoft Office Suite.
• Must be able to provide a TB test result within the last four years, or obtain a new record.

EXPERIENCE AND EDUCATION

Any combination of experience and education that would likely provide the required knowledge and abilities is qualifying.  A typical way to obtain the knowledge and abilities would be:

Education:

Graduation from high school or equivalent is required, with college-level coursework completed in Recreation, Human Development, Education, or a related field preferred. 

Experience:

Background in municipal parks and recreation and/or Adult and Senior Services is desirable.  Supervision of part-time and/or volunteer personnel is highly desirable. Customer service experience required. 

LICENSE(S) AND CERTIFICATION(S)

Possession of a valid California State Driver's License, or a license in another state with the ability to obtain a California license within 30 days of hire.  First Aid and CPR/AED certification is required but may be obtained during the first 90 days of employment.

Position Duties

The Parks, Recreation and Neighborhood Services Department is currently seeking to fill one (1) full-time Parks Manager vacancy in the Parks Division at Happy Hollow Park & Zoo.

The total salary range for the Parks Manager classification is $143,860.08 - $175,309.68 annually.

The Parks Manager serves as the General Manager for Happy Hollow Park & Zoo (HHPZ), providing strategic leadership and operational oversight for all facets of the park and zoo. PROGRAM LEADER (SPORTS AND FITNESS)

Salary Range: $17.37 to $23.15/hour, DOE

This is a part-time, temporary, non-benefitted position; 15-20 hours per week (not to exceed 950 hours per calendar year); predominantly afternoon/evening schedule, some weekends.

DEFINITION
The Town seeks gym monitors, scorekeepers, and leaders for the Junior Warriors youth basketball program. Responsibilities focus on monitoring basketball practices and games for kindergarten-aged through middle school participants. Basketball knowledge is preferred but not required. All staff will be cross-trained to assist with multiple aspects of the program, including refereeing younger age groups (K–3rd grade) and scorekeeping/timekeeping for older age groups. CPR/FA certification is recommended but not required.
 

SUPERVISION RECEIVED AND EXERCISED
Program Leader receives supervision from the Program Coordinator and/or Program Assistant.
 

ESSENTIAL JOB DUTIES
Essential duties may include, but are not limited to:
•Gym monitoring for practices and games, including opening the gym, setting up and lowering hoops, and cleaning up.
•Refereeing for younger age groups (K–3rd grade).
•Scorekeeping and timekeeping for older age groups.
•Completing program score sheets, reports, and timesheets according to deadlines.
•Attending monthly staff meetings.

The San Mateo County Registration & Elections Division is seeking full-time seasonal extra-help Election Materials Proofreaders to assist in the upcoming June 2, 2026, Statewide Direct Primary Election. This is an excellent nonpartisan opportunity to be involved in the election process! 

We are currently seeking dedicated and hard-working individuals for the position of Proofreader. Proofreaders will be hired into one of four language-based teams (English, Chinese, Filipino, or Spanish). 

This announcement is for English proofreaders. 

All Proofreaders will be responsible for proofreading and copyediting election materials leading up to established election deadlines. Proofreaders will review, edit, and proofread documents for accuracy, context, readability, and syntax.

Proofreaders will mostly work remotely using equipment provided by the Registration & Elections Division. Equipment must be picked up and returned to the Elections Office. Towards the end of the assignment, two days of on-site work will be required for final proofs of physical material.

The Elections Materials Proofreader is classified as an Office Specialist. The hourly wage for this position starts at $33.44. 

NOTE: This is an extra-help, at-will assignment, paid on an hourly basis. Extra-help hours are dependent on the business needs of the department and therefore work hours may vary from week to week. Extra help employees shall not exceed 1,040 hours of work per fiscal year. Some extra-help positions are eligible for benefits under the Affordable Care Act. Extra-help employees are not guaranteed permanent status at the end of the assignment.  

IDEAL CANDIDATES for the Proofreader positions will have the following: 

Education: 

• Bachelor's degree or higher in proofreading, editing, journalism, translating, literature, or another related field. 

• Technical writing certificate or other related certification (preferred). 

Work Experience: 

• At least six months of experience proofreading documents and/or translating in the target language (English, Chinese, Filipino or Spanish). 

• Professional background in proofreading, editing, journalism, translating, creative or technical writing, or another related field. 

Technical Skills: 

• Competency in additional Microsoft Office Suite applications: Word, Excel, Outlook, and OneNote. 

• Familiarity with Microsoft SharePoint and One Drive. 

• Experience with or ability to learn Microsoft Teams or equivalent video-conferencing software. 

Critical Skills for all Election Materials Proofreader – Office Specialist positions:

The ability to prioritize work, coordinate several activities simultaneously, organize and maintain accurate files and records, use spreadsheets to track files and task progress, and understand and carry out oral and written directions. Strong organization and time management skills are essential. 

Office hours are 8:00 am to 4:30 pm, Monday through Friday. These positions WILL require weekend and evening work assignments, sometimes with short notice. The selected individuals MUST be available for the entire employment period until the completion of their assignment for the June 2, 2026, Statewide Direct Primary Election.
