Senior Office Assistant – Grant Funded

 

The City of Sunnyvale is accepting applications for Senior Office Assistant – Grant Funded with one current vacancy in the City’s NOVA Workforce Services Department. NOVA provides grant-funded workforce development services to residents and businesses. The Senior Office Assistant – Grant Funded positions provides administrative support including document control, data entry, the maintenance of files and records, answering the phones, assisting customers, and scheduling appointments.

DEFINITION

Develop, organize, and implement delivery of recreation and social services to the citizens of Danville in accordance with program objectives set forth by the Recreation, Arts and Community Services Department.

 

SUPERVISION RECEIVED AND EXERCISED

Receives direction from a Program Supervisor.  Exercises supervision over Program Assistants and other program personnel, as assigned.

 

ESSENTIAL JOB DUTIES

Essential duties may include, but are not limited to the following:

• Plan, implement and evaluate programs, events and services.
• Assist in recruiting, training, supervising and evaluating part-time personnel and volunteers.
• Conduct and attend a variety of training seminars, staff meetings, and community meetings.
• Recruit and orient contractual instructors and develop and monitor contractual service agreements.
• Prepare memos, correspondence, reports and public information in a variety of forms.
• Represent the Recreation, Arts and Community Services Department and Town to citizens, advisory bodies and community organizations and serve in a liaison role, as assigned.
• Conduct outreach activities and interpret Town policies to the public.
• Maintain accurate records and compile program information and other data.
• Assist in monitoring facilities and equipment.
• Prepare and monitor program operating and revenue budgets; monitor expenditures and payroll in accordance with established procedures.
• Assume additional responsibilities in the absence of the Program Supervisor, as needed.

Specific to Sports & Fitness

Responsible for the development and implementation of sports programming, including aquatics, and organizing a variety of recreational sports leagues.  Work closely with the school district.  Supervises seasonal Aquatics program to include staff training and in-services. Requires a basic understanding of sports terminology, concepts, and rules. Responsible for sports & fitness fee classes offered in the Town of Danville Activity Guide.  Support facility management through scheduling, staffing, and administrative duties as needed.

 

QUALIFICATIONS

 

Knowledge of:

• Principles and practices of recreation programming.
• Human development as it relates to planning recreation and leisure programs and activities for the public.
• Leadership, group dynamics, and facilitation concepts and techniques.
• Safety practices as related to the assigned program/activity area.

Ability to:

• Develop, implement and evaluate innovative programs effectively.
• Supervise and motivate participants, part-time personnel and volunteers.
• Communicate effectively with Town officials, the public, and the media.
• Demonstrate effective oral and written communication skills.
• Monitor program budget.
• Work flexible hours, including nights and/or weekends, as needed.

 

EXPERIENCE AND EDUCATION

Any combination of experience and education that would likely provide the required knowledge and abilities is qualifying.  A typical way to obtain the knowledge and abilities would be:

 

Experience:

Two (2) years full-time or four (4) years part-time related professional experience in public recreation or any equivalent combination of education or experience. Background in municipal parks and recreation is preferred.  Supervision of part-time and/or volunteer personnel is desirable. Experience in facility management, aquatic programs, youth, and adult sports is a plus.

 

Education:

A Bachelor's degree in recreation administration, public administration, or closely related field.

 

LICENSE(S) AND CERTIFICATION(S)

Possession of a valid California State Driver's License, or license in another state with the ability to obtain a California license within 30 days of hire. First Aid and CPR certification is required but may be obtained during probationary period.

 

Must have or the ability to obtain an American Red Cross Lifeguard Training, First Aid for Public Safety Personnel (Title 22), Lifeguard Training Instructor, and Water Safety Instructor certifications. Certified Pool Operator Certification is desired.

About the Community Development/Planning Summer Intern Opportunity

The Administrative Services Department (ASD) includes the City’s Finance, Information Technology (IT), and Human Resources (HR) divisions. The Staff Analyst position will support the Office of Civic Engagement in implementing the Safe, Clean Water Grants & Partnerships Program under Measure S. This position will be responsible for leading the implementation of the Refill Station Grant funding opportunity (Project F9 Key Performance Indicator #2), with oversight from the Community Benefits Program Administrator. 

The position will provide administrative and analytical support for the Grants & Partnerships Program, which includes the following tasks: application review and evaluation, drafting grant agreements, providing technical assistance to grantees, processing and validating invoice submissions, conducting grantee site visits and closeout tasks for completed projects, developing and writing memos and formal correspondence to grantees and management, tracking data and analytics for the grants program, maintaining the Fluxx grants management system, tracking grantee inquiries, among other duties as required. 

The Staff Analyst may participate in outreach and community engagement events/activities, which may sometimes require working at night and/or on the weekends. Additionally, all Valley Water employees are considered Disaster Service Workers and may be called on to report to an Emergency Operation Center during a disaster.

This position may require occasional visits to school campuses and must submit and pass a tuberculosis test and criminal background check.

Office of Civic Engagement (Position Code 1021)
Valley Water Telework Program: Eligibility for telework will depend on the type of work performed, operational needs, and the ability for the employee to perform the essential functions of their job duties while teleworking. Employment with Valley Water requires employees to live within 150 miles of their primary physical work location located in San Jose, California by their start date.

About the PB&R Summer Intern Opportunity

The Parks, Beaches, and Recreation Department is where community fun meets local government operations! • Assisting staff with organizing, sorting, and maintaining electronic and physical records

Education & Experience:

• Current undergraduate student majoring in Recreation Administration, Public Administration, Business, Communications, Education, Kinesiology, or a related field preferred
• Interest in parks and recreation operations, community programming, or public service
• No prior recreation experience required; training will be provided
• Basic computer skills and familiarity with Microsoft Office (Word, Excel, Outlook)

About the Economic & Housing Development Summer Intern Opportunity

The Economic & Housing Development Division advances initiatives that support fiscal sustainability, business vitality, housing production, and long-term community resilience. The Economic Development Intern will gain hands-on experience supporting business attraction and retention, marketing and tourism initiatives, special events, and strategic planning efforts aligned with the City’s adopted Economic Development Work Plan. This internship is ideal for a student interested in economic development, public policy, urban planning, communications, or community development. The Information Technology (IT) Division supports the City’s technology infrastructure, cybersecurity practices, and digital service delivery across all departments. The IT Intern will gain hands-on experience in municipal technology operations, including systems support, hardware and software deployment, troubleshooting, and project-based technology initiatives. Public Safety Records Specialist I

 

The City of Sunnyvale is recruiting for the position of Public Safety Records Specialist I for the Department of Public Safety. The Public Safety Records Specialist is responsible for performing a wide variety of administrative, technical, and clerical records support duties in the Records Division of the Department of Public Safety, including the maintenance of records and files, processing of data and reports, critical time-sensitive data entry, providing support to sworn personnel, and providing information to the public, outside agencies and departmental staff; and performs related work as required. The Records Division is staffed on a seven day/week, 24 hour/day schedule, including weekends and holidays.

 

Minimum Qualifications:

Education and Experience: 

The minimum qualifications for education and experience can be met in the following way:

Graduation from high school or tested equivalent; AND

One year of general clerical experience.
