DEPUTY CITY CLERK/ ADMINISTRATIVE AIDE

PAY: $39.13 - $52.94 Hourly

Under direction, the Deputy City Clerk provides complex administrative and organizational support for all functions and activities of the City Clerk’s Office, including the duties necessary to ensure the custody and maintenance of official City documents, public and archival records and files, and public information. The Deputy City Clerk services to City employees and the public; as the Acting City Clerk in the absence of the City Clerk.  The Deputy City Clerk – Administrative Aide administers projects as assigned, fields and answers inquiries from the public, City departments, officials, and outside entities; participates in fostering cooperative working relationships among City departments and with State and local intergovernmental and regulatory agencies and various public and private groups; provides highly responsible and complex administrative support to the City Clerk, City Manager, City Council, and other City Administrative Managers, and performs related work as required.

This position is full-time at 36 hours per week.

The City of Berkeley invites applications for the position of Housing Inspector II (Certified)! In this role, you will perform skilled inspection work with City residential housing inspection programs. You will independently perform the full scope of work in the investigation, reporting and follow-up of housing deficiencies to gain compliance with housing, building, zoning, fire, mechanical, plumbing, electrical, and related codes and regulations.

Assignments are varied and generally require close interaction with the public, providing information and interpretation of applicable ordinances, codes and regulations. We'll expect you to exercise considerable independence and discretion in conducting inspections, resolving complaints and enforcing inspection results.

MINIMUM QUALIFICATIONS

A typical way of gaining the knowledge, skills, and abilities for this position is:

Equivalent to graduation from high school and at least two years of full-time experience equivalent to Housing Inspector or Building Inspector or Code Enforcement Inspector for a public agency. 

Must possess:

• An International Code Council (ICC) OR California (CA) certification in Residential Building or Housing Inspection or in Code Enforcement; and
• ICC or CA Residential or Commercial Electrical Inspector certification and ICC or CA Residential or Commercial Plumbing Inspector certification, or equivalent ICC or CA Legacy Certification for either Combination Inspector or Combination Dwelling Inspector.

Other requirements: Must be able to travel to various locations within and outside the City of Berkeley to meet the program needs and to fulfill the job responsibilities. When driving on City business, incumbent is required to maintain a valid California driver's license as well as a satisfactory driving record.

In addition to the qualifications above, the ideal candidate will have effective and courteous communication skills in order to discuss housing violations, violation remedy and necessary inspections and fees and participate in depositions and court hearings as requested. The ideal candidate can support a work environment that highlights efficiency and team collaboration in a professional and friendly atmosphere for the inspectors and administrative staff.

Fire Prevention/Administration Office Assistant

• Provide excellent customer service for the Fire Prevention and Fire Administration divisions by greeting visitors, answering inquiries, and directing individuals to the appropriate staff or resources
• Manage calendars for multiple inspectors, schedule inspections, and charge appropriate fees
• Process special event permit applications, prepare invoices for permit fees, collect fees, and issue permits
• Assist with accounts payables and receivables, including invoicing, payment collection, and reconciliation for Fire Prevention activities
• Provide information and assistance regarding public education to the general public
• Assist with website updates related to Fire Prevention services
• Update and maintain a variety of Fire Prevention forms and documents

• Provide front-desk customer service by greeting visitors, answering inquiries and directing individuals to the appropriate staff or resources
• Perform a variety of general clerical duties, including filing, photocopying, processing mail, ordering supplies, scanning, and answering a multi-line telephone system
• Enter invoices for payment and data/information for reports, including setting up new vendors, reviewing statements
• Assist with accounts receivables related to shop billing and vendor transactions
• Update and maintain shop-related forms and documentation, assist with maintaining inventories of station supplies, and parts for apparatus repairs
• Receive supplies, check for condition and discrepancies, arrange for efficient and safe storage of stock, materials, and equipment
• Serve as administrative support for the Fleet & Facilities Manager and coordinate with other divisions as needed

allcove™ https://allcove.org/ is a youth drop-in center model that has evolved from the Head Space Program in Australia and Foundry Program in British Columbia, Canada. PHCD is working closely with Stanford’s Center for Youth Mental Health and Well Being (CYMHWB) leadership who have been instrumental in defining the model for California and successfully influencing the State of California Mental Health Services & Oversight Accountability Commission (MHSOAC) to provide start up grants for five pilot centers around the State.
