The Administrative Assistant will perform general clerical work and assist with the Construction Division administrative tasks.

 

This is a supportive role in the construction division with high use of various computer software, research, problem solving and communication skills for a person at an intermediate level. The work performed will support MRCA’s new construction operations, emergency projects, general improvements to parks, and other efforts related to public access, open space conservation, habitat restoration, and urban park development.

This is a full-time, non-exempt, at-will position.

Supervision

This position reports to the Chief of Construction. Assorted tasks may be supervised by other division staff. The position supervises no other staff and generally works independently but in frequent communication with coworkers and supervisors.

ESSENTIAL FUNCTIONS

The following duties are typical for this classification. Incumbents may not perform all of
the listed duties and/or may be required to perform additional or different duties from
those set forth below to address business needs and changing business practices.

• Coordinate material orders, delivery and invoices. 
• Maintain division files, including documentation of and authorization for expenses, project progress, contracts, project budgets, contracts, and correspondence. 
• Order materials, equipment, and tools. 
• Coordinate deliver/pick up of materials, equipment and tools. 
• Prepare written materials (reports, graphs, memos, etc.) for the Construction Division. 
• Conduct tailgate safety meetings biweekly with construction team. 
• Research contractors for various trades for estimates of repair and notice inviting bids. 
• Perform related duties as required. 

 

JOB SPECIFICATIONS

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job. While performing the duties of this job, the employee is regularly required to remain in a stationary position, occasionally move about inside the office to access supplies and office machinery, frequently communicate and exchange information, review handwritten, electronic and facsimile documents, and operate a computer and other office productivity machinery. The employee must occasionally move items weighing up to 20 pounds inside the office. MRCA offices are spread among multiple buildings and floors and may require traveling up/down steps.

Required Hours and Location

Monday through Friday, 8 hours per day, 40 hours per week. Occasional overtime work in evenings or weekends upon prior approval by supervisor. The position will work out of the Los Angeles River Center and Gardens but may be required to travel to various other locations as needed.

MINIMUM QUALIFICATIONS

Education and Experience 

• High School Diploma or GED certificate. A.A. degree preferred. 
• Two (2) years of experience in construction field preferred.  

 

Training and Certification

• Basic First Aid and CPR certification (or ability to complete within 6 months).

Knowledge of: 

• Proficiency with Windows based programs, including word processing, spreadsheets and databases. 
• Proficiency in grammar, spelling, and basic mathematics. 
• Office practices and procedures. 
• Bilingual skills in English and another locally common language, such as Spanish, Korean, Farsi, Chinese, Armenian, Yiddish, or Tagalog is desired.

Working Environment and Schedule:  Midpen offers a hybrid office/telecommute work schedule which will be divided between onsite work, at home remote work, some outdoor work, some local travel, and occasional travel to Sacramento. ABOUT THE AIR DISTRICT

The Bay Area Air District (Air District) created in 1955, is the state’s first regional agency to regulate air pollution. The Air District was created during this time, as the air in the Bay Area was often unhealthy to breathe due to burning, vehicle exhaust, and factories polluting the air.

The Air District is tasked with regulating stationary sources of air pollution in the nine counties that surround the San Francisco Bay: Alameda, Contra Costa, Marin, Napa, San Francisco, San Mateo, Santa Clara, southwestern Solano, and southern Sonoma counties. It is governed by a 24-member Board of Directors composed of locally elected officials from each of the nine Bay Area counties, with the number of board members from each county being proportionate to its population.

The Board of Directors oversees policies, adopts regulations, and promotes and incentivizes clean air actions to reduce air pollution in communities within the Air District jurisdiction. The Board also appoints the Air District’s Executive Officer/Air Pollution Control Officer (EO/APCO), who implements these policies, gives direction to staff, and provides air quality thought leadership on a state, national and global scale. The Air District consists of 538 dedicated staff members, including engineers, inspectors, planners, scientists, and other professionals.

The Air District has a mission to improve air quality to protect public health, reduce historical and current environmental inequities, and mitigate climate change and its impact. ABOUT THE POSITION

The Air District is currently accepting applications for the position of Deputy Executive Officer of Information Management. There is one (1) vacant full-time position. This at-will position is appointed by the Executive Officer/Air Pollution Control Officer and serves a term of three (3) years which may be extended.  

Under direction of the Executive Officer/Air Pollution Control Officer, the Deputy Executive Officer of Information Management provides high-level technical, policy, and strategic direction in the management of the Air District's programs and activities.  The position oversees the modernization of the Air District’s technology infrastructure, improvement of core business processes, and coordination of strategic cross-functional projects. Enterprise Technology Solutions
Enterprise Technology Solutions identifies, develops, and implements both custom and off-the-shelf technologies that enhance the Air District’s core operations. Key examples include systems, which enable permitting, inspection, and enforcement processes for regulated facilities, grants management tools, the Air District’s financial system, and the technology powering the public-facing website. Enterprise Technology Solutions works closely with other service areas to streamline business processes, promote innovation, and ensure that technology solutions effectively meet staff and community needs.

Information Services
Information Services is responsible for designing, implementing, and maintaining the Air District’s information technology infrastructure. This includes managing servers and networks, telecommunications, cybersecurity, business continuity, and disaster recovery systems. Information Services also provides user support to Air District staff and technical assistance to external stakeholders, ensuring seamless and secure access to online services. By focusing on resilience and continuous improvement, Information Services safeguards the Air District’s data and systems against evolving threats and disruptions and fosters effective implementation of initiatives to improve air quality, protect public health, and address environmental challenges in the Bay Area.

Strategic Innovation
The position will oversee additional projects that aim to modernize Air District operations and bring innovative solutions to advance the Air District’s mission. As an example, the 2024-2029 Strategic Plan guides the Air District’s work to address air quality issues more effectively, with a focus on communities most overburdened by air pollution. It also guides how to transform our organization to align more closely with our core values of environmental justice, equity, integrity, partnership, transparency, and trust. ABOUT THE POSITION

The Executive Assistant/Deputy District Clerk independently performs a full range of highly responsible, confidential, and complex administrative duties to a small team of Executives. Additionally, this classification supports the District Clerk in preparing and delivering the District Board agenda packets, meeting notices, resolutions, and related materials;  coordinating District election processes; provides administrative support maintaining the District’s records management system; attends Board and Committee meetings and facilitates streaming technology; and functions as the District Clerk in their absence. You will be part of a high-performing  and dynamic team.  They are a small, hardworking team, consistent work product, great attitude, and fantastic customer service for both external and internal customers who work directly to supports Midpen’s mission to protect and restore the natural environment and contributes to providing nature’s benefits to everyone.

• Knowledge of the applicable federal, state, and local laws, rules, regulations, and ordinances relevant to this position of responsibility, including but not limited to laws regarding the Public Records Act, Brown Act, Political Reform Act, the Government Code, and Elections Code.
• Prior experience in the public sector is highly desired.

WORK ENVIRONMENT

The Executive Assistant/Deputy District Clerk will be required to attend evening Board/Committee meetings. Meetings may be held in Los Altos or offsite.  This position is part of the General Manager’s office at Midpen’s office in Los Altos, California. Midpen offers a hybrid office/telecommute work environment for this position.

EDUCATION AND EXPERIENCE

Any combination of training and experience that would provide the required knowledge, skills, and abilities is qualifying. A typical way to obtain the required qualifications would be: 

• Equivalent to the completion of the twelfth (12th) grade supplemented by two (2) years of college-level coursework in business or secretarial science and
• Three (3) years of responsible secretarial experience involving assisting executive management or a high-level officials with administrative duties.

LICENSES & CERTIFICATIONS REQUIRED

Possession of a valid California Driver’s License.

The City of Colfax is currently accepting applications for Maintenance Worker I. This is an entry level position in the Public Works department requiring a minimum of 1 year of experience in a semi-skilled maintenance occupation. Typical duties include: landscape maintenance, electrical and plumbing repairs, minor construction and light carpentry projects, cleaning public restrooms, keeping public streets and parks clean and in good repair.
