The Department

The City of Pacifica's Public Works Department is recruiting for a Administrative Assistant. This is a full-time position with benefits and a compensation schedule range of $5246- $6519 per month. This position is included in a bargaining unit under Teamsters MISC Local No. 856.

DEFINITION

Under immediate and general supervision, classes in this three-level series provide a wide variety of responsible and complex administrative, secretarial and clerical duties for an assigned department and department head, to coordinate and participate in office functions in support of the department's goals and objectives; to provide information and assistance to employees and the public regarding departmental policies and procedures.

DISTINGUISHING CHARACTERISTICS

The emphasis of the Administrative Assistant series is on the accomplishment of general clerical and administrative support duties.

Administrative Assistant I

This is the entry level in the series. Employees perform routine duties under immediate supervision.

Administrative Assistant II

The is the journey level in the series. Employees perform both routine and more complex duties under general supervision.

SUPERVISION RECEIVED AND EXERCISED

Immediate supervision is provided to the Administrative Assistant I. General supervision provided to the Administrative II and III is provided by the department head of designee. The Administrative Assistant III may lead or supervise assigned staff.

ESSENTIAL FUNCTIONS - INCLUDE BUT ARE NOT LIMITED TO THE

FOLLOWING:

• Maintains a system of files and records.
• Composes correspondence and prepares reports independently or from oral instructions.
• Makes appointments and meets callers.
• Operates various office machines and equipment as required.
• Performs other duties as assigned.
• Invoice Entry.

In addition, the Administrative Assistant II performs the following duties:

• Plans, schedules and performs a wide variety of clerical and typing work related to the function to which assigned;
• Supplies information involving facts and interpretations.
• Compiles information for reports and transactions and assists in the consolidation and presentation of data.
• Prepares documents based on data obtained from records and other sources and processes them in accordance with prescribed procedures.
• Establishes and maintains systems to insure accountability and controls
• Facilitates special event and community meeting planning and facilitation
• Creates social media content and executive presentations utilizing design software

• Processes payroll and financial documents. 

• Prepares detailed and complex reports.

Position Summary

Under the general direction of the Fleet and Facilities Manager, this position is responsible for planning, assigning, supervising, training, and assisting mechanics in the routine preventive maintenance, inspection, diagnosis, and repair of structural, mechanical, and electrical systems at Bus Transit facilities. This includes overseeing shop equipment, automated fueling systems, revenue fare collection equipment, passenger amenities, and signage.

The Chief Mechanic - Building Maintenance is a working position that combines the duties of the Mechanic - Building Maintenance classification with skilled supervisory responsibilities. These include supervising work crews, scheduling tasks, managing projects, and providing training and mentorship to subordinate employees. Additionally, the position is accountable for generating detailed written and electronic reports on facility and equipment conditions, documenting maintenance and repairs performed, and outlining ongoing maintenance needs.

Essential Responsibilities

• Plans, supervises and participates in work assignments for all employees supervised
• Evaluates job performance and knowledge, skills and abilities (KSA) of all employees being supervised.
• Provides training, mentoring and feedback to personnel
• Issues 2nd level of progressive discipline, counseling, and written letters of reprimand to employees supervised. This position will not be responsible for administering discipline at subsequent levels.
• Interprets and enforces District rules, regulations, and policies
• Assures proper completion of job assignments with minimum expense and maximum productivity 
• Certifies records of work in progress and completed, including timecards, material requisitions, maintenance records and equipment counts when required.
• Collaborates closely with supervisors of oncoming and off going shifts to assure maximum daily productivity and continuity of work
• Monitors employee attendance and adherence to arrival, break and departure times

• Opens and closes work orders in Maximo and enters all pertinent information

San Mateo Medical Center is currently seeking a professional, goal-oriented full-time, regular (benefited) Clinical Services Manager I who will plan, organize, direct, and supervise the operations of our Medical-Surgical (ADC of 35), Intensive Care Unit (ADC 4), and Infusion Center. Qualifications

Licensure/Certification: Possession of a valid California license as a Registered Nurse (R.N.).  Must possess a Basic Life Support (BLS) and Advanced Cardiac Life Support (ACLS) certificates approved by the American Red Cross or American Heart Association. 

Education and Experience: Any combination of education and experience that would likely provide the required knowledge, skills and abilities is qualifying. A typical way to qualify is;

• Three years of professional nursing experience in an accredited hospital or clinic, of which at least one year included responsible supervisory experience, unless otherwise specified below in the additional qualifications.
• Two years of the required experience must have been in acute care and surgical nursing and includes experience in infusion, including chemotherapy, telemetry, antibiotics, blood transfusions and pediatrics.

Overview:

Are you an experienced Vegetation Maintenance professional with five or more years of experience and a valid Class A driver’s license? If so, we encourage you to consider this opportunity with Valley Water.

Maintenance Worker III is an advanced journey-level position responsible for operating a variety of light construction equipment in support of Valley Water’s maintenance and construction projects. This role provides agency-wide support for work on creeks, ponds, reservoirs, and other flood control facilities throughout the county.

Assigned to the Vegetation Field Operations Unit, this position performs a broad range of duties supporting Valley Water’s vegetation management programs. Responsibilities include vegetation control, integrated vegetation management, arboriculture, native plant revegetation, invasive plant management, and biotechnical erosion control on Valley Water properties.

This is primarily an outdoor position requiring work in varying and sometimes challenging environmental conditions, including heat, cold, and rain. Incumbents may also be required to respond to after-hours flood control emergencies, including nighttime callouts.

As a light equipment operator, the Maintenance Worker III must possess a valid Class A driver’s license to operate Valley Water commercial vehicles and to transport light equipment used in vegetation management and flood control projects. Daily equipment operation may include a compactor, water truck, tree truck and chipper, dump truck, and wheel loader. Equipment is used to haul vegetative debris, maintain native plant mitigation sites, support invasive plant management efforts, and assist with Valley Water’s sandbag operations.

This position also ultimately requires a Qualified Applicator’s Certificate (QAC) in Category C (Right-of-Way) and Category F (Aquatics) to mix and apply herbicides and calibrate spray equipment for vegetation control on Valley Water managed properties.

• Prepare soil and install native plant revegetation per established plans; maintain mitigation areas to achieve success criteria and meet monitoring requirements. 
• Install, adjust, and repair irrigation systems, including heads, lines, and controllers.
• Operate a variety of small power tools and light equipment, including spray equipment, mowers, chain saws, weed eaters, pole saw, hydro seeder, small trenchers, loader, compactors, water trucks, forklift, straw mulcher, auger, sandbag machine, and chipper; clean, adjust, and perform minor maintenance on light equipment to ensure proper operating condition. 
• Mix and apply herbicides, and calibration of spray equipment to control the growth of vegetation on and around flood control and water distribution facilities and rights of way. 
• Build or remove browse cages or other devices to keep wildlife from damaging native plant revegetation sites. 
• Build phytosanitary benches, fences, irrigation, etc. in support of native plant holding facility. 
• Participate in Valley Water’s sandbag program as needed. 
• Perform calculations of required work materials; document daily application of chemical use; photo documentation of work, complete work order dailies, best management practices checklists, surveys, forms, and time data entries. Maintain paper and electronic records of work performed.

Ideal Experience:

Five (5) years of experience in a regulated integrated vegetation management program performing vegetation control activities, invasive plant management, and native plant revegetation projects.

Ideal Skills and Abilities:

• Participate in a variety of integrated vegetation management activities using chemical, mechanical and biological controls to manage native plant revegetation projects, invasive plant management projects, vegetation control projects, tree removals, biotechnical erosion control projects, and overall integrated vegetation management work on Valley Water properties.
• Clear brush, weeds, and debris from worksites, canals, ponds, creeks, reservoirs, pipelines, water treatment plants, dams, and other open areas; prune vegetation, perform tree removals including standing or downed trees.
• Prepare soil and install native plant revegetation per established plans; maintain mitigation areas to achieve success criteria and meet monitoring requirements.
• Install, adjust, and repair irrigation systems, including heads, lines, and controllers.
• Operate a variety of small power tools and light equipment, including spray equipment, mowers, chain saws, weed eaters, pole saw, hydro seeder, small trenchers, loader, compactors, water trucks, forklift, straw mulcher, auger, sandbag machine, and chipper; clean, adjust, and perform minor maintenance on light equipment to ensure proper operating condition.
• Mix and apply herbicides, and calibration of spray equipment to control the growth of vegetation on and around flood protection and raw water distribution facilities and rights of way.
• Build or remove browse cages or other devices to keep wildlife from damaging native plant revegetation sites. Build phytosanitary benches, fences, irrigation, etc. in support of native plant holding facilities.
• Participate in Valley Water’s sandbag program as needed.
• Perform calculations of required work materials; document daily application of chemical use; photo documentation of work, complete work order dailies, best management practices checklists, surveys, forms, and time data entries. Maintain electronic records of work performed.
• Employees have a responsibility for safety; for following safety regulations and safety policies and procedures applicable to their work.
• Pursuant to California Government Code Section 3100, all public employees are required to serve as disaster service workers subject to such disaster service activities as may be assigned to them by their supervisors or by law.

Ideal Knowledge:

• Operations, services, and activities of integrated vegetation management. 
• Practices, procedures, tools, and equipment used in integrated vegetation management on raw water distribution and flood protection facilities.
• Use and application of a variety of herbicides for vegetation control and invasive plant management activities.
• Operation characteristics and maintenance requirements of irrigation systems.
• Principles, practices, and responsibilities involved in leading the work of assigned staff on native plant revegetation, invasive plant management, biotechnical erosion control, and vegetation control methods.
• International Society of Arboriculture ANSI pruning and safety standards. 
• Various plant diseases and pests.
• Cultural, biological, chemical, and mechanical methods for vegetation control activities. 
• Planting techniques and irrigation assembly and maintenance.
• Biotechnical erosion control techniques, including geotextile fabric installation, and hydroseeding.
• Integrated pest management strategies.
• Best management practices, including ground nesting survey techniques. 
• Principles and practices of horticulture, arboriculture, and soil restoration.

Ideal Training and Education:

Equivalent to the completion of the twelfth grade. 

Must have a satisfactory driving record and possess a valid California Class A driver's license with tanker endorsement at the time of hire.

Possession of a Qualified Applicator’s Certificate or Qualified Applicator License in Category C issued by the State of California’s Department of Pesticide Regulation at the time of hire.

Qualifications:

The ideal candidate will possess a valid State of California driver’s license, and Early Childhood Education units are preferred. Candidates should have at least one year of paid experience in a classroom, after-school program, or camp environment, along with a minimum of a high school diploma. Applicants must demonstrate leadership experience working with youth and strong verbal and written communication skills. The position requires the ability to work independently while following direction from higher-level Recreation staff, as well as the ability to assist with training and mentoring team members. Attention to detail is essential, including maintaining accurate records and required documentation. Proficiency in basic computer applications such as Microsoft Word and Excel is expected. Successful completion of required background checks is mandatory upon hire. Availability is required Monday through Friday from May through August, between the hours of 7:30 a.m. and 6:00 p.m.

Recreation Specialist III Example Duties:

Duties may include, but are not limited to, the following:

• Lead the implementation of daily camp activities that are developmentally appropriate for children ages 5–12
• Provide professional guidance and mentorship to Recreation Specialists I and II
• Assist with behavior management strategies and best practices for working with youth
• Support daily camp operations, including sign-in/sign-out procedures, field trips, and safety practices
• Assist with incident and accident documentation
• Occasional driving of City vehicles to support programmatic needs, including transporting youth participants on field trips.
• Communicate appropriately with families and participants
• Assist with managing program supplies and equipment
• Participate in weekly staff meetings and trainings as assigned
• Follow established safety procedures and program guidelines

Part-Time position: variable hours; evenings and weekends

Summary:
Under general supervision, performs a variety of custodial tasks and provides oversight of rental groups, in accordance with District policies and procedures.

Essential Duties and Responsibilities:

• Assist patrons and prospective participants on the phone and in-person
• Assist permit groups with set-up and breakdown of tables, chairs, and other equipment
• Promptly open and unlock facilities or close and secure facilities as scheduled
• Complete facility condition forms following permit group use and incident reports as needed
• Notify management concerning need for major repairs or additions
• Turn athletic field lights off and on for sports groups
• Sell and scan admission tickets special events and/or theater performances

Other Duties and Responsibilities:

• Sweep floors, vacuum carpets, and dust or polish furniture, fixtures, and equipment
• Wash windows, clean restrooms, replenish supplies, and sanitize high touch areas often
• Empty waste receptacles and remove any trash or debris found throughout facility
• May assist with conducting recreation classes
• Perform other related duties as assigned

Minimum Qualifications:

Education and Experience:
Minimum age of 18 years old with a High School Diploma (or GED). At least 250 hours of experience in customer service or a related field preferred.
